The reliable Microsoft workflow is:
- Transcribe the recording in Word for Microsoft 365 or OneNote for Microsoft 365.
- Add the resulting transcript to Microsoft 365 Copilot Chat.
- Ask Copilot to translate the transcript into your target language.
This extra step matters because Microsoft 365 Copilot’s supported file formats do not currently include audio files. You can verify the current list in Microsoft’s supported file formats documentation.
What you need before starting
Use a Microsoft 365 account with access to Word or OneNote transcription and Microsoft 365 Copilot Chat. The audio file must be in one of Word or OneNote’s supported formats:

Word transcription is currently available in Word for Microsoft 365 on Windows in commercial tenants. Government users may have access through Word for the web instead. OneNote transcription is currently limited to OneNote for Microsoft 365 on Windows and is not available for GCC, GCC-H, or DoD customers.

Method 1: Transcribe the audio in Word
- Open Word for Microsoft 365 and create or open a document.
- Go to Home > Dictate dropdown > Transcribe.
- In the Transcribe pane, select Upload audio.
- Choose the recording in the file picker. Word accepts
.wav,.mp4,.m4a, and.mp3files. - Leave the Transcribe pane open while Word processes the recording. You may switch browser tabs or applications, but closing the pane can interrupt the process.
Processing may take approximately as long as the recording itself, depending on your internet connection. Uploaded or recorded audio is saved in the Transcribed Files folder in OneDrive.
When processing finishes, Word separates voices with labels such as Speaker 1 and Speaker 2. These labels are not always correct, so check the transcript before translating it.
Correct and insert the Word transcript
To fix a section, hover over it and select Edit transcript section. Correct the text or speaker label, then select Confirm. If Word has identified the same person throughout the recording, select Change all Speaker [x] to rename every occurrence of that label.
The transcript remains in the Transcribe pane until you add it to the document. Choose:

The inserted transcript is ordinary document text and includes a hyperlink to the audio file. You can now save the Word document and reference it from Copilot Chat.

Method 2: Transcribe the audio in OneNote
- Open OneNote for Microsoft 365 on Windows and select the notebook page where you want the transcript.
- Go to Home > Transcribe > Transcribe.
- Select Upload audio in the Transcribe pane.
- Choose the
.wav,.mp4,.m4a, or.mp3file. - Keep the Transcribe pane open while the recording is processed.
OneNote also saves uploaded audio in OneDrive’s Transcribed Files folder. Once the transcript is ready, select Add to page to insert everything, or hover over a section and select Add section to page for a partial transcript.
As in Word, OneNote keeps only one active transcript in the pane. New transcription clears the pane’s current transcript but does not delete text already added to the page.
Translate the transcript with Microsoft 365 Copilot
- Open Microsoft 365 Copilot Chat and sign in with your Microsoft 365 account.
- Add the Word document or OneNote content containing the transcript. You can type
/in the prompt box and search for the document in the sources menu. - Alternatively, select (+) Add and manage sources > Add work content, then choose the transcript.
- Enter translation instructions in the Message Copilot box.
A useful prompt is:
Translate the included transcript into Spanish using a natural, professional tone and clear business writing style. Preserve the original meaning, speaker labels, names, dates, numbers, and technical terms. Do not summarize or omit any content.
Replace “Spanish” and the style description with your requirements. For a legal, medical, technical, or customer-support recording, tell Copilot to preserve terminology rather than simplify it.
Adding a local transcript file
If you saved the transcript as a local Word document or text file, use Add and manage sources > Upload images and files. Copilot saves a copy of the selected local file to OneDrive. For a file already stored online, use the cloud-file attachment option instead.

Microsoft’s documented file-reference workflow permits referencing up to 10 files or pages within a SharePoint site. For a single recording, attaching one cleaned transcript is usually more reliable than attaching several partial drafts.
Use a two-pass translation for important recordings
Copilot’s translation is only as good as the transcript. For an important interview, meeting, or customer call, use this sequence:
- Ask Copilot to identify uncertain words, names, numbers, and incomplete sentences in the transcript.
- Correct those items in Word or OneNote.
- Ask Copilot to translate the corrected version.
- Request a comparison or terminology check if the translated text will be published or sent to a customer.
You can also ask Copilot to keep the original and translated text together:
Translate this transcript into French. Keep each Speaker label, preserve the original paragraph order, and place the French translation directly below each original paragraph. Flag any phrase whose meaning is uncertain instead of guessing.
Limits and practical restrictions

The transcription service supports more than 80 locales, including US English, Spanish, French, German, Japanese, Korean, Mandarin Chinese, and regional variants. Select the recording’s actual language where that option is available; using the wrong language can significantly reduce accuracy.
Why the direct-upload approach fails
“I uploaded an MP3 to Copilot, but it will not transcribe it”
This is expected in the current Microsoft workflow. Free Copilot does not support MP3 uploads for transcription, and Microsoft 365 Copilot Chat does not document audio uploads as a supported transcription method. Use Word or OneNote’s Transcribe feature first.

Free Copilot’s file-upload limits also differ from Microsoft 365 Copilot: its documented limits include up to 20 files per conversation and 50 MB per file, but those limits do not make audio transcription available.

“The Transcribe button is missing in Word”
Check that Word is signed in with an active Microsoft 365 subscription. Also confirm that you are using a supported edition and tenant. The Transcribe + Ink feature requires Office version 2211, build 16.0.15819.20000 or later, along with an internet connection.
“OneNote says, ‘Switch account to transcribe on this notebook’”
The active account does not have the required edit permission for that page. Select your profile in the upper-right corner of OneNote and switch to the account that can edit the notebook.
“The transcript is missing from my document”
Transcribing does not automatically insert text into Word or OneNote. In Word, select Add all to document. In OneNote, select Add to page. The transcript can remain visible in the pane without being part of the document.
“The transcript has the wrong speakers or poor wording”
Correct speaker labels and text before sending the document to Copilot. Recording conditions also matter. For an in-person meeting, a headset microphone may capture the wrong sound source. For a virtual meeting, not using a headset can cause the recording to capture device playback or echo.

Unsupported file extensions, inaccessible OneDrive files, missing permissions, and local file paths can also cause failures. Microsoft 365 Copilot cannot reference a local path directly; upload the file or place it in an accessible cloud location.

Can Copilot transcribe an MP3 directly?
Not in the current Microsoft 365 Copilot Chat workflow. Transcribe the MP3 in Word for Microsoft 365 or OneNote for Microsoft 365, insert the transcript into a document or page, and then provide that text to Copilot for translation.
What audio formats work with Word and OneNote Transcribe?
Both support uploaded WAV, MP4, M4A, and MP3 files.
Do I need to use a special Copilot command such as @filename?
No. Microsoft’s documented file-selection method is to type / in Copilot Chat and select the document from the sources menu. You can also use Add and manage sources to attach work content or upload a local transcript.

How long can I transcribe with Microsoft 365?
A standard Microsoft 365 subscription allows up to 300 minutes of uploaded audio per month. A user with a Microsoft Copilot license can have up to 30,000 minutes per month.
Can Copilot translate a transcript while preserving speaker names?
Yes. Tell Copilot explicitly to preserve Speaker labels, names, dates, numbers, paragraph order, and specialist terminology. Review the result because transcription errors can be carried into the translation.
The Bottom Line
Do not upload the audio directly to Copilot Chat expecting it to transcribe the recording. Use Home > Dictate > Transcribe in Word or Home > Transcribe > Transcribe in OneNote, add the finished transcript to a document or page, and attach that text in Copilot Chat. Then specify the target language, tone, formatting, and terminology requirements in your prompt.
