But “free” usually means no recurring software subscription—not free payment processing, hardware, or every feature you may need. The right choice depends on your payment mix, transaction volume, devices, staff, inventory, and location.
What “free POS” really costs
A free plan can still involve three costs: payment processing, hardware, and paid features. Estimate the full monthly cost rather than comparing software subscription prices alone. A system with no subscription may cost more than a paid plan if its processing rates or required upgrades are a poor fit for your business.
Payment processing
Card fees vary by how customers pay: in person, online, by invoice, or through manually entered card details. Cash and check transactions may be treated differently. To estimate processing, use your actual average sale, number of monthly transactions, and payment mix; apply the provider’s rate for each payment type. Check whether the fee is calculated on the transaction total, including tax and tip.
Hardware and upgrades
You may be able to begin with a phone or tablet you already own, but check device compatibility and country support before relying on tap-to-pay. A countertop setup may call for a reader, stand, receipt printer, cash drawer, or barcode scanner. Also price any paid features needed for staff permissions, deeper inventory management, longer sales-history access, or additional locations.

When a free POS is a good fit
A free tier is worth considering when checkout is straightforward, you can use devices you already own, and its included features cover the work you do every day. It is especially useful to evaluate when a recurring software bill would be burdensome and the expected processing costs remain acceptable.
- Your payment methods and sales channels match the provider’s supported options.
- The included inventory, reporting, integrations, and staff access cover your needs.
- You can keep using existing compatible phones or tablets, or have budgeted for required hardware.
- You have calculated processing costs using your own sales volume and payment mix.
When to price a paid plan or another provider
Free software becomes less attractive when you need controls or workflows it does not include. A feature may be essential even if you can technically operate without it: for example, staff permissions may matter if employees need different levels of access, while longer reporting history may be important for comparisons across seasons.

- Your business depends on multiple-location workflows, a large catalog, or omnichannel functions.
- Required hardware, processing rates, or add-ons make the total cost higher than a suitable alternative.
- You need to confirm support for your country, payment provider, device, or integrations before committing.
Shopify’s cited pricing, for example, combines the Shopify plan, transaction fees, and any POS Pro location; the $89 USD monthly POS Pro price is per location and billed yearly. That makes it a different comparison from a standalone free POS tier.

- List the jobs the POS must do. Include checkout channels, payment methods, inventory tasks, reporting history, staff access, locations, and integrations.
- Check what the free tier includes. Identify missing features that are necessary for daily operations, not merely attractive extras.
- Estimate processing costs. Use your average ticket, monthly transaction count, and share of card-present, online, invoice, and manually entered payments. Apply the rates for your country and account.
- Add setup and upgrade costs. Include required hardware and any essential paid add-ons or location charges. Confirm compatibility and availability before purchasing equipment.
- Compare the total with alternatives. Consider both a paid plan and other providers; compare features and total operating costs, not just monthly subscription prices.
