They are options to evaluate, not a tested ranking: the simplest fit depends on your workflow, team size, existing tools, budget, and the support you need.
First decide whether you need to switch from HubSpot
A CRM centralizes information and activity around customer relationships. HubSpot defines CRM software as a tool for organizing and managing those relationships on a centralized platform. Its free CRM has no expiration date and, according to HubSpot, includes contact, deal, and task management; email tracking; templates; document sharing; meeting scheduling; live chat; and sales quotes. If those capabilities and limits cover your team’s needs, changing systems may not solve a real problem. HubSpot also presents its customer platform as bringing together marketing, sales, customer service, and operations tools, which may suit a business that wants those functions connected. A smaller feature set is not automatically simpler in practice if it forces you to manage customer work across disconnected tools.
Which HubSpot alternatives should a small business consider?
Zoho CRM, Bigin, Freshsales, Pipedrive, and Less Annoying CRM are candidates for a shortlist. The available evidence does not support a feature-by-feature verdict or a claim that one is the easiest, cheapest, or best overall. Compare each against the same real tasks rather than choosing by name or feature count.

- Zoho CRM: Include it in your evaluation if you want to compare another CRM option against your contact, pipeline, and follow-up requirements.
- Bigin: Add it to the shortlist as a separate candidate; verify its current capabilities and plan limits for your workflow.
- Freshsales: Evaluate whether its current plans cover the sales tasks and integrations your team needs.
- Pipedrive: Check its current plan details and whether its available workflow matches how your team manages prospects and deals.
- Less Annoying CRM: Compare its current offering with the specific functions your business relies on today.

How to tell whether a CRM will be simpler for your team
Start with the workflow
Write down how customer information moves through your business: where contacts are recorded, how opportunities are tracked, who owns the next follow-up, and what needs to happen after a sale. Then decide whether you need only contact and sales-pipeline management or also marketing and customer-service functions. A CRM that supports the work without adding steps is more useful than one with a short feature list that leaves essential tasks uncovered.

Check team size and contact growth
Count current users and estimate how your team and contact list may grow. Compare those numbers with each plan’s seat and contact limits, and establish whether limits apply to the whole account or in another way. HubSpot’s free CRM, for example, is limited to two users and 1,000 contacts; do not assume another product’s free or entry plan uses the same limits.
Test compatibility with existing tools
Check that the CRM works with the email, calendar, website, accounting software, and internal tools your business already uses. A mismatch can add manual data entry or fragment customer records, offsetting any gains from a simpler interface. HubSpot’s own selection guidance includes compatibility with existing marketing, social media, and internal-management software.

Judge adoption and support, not just the demo
Ask the people who will use the system to try common tasks, such as finding a contact, updating a deal, and assigning a follow-up. Consider whether the interface is understandable to the whole team and whether the vendor’s service and support meet your needs. HubSpot’s published selection criteria also include ease of use, scalability, compatibility, price, and service or support.

Do not treat an advertised starting price as the total cost. For each candidate, confirm the current price for your region and the billing period you would choose, then check the number of users and contacts included, required add-ons, and any onboarding or support charges. Confirm whether a free tier or trial is currently available and what it permits.
Pricing pages for Pipedrive, Zoho CRM, Freshsales, and Less Annoying CRM are the right starting point, but exact prices and plan details can change. Verify them directly before purchasing: Pipedrive pricing, Zoho CRM pricing, Freshsales pricing, and Less Annoying CRM pricing. Compare plans for the same team size and workflow; a lower headline price may not include the capabilities or capacity you need.

A practical way to choose
- List must-have work. Identify the contact, deal, follow-up, marketing, and service tasks the system must support.
- Set team and data requirements. Record the number of users and contacts you need now, plus reasonable growth expectations.
- Check connections. Verify compatibility with the tools your staff already use.
- Compare plans on equal terms. Check current regional pricing, billing cadence, limits, add-ons, and support costs on each vendor’s official pages.
- Have intended users try routine tasks. Look for a workflow the team can follow consistently, not merely a feature list that looks attractive.
- Choose only after confirming coverage. Make sure the plan supports the required work and has enough capacity without paying for unnecessary complexity.
