INDEX/MATCH is usually the safer choice when a worksheet’s columns may move: it names the lookup range and return range separately, rather than relying on a numbered return column inside one table. VLOOKUP remains a compact, familiar option for stable tables—but its column number can point to a different field after a layout change. Neither formula is maintenance-proof, and both need an exact-match setting when you want an exact result.

At a glance

Name Best for Key spec Checked
INDEX/MATCH Lookups where the return field may move or is to the left of the lookup field Separate return and lookup ranges; use MATCH with 0 for an exact match Nov 2026
VLOOKUP Simple left-to-right lookups in a table with a stable column layout Searches the first column of its table range and returns from a numbered column to its right Nov 2026

Which is more dependable when a column is added or moved?

INDEX/MATCH is generally easier to maintain when the return field’s position may change, because the formula identifies the return range separately from the lookup range. VLOOKUP instead uses a numeric column index counted from the left edge of its selected table range. That index makes the intended return field less explicit when the table’s layout changes.

This is a resilience advantage, not a guarantee that INDEX/MATCH will survive every edit untouched. Its ranges still need to cover the correct lookup and return data. If a change moves, resizes, or otherwise leaves those ranges out of alignment with the intended fields, review the formula.

What the column number means in VLOOKUP

VLOOKUP searches for the lookup value in the first column of table_array, then returns a value from a column to its right. The col_index_num argument counts columns from the left edge of the selected range—not from column A or from the worksheet’s column letters.

For example, in =VLOOKUP(E2,A2:C100,3,FALSE), the selected range begins at column A. Column A is index 1, B is 2, and C is 3, so the formula returns from the third column of that range. If the table’s column order changes, inspect both the range and the index to confirm that the formula still points to the intended field.

Why INDEX/MATCH makes the fields clearer

In an INDEX/MATCH formula, MATCH finds the relative position of the lookup value in one range, and INDEX uses that position to return the corresponding item from another range. Since the two ranges are specified independently, the return field can be to the left or right of the lookup field, and the formula does not encode the return field as a column number within a table.

What happens when you insert a column?

There is no universal guarantee that either formula will remain correct after every kind of structural edit. The outcome depends on the selected ranges and the way the worksheet is changed. VLOOKUP’s numeric index refers to a position inside its selected range, so inserting, removing, or rearranging columns can change which field occupies that position or alter the range being searched. That is why the range and index deserve a deliberate review after a layout change.

INDEX/MATCH avoids that particular numbered-return-column dependency: the formula states a lookup range and a return range. This makes the intended relationship easier to see, especially in a table where fields are reordered or the return field is on the left. But if the ranges no longer cover the right data, or no longer refer to corresponding records in the intended order, INDEX/MATCH can also return an unintended result. Treat the formula as easier to inspect, not immune to edits.

A practical maintenance habit is to test a known lookup before and after changing a worksheet layout. Confirm that the lookup field is still the one being searched and that the returned value still comes from the intended field. For VLOOKUP, also recount the return index from the first column of the selected range. For INDEX/MATCH, inspect both ranges and confirm that they still line up by record.

What are the correct formulas for an exact match?

Use FALSE or 0 as VLOOKUP’s fourth argument for an exact match. For INDEX/MATCH, set MATCH’s third argument to 0. These settings matter: if you omit VLOOKUP’s optional fourth argument, it defaults to approximate matching.

Function Exact-match pattern What to check
VLOOKUP =VLOOKUP(lookup_value,table_array,col_index_num,FALSE) The first column of the selected table range contains the lookup values, and the return index identifies the intended column within that range.
INDEX/MATCH =INDEX(return_range,MATCH(lookup_value,lookup_range,0)) The lookup and return ranges cover corresponding records in the intended order.

=INDEX(C2:C100,MATCH(E2,A2:A100,0))

MATCH looks for the value in E2 in the ID range and returns its relative position. INDEX uses that position in the names range, so the formula returns the name on the corresponding row.

The VLOOKUP version is:

=VLOOKUP(E2,A2:C100,3,FALSE)

Here, IDs must be in the first column of the selected range, A2:C100, and the name is in its third column. Both formulas request an exact match; INDEX/MATCH allows the lookup and return ranges to be specified separately.

How to build the formulas without losing track of the ranges

  1. Identify the lookup value. In the example, the ID to find is in E2. The value can be a cell reference such as E2 rather than a value typed directly into the formula.
  2. Identify the lookup field. The employee IDs occupy A2:A100. That is the range MATCH searches in INDEX/MATCH. For VLOOKUP, this same field must be the first column in the selected table range.
  3. Identify the result field. Names occupy C2:C100. INDEX returns from this range. In VLOOKUP, the table range must include the ID and name columns, and the third position within A2:C100 is the name field.
  4. Set exact matching explicitly. Use 0 as MATCH’s third argument or FALSE as VLOOKUP’s fourth argument when the lookup requires the exact ID.
  5. Check the returned record. Try a lookup whose expected name you can verify. This helps catch a range or column-index mistake before you rely on the formula across a larger list.

The important distinction in this example is not that one formula searches more accurately than the other when both are set to exact match. It is how each expresses the fields. VLOOKUP packages the lookup field and result field in one table range and identifies the result by a number. INDEX/MATCH names the search and result ranges separately, then uses MATCH’s position to connect them.

When should you choose VLOOKUP?

Choose VLOOKUP when the lookup field is at the left edge of a stable table, the return field is to its right, and a compact formula is easiest for you or your colleagues to read. For that straightforward layout, it is a practical option—provided you set the exact-match argument explicitly when exact matching is required.

  • Use it for a simple left-to-right lookup: the key must be in the first column of the selected range.
  • Make the return index auditable: count from the first column of table_array, not from the worksheet’s first column.
  • Review it after layout edits: confirm that the range still starts with the lookup field and that the numeric index still targets the return field.

Its familiarity is a real maintenance benefit when a team already understands the formula and the data layout is steady. A formula that colleagues can read and check is useful; there is no need to replace VLOOKUP solely because another function is more flexible. The important thing is that its assumptions remain true: the lookup field begins the selected range, the result is to its right, and the return index still points to that result column.

Before filling a VLOOKUP formula down a column, verify those assumptions in one representative row. Confirm that the range begins with the lookup field and that the index is counted within that range. If the range begins in column D, for example, its first field is index 1 regardless of the worksheet’s column letters. This small check can prevent a common error: counting from the worksheet rather than from the selected table.

When should you choose INDEX/MATCH?

Choose INDEX/MATCH if the return field may be to the left of the lookup field, if you want to specify the two fields separately, or if you want to avoid a hard-coded VLOOKUP return-column number. Its flexibility comes with a nested formula that can take more effort to read than a simple VLOOKUP.

  • Use it for a lookup to the left: the lookup and return ranges need not be arranged as a left-to-right VLOOKUP table.
  • Use explicit ranges: identify the lookup values and the values to return as separate ranges.
  • Keep the ranges aligned: both should cover the intended records in matching order; check them after edits that move, resize, or reorganize the data.

For someone checking the formula later, the separate range references can make the job more direct: one range shows what is searched, and the other shows what is returned. That clarity is especially helpful when the lookup field is not the leftmost field in the data or when the desired result sits to its left. The formula does not require you to reshape the table just to put the lookup key first.

The trade-off is that there are two range references to inspect, plus one function nested inside another. If those ranges cover different records or are no longer in corresponding order, MATCH’s position may be applied to the wrong return item. A useful review is to compare the first and last records covered by both ranges and verify that the matching positions correspond. INDEX/MATCH removes a numbered return-column argument; it does not remove the need to understand the ranges.

Is XLOOKUP a better option in a recent version of Excel?

If your Excel installation includes XLOOKUP, it is a simpler alternative for many lookups: Microsoft describes it as working in any direction and returning exact matches by default. Availability depends on the Excel version, so confirm that the function is supported wherever the workbook will be opened before relying on it.

Do not assume that a formula available in a newer Excel release will work in every older installation. Microsoft’s function documentation lists Microsoft 365 and Excel 2024, 2021, 2019, and 2016 among the releases covered for the relevant lookup functions, but XLOOKUP is not available in every older Excel installation. Check the specific function’s support information and the versions used by the people who need the workbook.

Version compatibility matters most when a workbook is shared. A formula that works on the computer where it was created may not be usable for someone opening the file in an older Excel installation. If colleagues, clients, or other recipients need to edit or recalculate the workbook, check their Excel versions rather than assuming the newest function is available everywhere.

For a team deciding among the three, separate the questions: which formula expresses the lookup most clearly, and which formulas can the intended users run? XLOOKUP’s any-direction behavior and exact-match default can make a formula simpler in a supported version. INDEX/MATCH remains useful where separate ranges are desirable or compatibility makes it the appropriate choice. VLOOKUP remains readable for stable, left-to-right tables. The version and layout both matter.

What should you check if a lookup returns the wrong value or #N/A?

A wrong result or #N/A does not always mean the record is missing. Check the formula’s ranges, matching mode, and whether Excel sees the lookup and source values as equal.

If VLOOKUP returns a value from the wrong column

  • Confirm that the first column of table_array is the lookup field.
  • Recount col_index_num from the first column of that selected range.
  • After a column-layout change, verify that the range and index still identify the intended return field.

If an exact lookup returns #N/A

  • Check that the lookup value is actually present in the lookup range.
  • Check for formatting differences or another mismatch that could prevent Excel from treating the two values as equal.
  • Confirm that you are searching the intended range and, for VLOOKUP, that it begins with the lookup column.

If INDEX/MATCH stops returning the intended record

Inspect both ranges. MATCH must search the correct lookup values, and INDEX must use a return range that corresponds to those values in the intended order. Separate ranges eliminate the VLOOKUP-style return-column index, but they do not remove the need to maintain valid ranges.

A short troubleshooting sequence

  1. Check the match setting. If the goal is an exact lookup, make sure VLOOKUP has FALSE or 0 as its fourth argument, or MATCH has 0 as its third argument. VLOOKUP’s optional fourth argument defaults to approximate matching when omitted.
  2. Check the search field and range. Make sure the formula is looking in the intended data. VLOOKUP requires the lookup field to be the first column of its selected range; a range that starts elsewhere will not satisfy that requirement.
  3. Check the result position. For VLOOKUP, recount the columns from the range’s left edge. For INDEX/MATCH, confirm that INDEX points to the intended return range.
  4. Check whether the values actually match. A visible item may look identical while Excel treats the lookup and source values as different because of formatting or another mismatch. Do not conclude that the record is absent until you have checked this possibility.
  5. Check the data relationship. For INDEX/MATCH, ensure the lookup and return ranges still cover corresponding records in the intended order. A correct position applied to the wrong return range can produce a result that looks plausible but is incorrect.

These checks distinguish a missing item from a formula setup issue. A wrong-column result points first toward the VLOOKUP table range or index. A #N/A result calls for checking whether the value is present and whether Excel sees it as equal to the source value, as well as confirming the range and matching mode. The error alone does not identify which issue occurred.

How should you decide between them?

Start with the layout and the people who will maintain the workbook. If it is a stable, left-to-right table and the team is comfortable with VLOOKUP, use it with an explicit exact-match argument when needed. If the return field can move, sits to the left, or should be named independently from the lookup field, INDEX/MATCH is usually the more flexible choice. If everyone who needs the file has a recent Excel version that supports XLOOKUP, consider it as a simpler alternative.

Whichever formula you select, treat a structural edit as a reason to check that the formula still points to the intended data. The key difference is what the formula depends on: VLOOKUP’s numbered return column is tied to the selected table range’s layout, while INDEX/MATCH names the lookup and return ranges separately.

A decision checklist

  • Is the lookup key the first field in the selected table range? If not, VLOOKUP is not a fit for that arrangement unless the selected range is adjusted. INDEX/MATCH can use separately specified ranges.
  • Is the desired result to the left of the lookup field? INDEX/MATCH supports that arrangement; VLOOKUP returns from a column to the right of its first-column lookup field.
  • Could the field layout change? INDEX/MATCH avoids a hard-coded return-column number, but either formula should be checked after edits that change its ranges or intended fields.
  • Does exact matching matter? Set the appropriate argument explicitly. Do not leave VLOOKUP’s optional fourth argument blank when you need an exact match.
  • Which Excel versions must support the workbook? Check function availability, particularly before choosing XLOOKUP for a shared file.
  • Who will maintain the formula? Prefer a structure the workbook’s users can inspect and understand, then document or test the formula when the worksheet changes.

There is no need to choose based on an assumed speed advantage: Microsoft’s function guidance does not establish that either VLOOKUP or INDEX/MATCH is faster. Make the choice based on lookup direction, how the return field is specified, exact-match settings, version compatibility, and maintainability after a worksheet edit.

Does INDEX/MATCH make a workbook calculate faster than VLOOKUP?

The cited Microsoft function guidance does not establish a speed advantage for either formula. Choose based on the lookup layout, exact-match settings, and how clearly the workbook’s maintainers can inspect the formula.

Which formula is more likely to survive adding a column?

INDEX/MATCH is generally more resilient when the return field may move because it specifies the lookup and return ranges separately instead of using a numbered return-column index. Still inspect its ranges after edits; it is not maintenance-proof.

Why does VLOOKUP return the wrong column?

Its return-column number is counted from the left edge of the selected table range, not from the worksheet’s column letters. Recount that index and confirm that the table range still begins with the lookup field and includes the intended result field.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why do I get #N/A when the value appears to be in the list?

The item may be absent, or Excel may not see the lookup and source values as matching because of formatting or another mismatch. Also confirm that the formula searches the intended range and is set for exact matching when that is the goal.

Can VLOOKUP return a value from a column to the left of the lookup field?

No. VLOOKUP searches the first column of its selected range and returns from a column to its right. INDEX/MATCH can use separate lookup and return ranges, including a return field to the left.

Does leaving VLOOKUP’s last argument blank give an exact match?

No. The optional fourth argument defaults to approximate matching when omitted. Use FALSE or 0 when the task requires an exact match.

The Bottom Line

Bottom line: Use VLOOKUP for a stable, left-to-right table when its numeric column index is easy to verify. Prefer INDEX/MATCH when the return field may move, sits to the left, or should be specified independently. Set exact matching explicitly, check the ranges after structural edits, and confirm Excel-version support before using XLOOKUP in a shared workbook.
