Windows Search builds an index on your device so it can find files faster. You can control which locations and file contents it indexes, but those controls are separate from cloud results from connected Microsoft accounts and web results powered by Bing. Knowing which search path is involved makes it easier to balance convenience, coverage, and privacy.

How does Windows Search index files?

Windows Search catalogs information about files in a local index. Depending on your settings, that catalog can include file names, full paths, properties, and text inside files. Windows updates the index in the background as files change. What does Classic or Enhanced indexing include?

Windows 11 offers two indexing scopes. The wider scope can find more files, but Microsoft notes it may use more system resources. You can also customize indexed locations.

Mode Default scope Practical effect
Classic Documents, Pictures, Music, and the desktop Indexes common locations by default; add or remove locations to fit your needs.
Enhanced The entire PC, including user folders and files Search covers a broader set of locations and may use more system resources.

Can Windows Search find words inside documents?

Yes, if content indexing is enabled for the relevant file type and the format is supported. Windows lets you choose whether to index a file type’s properties only or its properties and contents. Properties-only indexing can still find a document by its name or other indexed properties, but not by words in its body. It can reduce the index size while limiting content-based searches.

How do I change indexed locations and file types?

Windows 11: choose the indexing scope

  1. Open Settings > Privacy & security > Searching Windows.
  2. Choose Classic or Enhanced, then review the available location controls.
  3. In Classic mode, select Customize search locations to open the older Indexing Options controls and adjust included locations.

Choose whether to index file contents

  1. Open Indexing Options and select Advanced.
  2. Open the File Types tab.
  3. Select a file type and choose whether Windows indexes properties only or properties and file contents.

Windows 10: find the indexing controls

For file-indexing scope, open Settings > Search > Searching Windows. Search permissions and history are under Settings > Search > Permissions & History. These Windows 10 paths differ from Windows 11’s settings path.

Does Windows Search upload my files?

Local file indexing and online search results are different mechanisms. The index described above is created on the device. Narrowing its locations or choosing properties-only indexing changes what Windows catalogs locally; it does not control the account or web results that may also appear in Search.

On Copilot+ PCs, Windows also uses semantic indexing alongside traditional indexing. Microsoft says semantic-indexing data is stored locally and states, “None of it is stored by Microsoft or used to train AI models.” That assurance refers specifically to semantic-indexing data, not every kind of Windows Search data or every result shown in Search. Microsoft lists supported document formats as .txt, .pdf, .docx, .doc, .rtf, .pptx, .ppt, .xls, and .xlsx, and image formats as .jpg/.jpeg, .png, .gif, .bmp, and .ico. Semantic search can match related concepts—for example, a search for “pasta” may also find material about lasagna. Why do cloud or web results appear in Windows Search?

Search can combine local files with results from other sources. Microsoft provides separate controls for connected accounts and web search, so changing indexed folders does not switch those sources off.

  • Personal Microsoft account: When personal cloud-content search is enabled, results can include items from personal OneDrive, Outlook, and other Microsoft services.
  • Work or school account: When work or school cloud-content search is enabled, results can include OneDrive for Business, Outlook, SharePoint, and other services through Microsoft Search.
  • Web results and suggestions: Windows Search uses Bing for web results and suggestions. Microsoft says Bing may personalize results when you use web search or suggestions.

How do I clear Windows search history?

There are two separate histories to consider. Windows device search history is saved locally and can be cleared in Search permissions. Account-associated web search history is managed separately through the Microsoft privacy dashboard. Clearing device history should not be taken to mean that account-associated web history has also been deleted. What if Windows Search misses a file?

First check whether the file is in an indexed location and whether its type is configured for the kind of search you are doing. A properties-only setting will not find words inside the file. Also check whether the file is hidden or has moved, particularly after a Windows upgrade.
