A strong presentation voiceover explains the ideas behind a slide instead of repeating its bullets. Give each slide one clear takeaway, then use narration to explain why it matters, add context or an example, interpret important visuals, and connect the idea to what comes next.
What a voiceover should add to a slide
The slide and the narration do different jobs. The slide gives people a visual anchor; the voiceover supplies the reasoning and context that help them understand it. Microsoft describes speaker notes as a way to “tell a story to your audience beyond the slide content.”
That distinction also helps with accessibility. W3C notes that it can be difficult for many people to read text and listen to a speaker at the same time, and recommends keeping slide text limited while putting additional detail in a handout or separate notes. Use the voiceover to explain the point, not to recite every line the audience can already read.
Draft a talk track for each slide
- State the slide’s main point. Write one sentence that says what the audience should take away. If you cannot do that clearly, refine the slide’s purpose before writing a longer script.
- Separate what is visible from what needs explaining. Note what the audience can read or see, then identify the missing context: why the point matters, what evidence supports it, what an example looks like, or what consequence follows.
- Build the explanation. A useful pattern is point, meaning, evidence or example, then connection to the next slide or decision. This is a practical drafting aid, not a formal standard or a guaranteed formula.
- Write for the ear. Prefer short, natural sentences and explicit links such as “because,” “by contrast,” and “as a result.” Read the draft aloud and revise phrases that sound like a report instead of something you would say.
- Explain meaningful visuals. For a chart, name the takeaway and the relevant trend or comparison. For an image, explain its purpose if that purpose is not self-evident. “As you can see” does not describe information for someone who cannot see the slide.
- Put the talk track where you can use it. Keep it in speaker notes or a separate script. PowerPoint supports adding notes in Normal or Notes Page view and consulting them in Presenter View; Microsoft documents these features in its speaker notes guidance.
- Rehearse and edit. Practice with the actual slide sequence and time available. Cut low-value detail before trying to speak faster.
Example: turn a bullet into an explanation
Suppose a slide says “Support tickets fell 18% after the help-center update.” Rather than repeating that sentence, the voiceover could explain what changed, why that change might have affected ticket volume, and what the team should examine next. If the chart compares ticket volume before and after the update, describe the relevant comparison in words; do not assume the audience will infer it from the graphic alone.

Keep the spoken claim aligned with the evidence shown. If the chart establishes a timing relationship but not a cause, describe the decrease after the update without asserting that the update alone caused it.
Choose a format that fits the delivery

There is no established universal ideal voiceover length, words-per-slide rule, or speaking speed in the cited guidance. ALA mentions the “10/20/30 rule” as one alternative convention, not as a validated voiceover formula. Plan around your material, audience, and actual time slot.

Make recorded voiceovers accessible
Accessibility takes more than writing a script. Section508.gov recommends planning caption-friendly content from the beginning, avoiding overlapping voices, and making transcripts available in accessible formats, such as a conformant webpage or plain text. It cautions that speech over 180 words per minute may be too fast for captions; that is a captioning consideration, not a universal speaking-rate target.
- Describe important visual information in the spoken content when it is needed to understand the presentation.
- Provide captions for dialogue and a transcript in an accessible format.
- Review slide accessibility and reading order as well as the narration.
- Use concise, unambiguous alt text for images, conveying their content and purpose without duplicating nearby text. Microsoft also recommends audio description when needed for people who are blind or have low vision.
In a 2021 study, the authors of Say It All reported that 72% of 610 visual elements across 90 presentation videos were insufficiently described. That is a finding from those study materials, not a rate that should be generalized to every presentation or audience.

Record and review the finished track
PowerPoint documentation describes recording an audio file directly and inserting it into a slide, though exact steps can vary by platform and version. See Microsoft’s audio and video instructions. An external microphone is not established as a requirement for writing or recording a voiceover.
Before sharing, listen while following the slides. Check that the narration advances the argument, explains visuals essential to the point, fits the available time, and does not conflict with captions or on-screen text.
