If Gemini can’t reach your work Gmail, Drive, or another app, first identify which feature you’re using: Connected Apps in Gemini Apps or a separate integration inside a Workspace app. They have different setup and access controls. Then check account eligibility, settings, administrator permissions, your access to the content, and whether Gemini supports the requested task.
First identify which Gemini integration is failing
“Gemini integrations” can refer to two different features:
- Connected Apps in Gemini Apps: Gemini at gemini.google.com connects to supported services in your Google account, including Workspace apps.
- Integrations with Gemini in Workspace: a third-party service connects to a Workspace surface such as Gmail, Docs, Drive, Sheets, Slides, or Chat.
Start by noting where you’re working, which account is signed in, and the app or content you want to reach. The steps below cover both routes, but a Marketplace integration has its own authorization and eligibility requirements.
Check eligibility and settings for Connected Apps
For work or school accounts, availability depends on factors including account type, Workspace edition, location, language, device, and Gemini app. Your organization must also enable app access. Google’s Connected Apps guidance for work or school accounts says that app access must be enabled by the Workspace administrator.

- Confirm you’re using the right account. Use the same signed-in Google account in Gemini and Workspace. If you have multiple accounts open, switch to the work or school account that owns or has access to the content.
- Check Keep Activity. Google lists Keep Activity as a requirement for connecting the Google Workspace app to Gemini. If your organization controls this setting, ask your administrator whether it is available to you.
- Check Gmail Smart features. Google says Gmail’s “Smart features in other Google products” may need to be enabled. After changing it, reload Gemini and try connecting again. See Google’s instructions for connecting the Google Workspace app to Gemini Apps.
- Ask your administrator to check access. If the option is missing or blocked, your Workspace administrator may need to enable the relevant app access. Personal troubleshooting cannot override an organization policy.
Ask Gemini to use the app and content explicitly
In a new Gemini conversation, name the service you want to use or select it with @, then describe the relevant content with specific keywords. For example, ask Gemini to find a particular project update in Gmail or locate a named file in Drive. Google advises against using a document or email URL pasted into the prompt as the way to reference Workspace content.
Once Gemini has the app context in a conversation, follow-up questions in that same conversation do not need to repeat the app request. Start a new conversation with the app named or selected again when you want to search a different service.

Verify your access to the underlying content
Gemini’s built-in access to Workspace data follows the signed-in user’s permissions. Google summarizes this as: “Gemini has the same access to Workspace data as you do.” Check whether you can open the file, email, or event yourself, and whether you are using the account that was granted access. Google explains these controls in What controls Gemini’s access to Workspace data.
- Drive files: sharing alone may not be enough. If the file owner prevents downloading, copying, and printing, Google says Gemini cannot access that file even when it has been shared with you.
- Delegated Gmail: Gemini cannot access messages in another person’s delegated Gmail inbox.
- Organization restrictions: administrators may restrict Gemini or its access to Workspace data. If your own file permissions look correct, ask the administrator whether a Workspace setting or policy is blocking access.
Check whether the requested content or action is supported
An answer that omits something—or a request Gemini cannot carry out—does not necessarily mean the connection is broken. Google documents limitations for Connected Apps, including access to some content types and actions. Depending on the app and feature, limitations include:

- Drive pictures and videos.
- Comments or images in Gmail or Docs.
- Counting items or measuring storage.
- Certain content-management or message actions.
Compare the exact task with the limitations for the app you’re using in Google’s Connected Apps help and Workspace app connection help. If the requested content or action is outside the documented support, try a supported task rather than repeatedly reconnecting the app.
Set up a third-party integration in Workspace separately
If you’re using a third-party service within Gmail, Docs, Drive, Sheets, Slides, or Chat, follow that integration’s own setup path rather than the Connected Apps steps. Google’s guide to integrations with Gemini in Workspace documents the general flow:

- Check that your account and Workspace edition meet the integration’s requirements. Some integrations may require an additional subscription.
- Open the Google Workspace Marketplace integrations page and find the relevant integration.
- Select Connect, then complete the Google Account authorization prompts.
- Check the integration’s Marketplace page for any helper app it requires, and follow the listed setup details.
If authorization is denied, the integration is unavailable, or the connection option is blocked, your administrator may control Marketplace access or the app’s OAuth permissions. Workspace administrators can manage which apps access Workspace data and restrict services or high-risk scopes; see Google’s admin guidance on controlling app access.

What to include when contacting your administrator
To make the issue easier to diagnose, provide the administrator with the Gemini surface you’re using, whether the account is work or school, the target app, the affected content or action, and the exact point where access fails. Note whether the issue concerns built-in Connected Apps or a third-party Workspace integration; those routes use different controls.
