Test the room before attendees arrive: confirm the meeting app selected the room’s camera, microphone, and speakers, then rehearse audio coverage, camera framing, screen sharing, and the connection from the seats people will use. A green device indicator alone does not prove that everyone in a hybrid room can hear or be seen.
Run a pre-join device check
- Open the meeting early. In the platform’s pre-join screen, inspect the selected camera, microphone, and speaker. Make sure the names match the room equipment—not a laptop’s built-in devices or a nearby personal device.
- Check the microphone. Speak at a normal meeting volume and watch for the app’s microphone activity indicator. If it does not respond, check the selected input and its connection.
- Check the speakers. Play the platform’s test sound and confirm it comes from the room speakers at a useful volume.
- Check the camera preview. Confirm it shows the intended view, including all participants who should be visible.
Google Meet provides these checks before joining: select the preferred microphone, speaker, and camera, speak to check microphone activity, play the speaker test sound, and inspect the camera preview. See Google Meet’s pre-join self-check.
In Zoom, use “Test speaker and microphone” before joining, or start a Zoom test meeting to check audio and video ahead of the real call.
For Microsoft Teams in a room, connect the laptop to the room audio device before joining, choose “Room audio” on the pre-join screen, and select the connected device. The room mode can activate the in-room audio and video peripherals; confirm the selected devices rather than assuming the app chose correctly. See Microsoft’s Teams meeting guidance.

Rehearse the room, not just the app
Verify coverage from the seats
Have someone sit in the seats people will use. Check that they can hear the far end clearly and that a person at the far end can hear them. Confirm that the camera captures everyone who needs to appear, including participants at the room’s edges. Microsoft’s Teams meeting room guidance recommends microphone and speaker coverage across seats and camera coverage suited to the room.
Share content on the actual display
Share a representative slide or screen and check that it appears on the room display. From the seats, verify that text and important details are readable. Microsoft recommends testing presentations and room equipment in advance in its hybrid meeting guidance.

Keep one intended room audio source active
Use the room’s planned audio path. If people in the room also join on personal laptops or phones, disconnect their computer audio or otherwise ensure that only one dominant room audio setup is active. Multiple active microphones and speakers in the same space can create echo or feedback. Microsoft says, “A single source of audio for a space is required to ensure that there are no audio issues in a meeting room.” If echo persists, Google suggests trying headphones or lowering speaker volume; see its audio and video troubleshooting guidance.
Check the connection under real conditions
If sound or video is unstable, test the connection over time rather than relying on a single moment. Google recommends checking bandwidth and latency and trying wired Ethernet when available. VPN routing and network equipment can also affect call quality. Its Meet network and video troubleshooting guidance covers these factors. A successful local camera and microphone check does not establish that the network will sustain a good call.

Prepare a fallback before people arrive
- If the room camera fails, choose another available camera or join from a phone.
- If the room microphone or speakers fail, switch to a headset or another audio device.
- If video is disrupting the call, turn it off while troubleshooting audio or the connection.
Google lists alternative devices and joining options in its Meet troubleshooting guidance. Test the fallback when practical, so switching devices does not become the first troubleshooting step in front of attendees.
Troubleshoot common room-test failures
| Symptom | Likely cause | What to try |
|---|---|---|
| The microphone indicator does not respond | The app selected the wrong input, or the room microphone is disconnected. | Recheck the selected microphone in the pre-join screen, inspect its connection, and speak again. |
| The test sound plays on the laptop instead of the room speakers | The wrong output device is selected. | Select the room speakers or connected room audio device, then repeat the speaker test. |
| People in the room hear echo or feedback | More than one nearby device may have active audio. | Keep the intended room audio path active and disconnect computer audio on additional in-room devices. If needed, try headphones or lower speaker volume. |
| Some seats cannot hear, or some people are missing from the camera view | The room’s microphone, speaker, or camera coverage does not suit the seating arrangement. | Test from the affected seats and adjust the room setup or seating. Check microphone and speaker coverage and the camera’s view for the whole room. |
| Shared slides are missing or hard to read | Sharing or the room display has not been verified in the meeting setup. | Share a representative slide and inspect it on the actual display from the seats. |
| Local devices work but call quality fluctuates | Network bandwidth, latency, VPN routing, or network equipment may be affecting the call. | Check bandwidth and latency over time, try wired Ethernet if available, and consider whether VPN routing or network equipment is involved. |
| A room device stops working shortly before the call | The selected device or its connection has failed. | Switch to another camera or audio device, use a headset or phone, or temporarily turn off video. |
When the room may need different equipment
You can perform these checks without buying anything. If a small room has inadequate audio, an all-in-one audio device such as a USB conference speakerphone is one possible equipment category; Microsoft describes all-in-one audio devices as suitable for smaller spaces. For a larger or more complex room, assess seat coverage, microphone pickup, speaker coverage, camera field of view, platform compatibility, and how audio is routed. Microsoft recommends specialized partner expertise for technically involved AV deployments; consult its room guidance. Check current manufacturer specifications before assuming equipment is compatible with a particular platform.
