You can keep using Google Drive while limiting who can open your files: set sensitive files and folders to Restricted, review every person and group listed with access, and check whether a parent folder or shared drive still grants access. These steps control sharing with other people; they do not mean Google stops processing Drive content for its services.
What “private” means in Google Drive
For this guide, private means a file is not available to unintended people through Drive sharing. Google says, “The content you save on Drive is private to you, from others, unless you choose to share it.” That is Google’s description of its service, not an independent audit.
Google also says Drive content is encrypted in transit and at rest, and that it processes content for product features and security, including search and malware protection. Google says it does not use Drive content for advertising. Restricting who can open a file does not turn off that stated service processing. Google’s privacy and control guidance explains these practices.

- Open Google Drive on a computer, select the file or folder, and open its Share dialog.
- Review People with access. Check named accounts and groups, not just the general setting.
- Review General access. If it says Anyone with the link or Public, the audience is broader than named invitees.
Google says people with an “Anyone with the link” setting can open the item without signing in. Public access may be searchable. Google also notes that a shared link may reveal the owner’s name and email address. Google’s Docs Editors privacy guidance says link-shared documents are not crawled or indexed unless the link is published on a publicly searchable webpage, so do not assume every link-shared file will appear in search. When confidentiality matters, avoid broad access. See Google’s file-sharing instructions for computers.

Set a file or folder to Restricted
- In Drive, select the sensitive file or folder and open Share.
- Under General access, choose Restricted.
- In People with access, remove anyone who no longer needs access. For the people who remain, select the role that fits their task: Viewer, Commenter, or Editor.
- Save or confirm the changes shown in the dialog, then revisit the sharing details to check the resulting access list.
Restricted access limits opening to people who have been granted access, but a direct list is not always the whole picture. A person may still have access through a group, a parent folder, or a shared-drive role. Check those sources before concluding that access has ended.
Check inherited access, groups, and shared drives
Files in a shared folder can inherit access from the folder. Shared-drive membership and group membership can also provide access beyond a file’s direct list. Removing a person from one item’s list may therefore leave another route open.

- Open the parent folder’s sharing dialog and review its people, groups, and general access.
- If the item is in a shared drive, check the drive’s membership and roles; a drive manager or administrator may control them.
- When you use limited access on a folder, do not treat the Access removed list as a universal override. Google says it does not override general access or group membership.
Google’s limited-access guidance describes inherited permissions and the limits of removing access at a narrower level. Work or school organizations may also apply policies that limit what you can change.

Choose controls that match the risk

These controls are described in Google’s sharing guidance. If a setting is unavailable, your account type or organization’s rules may be the reason.

Secure the account and devices that can open Drive
Drive sharing settings cannot protect a file from someone using an already-unlocked device or an account they can access. Secure the Google Account, use device-level protections on shared devices, and sign out when appropriate. Google advises account-security measures and notes that the Drive app itself cannot be given a passcode. If you enable offline access, Drive information is stored on the device, so consider who can use that device.
Google’s Drive security guidance for Android covers account and device considerations. Google also describes activity controls and data downloads in its privacy and control guidance. On work or school accounts, administrators may have different policies and may be able to review logs of Google access to content.

Keep a separate copy only if you need one
Google lets you download account data. A separate offline copy can help with recovery or access when you are away from the internet, but it is not a privacy switch: it does not change the permissions or processing of the copy that remains in Drive. If you keep a copy on an external drive, protect it with encryption and secure the device; an unprotected local copy can create another exposure.
When access changes do not seem to take effect
- Someone still appears able to open the file: check the parent folder, group membership, and shared-drive role, not only the file’s direct list.
- You cannot change a setting: a work or school administrator or organization policy may restrict sharing or export.
- You deleted the item but need access revoked: deletion is not necessarily immediate revocation. Google says people may be able to make a copy until the owner permanently deletes a shared file.
- You moved the file or changed collaborators: review sharing again, because folder permissions and membership can affect access.
For a work or school account, ask the organization’s administrator or the relevant folder or shared-drive manager to review permissions you cannot control.
