Windows Search finds files through an index: a catalog of file names, paths, properties and, when enabled for a supported file type, text inside files. If a result is missing, check three things—in order: whether the folder is included, whether that file type’s content is indexed, and whether indexing has finished. Windows 11 provides built-in controls for all three.

What Windows Search indexes

Windows builds a catalog of information from files, email and other content on the PC so it can search that catalog more quickly. File names and full file paths are indexed by default. For supported text-bearing file types, Windows can also index the text inside a file. Apps may contribute data too; Microsoft gives email from Outlook synced to the machine as an example. Microsoft describes the index as a way for Windows to “quickly locate and retrieve the information you need.” (Microsoft Support: Search indexing in Windows)

After its initial pass, Windows updates the catalog in the background as files change. Microsoft estimates that initial indexing can take up to a couple of hours; the actual time depends on the amount of content and is not a guaranteed deadline. Until indexing catches up, a newly added or changed file may not appear in results.

Choose which locations Windows searches

In Windows 11, open Settings > Privacy & security > Searching Windows. Under Find my files, choose the coverage that suits you.

Mode What it covers When to choose it
Classic Indexes Documents, Pictures, Music and Desktop by default. You can add other folders. Start here if you mainly search common personal folders, or add a specific location where a missing file is stored.
Enhanced Indexes the entire PC, including all user folders and files. Choose it when you want broader coverage and accept the possibility of greater resource use.

Microsoft warns that searching the entire PC may affect battery life and CPU consumption. It does not publish a device-independent performance figure, so the impact will vary by PC and workload. See Microsoft’s Searching Windows documentation.

Add a folder in Classic mode

  1. Open Settings > Privacy & security > Searching Windows.
  2. Under Classic, select Customize search locations.
  3. In Indexing Options, select Modify.
  4. In Indexed Locations, check the folder or location you want included, then confirm the selection.

Adding a folder changes where Windows searches; it does not by itself determine whether words inside every file in that folder are searchable.

Choose whether to index file contents

Windows can index each file type as properties only or properties and content. Properties include searchable information such as a file’s name. Content indexing adds words inside supported files to the catalog. If a document appears when you search its name but not a phrase in its text, check this setting before rebuilding the index.

  1. Open Settings > Privacy & security > Searching Windows, then select Customize search locations under Classic to open Indexing Options.
  2. In Indexing Options, select Advanced, then open the File Types tab.
  3. Select the file extension you want to check.
  4. Choose Index Properties Only or Index Properties and File Contents, then confirm.

Indexing content makes text searches possible for that file type, while disabling it can reduce index size but make files harder to find. Microsoft says the index is generally less than 10 percent of the size of the indexed files, but presents that as a rule of thumb, not a guaranteed maximum. The proportion can be larger when the catalog includes many very small files (under 4 KB) or computer code. (Microsoft Support)

How Copilot+ PCs differ

Copilot+ PCs add semantic indexing alongside traditional indexing. For documented formats, this can return conceptually related results: a search for “pasta,” for example, may also find a document about lasagna. Microsoft lists these document formats: .txt, .pdf, .docx, .doc, .rtf, .pptx, .ppt, .xls and .xlsx. Listed image formats are .jpg/.jpeg, .png, .gif, .bmp and .ico. Microsoft says semantic indexing is enabled by default on Copilot+ PCs, and that the data for this semantic indexing is stored locally rather than stored by Microsoft or used to train AI models. That statement concerns the described Copilot+ semantic-indexing data, not every app that may contribute information to Windows Search.

Microsoft recommends plugging in a Copilot+ PC during initial indexing. You can check its status in Settings > Privacy & security > Searching Windows. Details are in Microsoft’s Searching Windows documentation and Windows Search and Privacy.

  1. Check the file’s location. If you use Classic, verify that the folder is included. Add it through Settings > Privacy & security > Searching Windows > Customize search locations > Modify.
  2. Check content indexing if you searched for a phrase inside the file. In Indexing Options, open Advanced > File Types, select the extension and check whether Index Properties and File Contents is selected.
  3. Give indexing time to catch up. Microsoft estimates an initial pass may take up to a couple of hours; later changes are handled in the background. The estimate is not a guarantee for an individual PC.
  4. Run the Search and Indexing troubleshooter if appropriate. Microsoft recommends it for certain missing-file cases, including some problems after upgrading Windows. See Fix problems in Windows Search.
  5. Rebuild only if results remain incomplete. In Indexing Options, select Advanced > Index Settings > Troubleshooting > Rebuild. Rebuilding restarts indexing and can take a long time. Microsoft documents this as a troubleshooting option, including for Outlook-related symptoms; it is not the first step for every missing file.
