Use live chat to start a timely, relevant conversation when a known outbound prospect returns to a page that matters—such as pricing or a product page. Open with help tied to what they are viewing or your previous outreach, answer their question before qualifying them, and offer a human conversation or meeting when it makes sense. A visit is a useful signal, not proof that someone is ready to buy.

Why live chat can help with outbound leads

Outbound outreach begins before a prospect has necessarily shown interest. If that person later returns to your site, chat gives your team a chance to respond in context rather than send another disconnected message. The page they are viewing can help shape a useful opening, while CRM context can prevent them from having to repeat information they have already shared.

That context is a starting point, not a verdict. A prospect might be researching, comparing options, or visiting for a reason unrelated to an imminent purchase. Treat the visit as an invitation to offer help, then let the conversation—not the page view alone—show whether there is a fit or a next step.

Set up a focused, useful chat workflow

1. Choose which visits should prompt outreach

Prioritize pages that are meaningfully related to a sales conversation, such as pricing or product pages. Define which visitors qualify for outreach using your ideal customer profile and explicit criteria such as industry, region, or company size. Selective coverage helps sales representatives focus on relevant conversations instead of routing every visitor into the sales queue.

Decide in advance what should trigger an invitation, which team owns the resulting conversation, and when the visitor should be left alone. Intercom recommends targeting visitors and reviewing message results; its sales guidance also emphasizes focusing representative attention on qualified prospects.

2. Prepare context without making the prospect feel watched

Before replying, check what your organization already knows through its CRM or other approved customer records: the prospect’s company, role, prior outreach, stated needs, and assigned sales owner, if available. Use those details to make the conversation coherent—for example, by referring to a question raised in an earlier exchange. Do not make the person repeat information already in the record.

Use context to be helpful, not to recite a visitor’s browsing history. A simple reference to the product area or earlier conversation is generally more natural than listing pages they viewed. If you cannot confidently identify the visitor, avoid pretending that you can.

3. Open with a short, relevant offer of help

Keep the first message conversational and tied to the page or prior outreach. For example: “Hi Jordan—happy to help if you’re comparing plans. Is there anything you’d like clarified?” If the prospect has raised a specific issue before, you could instead ask whether they still need help with that issue.

Do not start with a qualification form disguised as a greeting. Intercom’s sales-training guidance recommends opening warmly and answering the prospect’s questions before asking your own. The goal is to make it easy to engage, not to force a sales script onto someone who has not asked for a pitch.

4. Answer first, then qualify lightly

Respond directly to the question the prospect asked. Once you have helped, ask only for information needed to determine fit or identify a useful next step. If relevant details are already in the CRM or can be obtained through appropriate enrichment, use them rather than asking the prospect to repeat themselves.

Qualification can be conversational: “What team would use this?” or “Which region would the rollout cover?” The right question depends on your fit criteria. Intercom describes qualification using CRM or third-party data and bot questions, and gives industry, region, and company size as examples of criteria that can inform routing. Collect only the details that help advance this conversation.

5. Route the conversation or offer a meeting

When the prospect’s needs and fit point to a useful next step, route the chat to the right sales owner or team. If a meeting is appropriate, make scheduling available in the conversation rather than leaving the prospect to find the next step on their own. Route using the criteria your team actually uses, such as region, industry, or company size, and ensure the person receiving the chat gets the relevant context.

Automation can collect basic information and handle routine questions, but make a human route available for complex questions or when the visitor expects to speak with a person. A bot that cannot answer should not leave the prospect stuck in an endless loop.

6. Record the conversation and follow-up

Log the exchange and its agreed next step in the CRM so the sales owner can continue without losing context. If a suitable prospect does not reply, set a deliberate follow-up rather than treating silence as either a rejection or a commitment. Intercom’s lead-report guidance describes adding the lead to Salesforce and snoozing the chat until a planned follow-up date.

7. Measure outcomes, not just activity

Track reply time alongside qualified chat rate, meetings booked, opportunities created, and eventual outcomes. These measures distinguish a fast but unproductive greeting from a conversation that helps sales progress. Review how targeting and message timing affect results, and use A/B tests when there are competing explanations for what is working.

Intercom’s Help guidance recommends trying to respond within three minutes. That is vendor operational guidance, not an independently established universal benchmark; choose a response target your team can meet consistently and evaluate it alongside lead quality.

Choose chat capabilities that support the sales motion

The right setup depends on how prospects are identified, qualified, handed off, and followed up—not simply on whether a tool displays a chat box. Assess these capabilities against the workflow above:

Interpret performance claims carefully

Intercom’s 2023 guide says it analyzed an anonymous dataset of 20 million live-chat messages. The same guide reports that people who chatted were 82% more likely to convert to customers and that accounts with a prior chat had 13% higher account value. These are vendor-reported associations: the figures do not establish that chatting caused the conversion or account-value differences.

Use your own qualified conversations and downstream outcomes to assess whether chat is helping your outbound motion. A page visit, a quick reply, or an aggregate vendor-reported association should not be treated as proof that an individual lead is ready to buy.
