To track AI spending across teams, first agree on shared labels such as team, application, project, environment, and cost center. Apply those labels through each provider’s available project, workspace, resource-tag, or request-metadata features, then review provider billing records and budgets. If you need one portfolio-wide view, export or consolidate those records while preserving which provider, account, service, usage type, and team each charge belongs to; the provider tools described here do not establish a single built-in console for all vendors.

Decide what counts as AI spend

AI costs can appear in more than one place. Make an inventory before configuring attribution so that the report does not count only the most visible API bill.

  • Direct AI tools and APIs: usage billed by an AI provider, including usage organized into provider projects where available.
  • Managed AI services in a cloud account: for example, Amazon Bedrock or Gemini API usage associated with Google Cloud billing. Google Cloud’s project-owner billing guide includes Gemini API in AI Studio resources among billable usage; that does not establish coverage for every Gemini or Google AI product.
  • Supporting infrastructure: compute, storage, networking, and other cloud resources used to develop or run AI workloads. These may appear as separate service charges rather than as an AI API line item.
  • Subscriptions and other tools: include these if they are part of the organization’s AI budget, but do not assume the cloud billing methods below capture them.

Set a scope for the report—such as direct model usage only, or direct usage plus supporting infrastructure—and document it. Otherwise, two teams may produce different totals while both are using valid billing data.

Choose shared allocation labels

Use a small, stable vocabulary that can be mapped across providers. A practical starting point is team, application, environment, project, and cost_center. These are organizational dimensions, not a universal provider schema. Decide which are mandatory, who owns their values, and whether a charge should inherit them from a project or resource or receive them with an individual request.

Prefer consistent values: for example, use one approved team name everywhere rather than variations such as “ML platform,” “ml-platform,” and “MLPlatform.” Keep the provider’s account or organization and the original project or workspace identifier as separate fields; those identifiers are useful for tracing a consolidated record back to its billing source.

Match attribution to the provider’s available scope

Attribution mechanisms are not interchangeable. A project or workspace can group work at a persistent boundary, while request metadata can distinguish workloads within that boundary. Choose the narrowest useful level the service supports, and verify that it appears in the billing surface you actually use.

Mechanism Useful for What to verify
Organization or account Seeing a broad provider bill and applying top-level controls. Whether the billing export exposes lower-level attribution and whether a limit applies across projects or accounts.
Project or workspace Grouping a team, application, or experiment with a persistent provider object. Which services and APIs support it, and whether its labels flow into billing reports.
Resource tags Allocating charges attached to tagged cloud resources. Whether tags must be activated for cost tools and whether they cover service usage that is not represented by a tagged resource.
Request metadata or principal identity Separating users, applications, or workloads that share a broader project or account. Whether the API accepts the metadata, how it is recorded, and whether the billing report can group or filter by it.

Configure provider-native attribution

OpenAI API projects

OpenAI’s Help Center describes projects as a way to organize work, break usage down by project, view billing at the organization level, and set project spend limits. Use separate projects when they match real ownership boundaries—such as applications or teams—and assign access deliberately. Project reporting is useful for allocation, but it should not be confused with an organization-wide ceiling.

Amazon Bedrock

AWS documents several Bedrock attribution paths, including IAM principals, projects, request metadata, and workspaces. The appropriate choice depends on the API and whether you need attribution to a user, team, application, environment, or experiment; AWS also describes combining mechanisms rather than treating one as a universal solution.

There are specific billing integrations for Bedrock projects and workspaces. AWS says project tags can flow into Cost Explorer and Cost and Usage Reports 2.0 for project-based spend grouping. For workspaces, the documented cost attribution applies to the Anthropic-compatible Messages API on the bedrock-mantle endpoint: workspace tags are attached to billing records through the anthropic-workspace-id header and can flow to Cost Explorer and CUR 2.0. Do not assume this workspace path applies to other Bedrock APIs or endpoints.

Google Cloud billing for Gemini API in AI Studio

Google Cloud’s project-owner billing guide describes project-spending cost-management tools and includes Gemini API in AI Studio resources within Cloud Billing’s billable usage scope. Keep the Google Cloud project identifier attached to those records when allocating spend. The guide’s stated scope is not evidence that every Google AI product is represented in the same way.

Set alerts and limits at the right level

Monitoring and blocking are different controls. Before relying on a limit, establish whether it sends a notification, restricts a project, or caps spending across a broader scope.

  • OpenAI: its spend-limit documentation distinguishes monthly spend alerts from an organization-level hard limit that applies across projects. Configure project limits for project-level oversight and organization limits for the broader boundary; verify current settings and behavior in the account.
  • AWS: AWS account tags can be used with AWS Budgets, Cost Categories, and Cost Anomaly Detection after the tags are activated for cost allocation. A tag is an allocation aid, not by itself a spending limit.
  • Google Cloud: use the project billing and cost-management tools described in the project-owner guide, and confirm the chosen alert or budget’s scope and behavior in the relevant billing account.

Assign an owner to each alert, choose a review cadence, and state the action expected when it fires. An alert without an owner or response process can leave rapidly growing usage unnoticed.

Build a cross-provider view when native reports are not enough

If teams need one dashboard, treat consolidation as an implementation step rather than assuming the providers share a standard report. Export billing and usage records into an existing reporting environment or cost-management system, then preserve enough detail to trace every total back to the source.

  1. Retain the provider, organization or account, project or workspace, service, model or usage type, and billing period from the source record.
  2. Map provider-specific labels and identifiers to the shared dimensions, without discarding the original values.
  3. Keep direct API charges distinguishable from managed-service and supporting-infrastructure charges.
  4. Document export timing, available line-item detail, currency and adjustment handling, and any records that cannot be allocated reliably.
  5. Check that the consolidated grouping matches the provider’s own billing view for the same account and period.

Reporting freshness, granularity, and metadata coverage vary by provider and feature. The documentation described here does not establish common definitions, refresh intervals, or full feature parity, so confirm those details for each export before using the combined view for chargeback or budget decisions.

Reconcile totals and investigate unattributed charges

Use provider billing records as the reference when checking a consolidated report. Usage dashboards can be useful for operational monitoring, but do not assume they equal final billed totals unless the provider documents that relationship.

  • Compare like-for-like periods and account or project scopes.
  • Check whether the report includes adjustments, credits, taxes, or supporting services, and apply the same inclusion rules to the comparison.
  • Filter for missing or invalid allocation labels and route those records to the team that owns the source project, workspace, resource, or request integration.
  • Review changes to projects, tags, workspaces, and team ownership so renamed or retired identifiers do not fragment reporting.

Recurring unattributed spend usually points to a gap in the allocation path: a workload may be using a different project, an API may not support the selected metadata mechanism, or a label may not have reached the billing export. Fix the source configuration where possible; otherwise, document the fallback allocation rule rather than silently assigning the charge.
