If Copilot can’t find a file, first check which account owns it and where it is stored. Search OneDrive or the relevant SharePoint library directly, then check the recycle bin, Personal Vault, and device storage. If the problem began after the personal Copilot app changed, it may involve a different sign-in or content migration—not a deleted file.
First identify the account, location, and file state
“Copilot can’t find my file” can describe several different problems. A document might be in OneDrive or SharePoint, stored only on your device, shared by someone else, or generated or shared within the Copilot app. Microsoft says files shared and generated in the Copilot app are stored in OneDrive.
Before trying to recover anything, establish three details:
- Account: Is this a personal Microsoft account or a work or school account? They are separate. Check which account is signed in to Copilot and the storage service.
- Location: Was the file in OneDrive, a SharePoint or Teams library, third-party storage, or a local device folder?
- State: Was it moved, deleted, never synced, or made inaccessible by a sign-in, permission, or license issue?
These distinctions matter: searching the wrong account will not find the file, and an access error is not the same as a missing document.

Search the storage location directly
OneDrive files
Microsoft Support recommends “searching your OneDrive storage using the OneDrive website.” Sign in to OneDrive on the web and use Search everything. Search both the filename and distinctive words that might appear in the document. Descriptions, tags, dates, and places can also help narrow results.
Personal Vault items do not appear in OneDrive search results. Unlock the vault and look there separately.
Work or school files
For a work or school document, check the OneDrive for work or school account or the SharePoint site and library where it was stored. Confirm that you are using your organization account, not a personal Microsoft account. If another person owned a shared folder and removed the file, it may no longer be available to you.

Files stored outside OneDrive
If you saved the file to a local folder or a third-party storage service, search that location directly. A file that has not synced to OneDrive will not be found by searching OneDrive.

- Check the OneDrive recycle bin. If the file is there, select it and restore it. For an item from Personal Vault, unlock the vault before checking the recycle bin.
- Check other Microsoft accounts. A file may have been saved under a different account than the one currently open in Copilot or OneDrive.
- Search the device. If the file was saved outside OneDrive or was never synced, search the computer or phone where you last used it. Check that device’s recycle bin or trash as well.
- Consider whole-OneDrive restoration only when appropriate. Microsoft documents restoring OneDrive to an earlier point for Microsoft 365 subscribers within the available 30-day window. Work or school restoration depends on organizational support. Restoring the whole OneDrive can send files created after the selected restore point to the recycle bin, so review the current OneDrive restoration guidance and your account’s options before proceeding.
If the personal Copilot app changed or old content is missing
For missing personal Copilot chats or content after an updated app experience, Microsoft’s guidance is to check the account and sign-in method used before, restart the app or refresh the web page, and follow any in-app message offering access to older content. If you originally signed in to a personal account with Google or Apple, use that same sign-in option. A personal account and a work or school account do not share the same content.
Migration and device sync can take time. Do not assume that a missing item has been deleted while an in-app move is underway. Microsoft notes that content or features may be handled differently during migration, so do not assume every older item or feature will carry over. If your personal account has not moved yet, Microsoft describes checking it in a private browsing session at copilot.microsoft.com.

If you see a “coming soon” message about old chats or content, follow the in-app migration instructions and check again after allowing time for the move. Refreshing or restarting can address a stale view, but it will not restore a file that was deleted or saved in another account.
If Copilot reports an access or license problem
Check that Copilot is signed in to the account that has the relevant license and access to the file. A personal Copilot subscription used with a work or school file is one possible account mismatch; use your organization account and its Copilot access where applicable. A subscription is not a general fix for a missing file.

Microsoft also describes errors involving files hosted in third-party storage. For that particular scenario, copying or moving the file into OneDrive or SharePoint may work around the storage-location issue. If the file was moved or OneDrive is still syncing
Verify the destination after a move
Use the available Move to or Copy to command in OneDrive or SharePoint, then check the destination library and your permissions there. Which destinations and commands are available can depend on the SharePoint version and your organization’s policy.
A moved file may not retain all metadata values. Microsoft warns that metadata may be lost when the destination library does not have the corresponding column. If the file is present but its tags or other library details are missing, check the destination’s columns and permissions. Allow sync to finish
If OneDrive shows “Processing changes,” confirm you are signed in, close the file after editing, and give the service time to process recent changes or large uploads. An open file or sign-in issue can affect syncing. Microsoft’s OneDrive sync troubleshooting steps can help distinguish a delay from a failed sync.

For a OneDrive AI agent, not an ordinary document
If the missing item is an AI agent saved in OneDrive, look in the correct work or school account and folder view. Filter by Agent, or search for the agent’s name or the .agent extension. Microsoft explains the process in its OneDrive agent files guidance.
When to use Microsoft’s troubleshooters
If the issue is specifically Copilot connectivity, run the Copilot connectivity troubleshooter. If the Copilot icon is missing despite an expected license, run the Copilot license troubleshooter in the Windows Get Help app. These target connectivity and license visibility; they are not file-recovery tools.
