To void a check in QuickBooks, open the check and choose Void in QuickBooks Online, or select Edit > Void Check in QuickBooks Desktop. Voiding changes the bookkeeping record to zero while preserving it; it does not tell your bank to stop a paper check.

Choose the workflow for your QuickBooks version

Situation QuickBooks Online QuickBooks Desktop
New check created to be voided Enter the check details, then select More > Void and confirm. Not applicable to the register workflow described by Intuit; enter or locate the check, then void it in the register.
Check already recorded Find it under All apps > Expenses & Bills > Expense transactions, then select Void. Open the account register, select the check, then choose Edit > Void Check.

Void a check in QuickBooks Online

  1. Select + Create, then choose Check under Vendors.
  2. Enter the bank account, check number, payment date, and account for the check.
  3. Select More > Void, then confirm by selecting Yes.

These are the fields Intuit specifies when entering a check for the purpose of voiding it. Intuit also says you can void transactions already recorded in QuickBooks Online. See Intuit’s instructions for recording voided checks.

Void a check that is already recorded

  1. Go to All apps > Expenses & Bills > Expense transactions.
  2. Find the check. Use its action dropdown and select Void, or open the check and select More > Void.
  3. Confirm the void when prompted.

Void a check in QuickBooks Desktop

  1. Go to Banking > Use Register.
  2. Select the bank account used for the check.
  3. Select the check in the register.
  4. Choose Edit > Void Check, then select Record.

QuickBooks Desktop changes the amount to $0.00 and adds “VOID” to the Memo field, according to Intuit’s Desktop check instructions.

Voiding versus deleting a check

Voiding keeps a zeroed transaction in the books. Deleting removes the transaction from the books, although it remains in the audit log. Use void when you want the check’s history to remain visible; deleting is a different action and can remove context from the books.

Intuit’s QuickBooks Online help page, updated September 7, 2026, says: “You can’t undo a voided transaction.” It describes deleting a voided transaction and creating a new one as a corrective route—not an undo button. The audit log can also be used to re-enter a deleted transaction. Read Intuit’s explanation of voiding, deleting, and the audit log. Verify that you selected the correct check before confirming.

What to do if the paper check may still be presented

A QuickBooks void changes the accounting record; the cited QuickBooks instructions do not establish that it stops a paper check at the bank. If the check has been issued and could still be presented, contact your bank promptly and ask about its stop-payment process. Do not assume that voiding it in QuickBooks prevents payment.

Review the correction during reconciliation

As part of your normal reconciliation, compare the affected QuickBooks transaction with the bank statement. Intuit describes reconciliation as comparing QuickBooks transactions with bank or credit-card statements and recommends reconciling monthly after statements arrive.
