You can keep cloud storage free by treating it as a working space, not an unlimited archive: use the free quota that fits your devices and accounts, reserve it for files you need to reach often, and move older files to local storage before deleting them online. The exact setup depends on how much space your email and photos already consume. Provider limits below are current as of October 7, 2026, and can change.
Start by checking what each free quota actually covers
A headline storage number can be misleading when several services draw from the same pool. Check your account’s storage breakdown first; a full email inbox or photo library can leave far less room for files than the advertised total suggests.

Build a setup around access, not just capacity
For many people, the simplest free arrangement is one main cloud account for current files and a separate local archive for older material. Add another provider only when its device support, sharing features, or account connections solve a real problem. Multiple free accounts can increase total capacity, but they also mean more logins, separate sync folders, and more chances to forget where a file lives.

- Archive: completed projects, old downloads, and large files you rarely open. Download these before deleting their cloud copies.
- Choose by workflow: consider phone and computer fit, email and photo integrations, file sharing, recovery options, and what happens if you exceed quota—not storage size alone.
Google specifically recommends downloading files to a personal device and then deleting them from cloud storage to reduce usage. An external hard drive can hold those archive files, but it is a local copy, not cloud syncing or an independent off-site backup. Google Drive storage limits
Free capacity you can earn or reclaim
Use Dropbox referrals only if the requirements suit you
Dropbox’s help page says Basic users can earn 500 MB for each qualifying referral, up to 16 GB. Plus, Family, and Professional accounts can earn 1 GB per referral, up to 32 GB; the person invited receives 500 MB. The invited new user must sign up through the referral, install and log in to the desktop app, and verify their email. Simply sharing a folder does not earn a referral bonus. That makes referrals a possible way to extend a Dropbox account, not a substitute for checking the space you actually have or a guaranteed bonus for ordinary collaboration.
Remove cloud copies only after confirming the archive
- Review the provider’s storage breakdown to find what is using space, including email attachments, photos, trash or bin items, and app data.
- Download archive candidates to a computer or local storage drive and open a few files to verify the copies are usable.
- Delete the cloud copies you no longer need online, then check the provider’s usage display again. Items in a trash or bin folder may continue to count until permanently removed.
- Keep files you need to sync, share, or recover online in the cloud; do not delete them just to reach a target number without checking their device copies first.
Know what happens when a shared quota fills up
Going over quota can disrupt connected services, not just stop new file uploads. Google says an over-quota account may be unable to upload to Drive or back up to Photos; Gmail sending and receiving can be affected, and creating or editing content in collaborative apps may be restricted. Google says content may be removed after two or more years over quota if the user does not reduce usage or buy storage, with notice at least three months before content becomes eligible for deletion. Microsoft says exceeding its storage limit can affect OneDrive uploads, editing, and syncing, as well as Outlook mail. It says it may delete OneDrive and its files after six months over quota. Canceling a paid Basic or Personal subscription returns the allowance to 5 GB, so an account above that level can lose upload, edit, sync, and email functionality. Microsoft storage FAQ

Choose the arrangement that fits your accounts
- Mostly Google services: use the shared 15 GB with awareness that Drive, Gmail, and Photos compete for it; archive large, seldom-used files locally.
- Mostly Microsoft services: watch the 5 GB Microsoft storage pool separately from Outlook’s 15 GB email quota, because attachments also use Microsoft storage.
- Need Dropbox specifically: begin with its 2 GB Basic allowance and treat referral space as conditional on qualifying steps and program caps.
- Need more free space across services: multiple accounts can help, but distribute files deliberately and maintain a reliable record of which account holds each folder.
