To verify a research institute’s record, use indexes to find candidate publications and patents, then check important claims against the original paper, patent document, official register, or dated institutional record. First define which organization and period you mean: legal and operating names, aliases, parent or child organizations, country, known researchers, and audit dates. A database match can help locate evidence, but it is not conclusive proof of authorship, affiliation, ownership, legal status, or a formal partnership.
How to verify an institute’s publications and affiliations
- Start with the institute’s publication list. Treat it as a lead list, not a definitive count. Record each paper’s DOI or other stable identifier and the page’s publication or access date.
- Check the publisher or repository record. Confirm the title, author list, publication date, DOI, venue, and the affiliation text shown in the source record. Preserve the original byline and affiliation wording when attribution is disputed.
- Compare discovery indexes with the source record. Cross-check in Crossref and an open index such as OpenAlex, but investigate differences instead of counting every index match. OpenAlex says its institution data draw on Crossref, PubMed, MAG, and publisher websites; its affiliation matcher resolves raw affiliation strings to institutions. OpenAlex reported that matcher version 3.0, dated 28 September 2026, identified the correct institution for 89% of a random sample of affiliation strings, compared with 73% for the prior version. This is the provider’s reported matching benchmark, not an accuracy estimate for a particular institute’s records.
- Disambiguate the organization. Search by persistent identifiers and hierarchy, not name alone. Check legal-name variants, former names, campuses, units, and parent or child organizations. ORCID recommends organization identifiers such as ROR to distinguish affiliation entities.
- Disambiguate authors. Compare the source byline with ORCID and corroborating details such as research topic, coauthors, and affiliation history. OpenAlex retains raw author names and affiliation strings alongside resolved matches, but profiles can merge different people, split one person’s work, or preserve an outdated affiliation. Treat them as indexes, not substitutes for checking individual works.
When a publication record is missing or wrong
Trace the mismatch to its source before trying to correct it. OpenAlex distinguishes incorrect publisher metadata, an incomplete ROR record, and an affiliation-matching error; these are different problems with different correction routes. How to find and verify patents
Build a search list and find candidate filings
Before searching, list the institute’s current and former legal names, abbreviations, transliterations, subsidiaries, affiliated hospitals or centers, and technology-transfer entities. Search researcher names as inventors as well as organization names as applicants; manually disambiguate results that share a name.
Search WIPO PATENTSCOPE by applicant or inventor name, and by any known application or publication number. Add relevant technology terms and language variants where useful. PATENTSCOPE covers published international PCT applications, patent documents from participating national and regional offices, and non-patent literature; it is not a universal census of every office or record type. Confirm attribution and distinguish families from filings
For each plausible result, record its publication and application numbers, named applicant, inventors, dates, priority information, jurisdictions, and source record. Confirm that the applicant is the institute or a related legal entity. An inventor’s institute affiliation or a press release alone does not establish patent ownership.
Follow the patent family and its national-phase members. PATENTSCOPE can display a single family member view, which may conceal other jurisdictional filings if you treat the visible result list as a complete count. Count an invention family separately from its filings in individual countries or regions. WIPO’s PATENTSCOPE FAQ describes family display and collection updates.

Check legal status in the relevant jurisdiction
If the claim concerns a granted, active, lapsed, assigned, or enforceable right, check the relevant national patent register and record the jurisdiction and date checked. An application publication is not proof of a granted or currently active patent. WIPO describes legal status as events affecting an application or patent; the EPO’s Espacenet FAQ warns that event data depend on national offices and may be delayed. Treat an aggregator’s status as a lead, not a real-time legal determination.
How to verify research collaborations
Use evidence that directly supports the type of relationship you are describing. A jointly authored paper with source-level affiliations supports collaboration on that work, but does not by itself establish an ongoing formal partnership.

- Coauthorship: Verify the work and the affiliations as printed in its source record. This supports joint work on that publication.
- Grant or project participation: Use a dated award or project record. Check that it names the organizations, period, and funder relevant to the claim.
- Formal partnership: Look for a signed agreement, joint-center announcement, or official institutional page. State the relationship’s dates and scope as the record gives them.
- Metadata relationships: Crossref’s Research Nexus connects organizations, people, works, and activities in structured metadata. The completeness of any specific relationship set depends on the metadata deposited by participating sources.
When comparing collaborators, use the same dimensions for each: relationship type, evidence source and date, named units and researchers, duration, jurisdiction, and whether the record is direct or inferred. Do not turn a coauthor network into a claim of institutional partnership without corroborating evidence.

For a reproducible audit, keep a record of the search names and identifiers used, the databases checked, the source record for each accepted claim, the relevant period, and the date you checked it. Separate verified records from uncertain matches, and explain the coverage of the indexes you used. A searchable database is not a complete census simply because it returns results.

Use precise language: “coauthored this paper,” “named as an applicant on this filing,” or “listed as a project participant for this period” is stronger and clearer than an unsupported claim that an institute owns a patent portfolio or maintains a continuing partnership. Where records conflict, report what each source says and identify the unresolved point rather than silently choosing one version.
