There is no universal byte-size limit for a single image in an HTML email, and no image format is guaranteed to render identically across every email client. Gmail, Outlook, and Exchange publish limits for whole messages, attachments, or specific features—not a general per-image allowance. Optimize the actual image file, use its correct MIME type, and test the finished email in the clients your audience uses.
What “API formats and size limits” means for email images
Email images involve several separate layers: the image file and its media type, the way the email packages or references that file, and the sending service’s limits. MIME defines message structure and media-type representation; it does not promise that every client will display every image format or fetch every remote image. RFC 2046, an IETF Standards Track specification, describes multipart entities and uses image/jpeg as an example: RFC 2046.
“API” is not specific enough to establish a sending limit. The documentation here does not define constraints for an unspecified email-sending API. If you send through an API, check that provider’s current documentation and your account configuration for accepted media types, message-size limits, and any restrictions on inline content. Do not treat a mailbox provider’s attachment ceiling as a safe per-image budget.
Which published limits apply—and which do not
| Provider and limit | What it covers | What it does not establish |
|---|---|---|
| Google: 25 MB for personal Gmail attachments, according to its current Gmail help page accessed in 2026. Source | An aggregate attachment/send path limit for personal Gmail. Gmail may turn an over-limit attachment into a Google Drive link. Google Workspace administrators set sending and receiving limits for work and school accounts. | A 25 MB allowance for one inline image, or a universal limit for HTML email. The Workspace limit cannot be inferred from the personal Gmail figure. |
| Google: 25 MB maximum total image size for Gmail email layouts, according to its current layout help page accessed in 2026. Source | The combined images in the Gmail layouts feature. | A limit for all HTML email sent through Gmail or for all recipients. Google also warns that some Outlook versions may display layouts differently because they use Word to render HTML email. |
| Microsoft: 20 MB for email with internet email accounts, and a documented default of 10 MB for Exchange business accounts, according to its current Outlook support page accessed in 2026. Source | Total message limits that include attachments and the email. Exchange configuration can vary, so 10 MB is a default, not a guarantee for every account. | A per-image limit or a fixed ceiling that applies to all Outlook or Exchange accounts. |
| Apple: Mail Drop supports attachments up to 5 GB, with recipient access for 30 days, according to Apple’s page dated March 18, 2025. Source | A large-attachment alternative subject to Mail Drop’s conditions. | A practical inline-image target or a guarantee that the recipient’s email app accepts a message of that size. Apple notes that recipient apps may impose smaller limits. |
These figures have different scopes and cannot be combined into a single image-size rule. In particular, the Gmail layouts figure applies to that feature, while Gmail’s attachment figure concerns an aggregate sending path. Neither sets a universal cap for one embedded image.

Choose a conservative format and MIME type
Use a common raster image format that your target clients support, and declare the matching MIME media type when the image is attached or embedded. For example, JPEG is represented as image/jpeg in RFC 2046. That standards example is not a compatibility ranking: the official sources cited here do not provide a cross-client matrix for JPEG, PNG, GIF, SVG, or newer formats.
- Do not infer universal support for a format from MIME standardization alone.
- Keep the original image file’s actual format consistent with its declared media type.
- Validate the chosen image and markup in the email clients and versions that matter to your recipients.
Reduce file size—not just displayed dimensions
The dimensions an email shows and the number of bytes in its image file are different. Microsoft explicitly notes: “In new Outlook for Windows, you can change the display size of an image you’ve inserted in an email message, but you cannot reduce the file size of that image:” Microsoft Outlook attachment guidance.

Microsoft’s guidance covers Outlook for Microsoft 365, Outlook 2024, Outlook 2021, Outlook.com, new Outlook for Windows, and Outlook Web App. Its classic Outlook compression workflow reduces resolution and file size while maintaining image dimensions. If the goal is to reduce bytes, use a compression or export process that changes the image file itself; changing only its displayed size does not do that in new Outlook for Windows.
Remote images and embedded images behave differently
A remote image is hosted elsewhere and must be fetched by the recipient’s email client. An image embedded in the message travels with the email, so its bytes contribute to the message’s aggregate size. Neither approach guarantees identical rendering across clients; test the result in the environments your readers use.

Microsoft says Outlook for Android and iOS lets readers block automatic loading of images hosted on the internet as a privacy option. The same setting does not block images embedded in the email as attachments. A remote image can therefore be valid and still fail to load automatically for a recipient using that Outlook mobile control: Microsoft’s explanation of blocking external images.
For layout behavior, Google warns that some Outlook versions use Microsoft Word to render HTML email, which can cause Gmail layouts to display differently. This is another reason to test the full message rather than assume that a valid image file or MIME type ensures the intended appearance: Google’s Gmail layouts guidance.

Set a practical image budget
- Identify the sending path. Check the current message-size and inline-content rules for the actual sending API, account, and recipient systems. A general attachment limit is not a per-image budget.
- Optimize the file itself. Compress or export the image to reduce its encoded file size while keeping the displayed image legible. Resizing its appearance alone may not reduce its bytes.
- Choose how the image will be delivered. Remote images require a client to fetch content from an external host; embedded image bytes count toward the aggregate message size. Consider the audience’s privacy settings and the sender’s limits.
- Use the correct media type. Ensure the declared MIME type matches the image file, without treating the type declaration as proof of client support.
- Test representative clients. Check whether images load and whether the markup and layout appear as intended in the email clients and versions used by your audience.
Do not use a provider’s maximum attachment size as the target for one image. The published limits above cover different products and message paths, and none establishes a safe universal byte threshold for an HTML email image.
