These tools aim to retain formatting, but they cannot guarantee an identical page layout: translated text may take more or less space, and OCR errors, fonts, columns, or images can affect the result. Check the translated PDF page by page. If you have the original Word or PowerPoint file, translating that editable source is often a better fallback.
Choose the right file before you translate
If the PDF was exported from Word or PowerPoint and you can access the original DOCX or PPTX, start with that file. DeepL recommends trying the original editable document if the translated PDF does not meet your needs. Editable text is generally easier to correct and reflow than content locked into a PDF.
Next, determine whether the PDF contains selectable text or scanned page images. Try selecting a sentence and copying it. If you cannot select the text, the document may need optical character recognition (OCR) before its words can be translated. Scan quality can affect recognition and translation; DeepL notes that poor scan quality may affect translation quality in its PDF translation guidance.
Scanned content is a particular limitation for Google Translate’s document workflow: Google says text in images and scanned PDF pages may appear in the output but is not translated. A translated-looking file may therefore still contain words in the original language inside image-based pages.

Translate the PDF with a document-translation service
- Check language support and eligibility. Confirm that the service supports your source and target languages, your file type, and the output you need. Limits and features can depend on the account or plan.
- Upload the file. In DeepL’s documented workflow, upload or drag in the PDF, select a target language, and start translation. Depending on the available options, you may also be able to choose a glossary or formality setting. See DeepL’s PDF translation instructions for its current steps.
- Download the translated document. Save the translated PDF, or choose DOCX output if your plan offers it and you expect to make repairs. DeepL’s available formats, file sizes, and some output options vary by plan.
- Review the result before sharing it. Open the downloaded file and check each page, especially pages with dense formatting, tables, or images.
For reference, Google’s help page lists a maximum PDF upload size of 10 MB and a limit of 300 pages for its document-translation workflow. Those are Google-specific limits, not general PDF translation limits; check Google Translate’s current document requirements before uploading. DeepL’s limits and PDF-to-DOCX availability depend on the plan, so check its current account requirements as well.
What “preserving layout” does—and does not—mean
Translation services can carry over elements such as formatting, images, and fonts, but a retained format is not a promise that every line will stay in the same place. A translated sentence may be longer than the original, pushing text into another line or page. DeepL warns that translation errors and differences in word length can cause layout shifts in its PDF translation guidance.

OCR adds another source of risk: if the service misreads a word in a scan, the translation may be wrong or incomplete. Custom fonts, narrow columns, tables, footnotes, and image-heavy pages can also make the output harder to match to the original. Treat the provider’s formatting description as an intended result, not a guarantee of pixel-identical pages.
Inspect and repair the translated PDF
Review the translated file against the original, page by page. Pay particular attention to:

- Text that overflows a box, overlaps another element, or is cut off at the page edge.
- Columns, tables, captions, footnotes, and page breaks that have shifted or become difficult to follow.
- Words inside charts, screenshots, or other images that remain untranslated.
- Unusual characters or inconsistent typography that may indicate font substitution or an OCR problem.
- Important terms, names, numbers, and passages where a translation error could change the meaning.
If the layout needs work, an editable DOCX can make corrections easier when that output is available on your plan: repair the text and formatting in a document editor, then export the revised file as a PDF. If you have the source DOCX or PPTX, translating that file may also give you more control than trying to repair a PDF directly.

Before uploading a confidential or personal document, check the service’s current data-handling terms and the conditions attached to your account. DeepL’s product information says uploaded PDFs from Pro users are deleted after translation, but verify the current terms and plan details before relying on that statement for a sensitive file: DeepL Pro features.
