If it is, share that existing item rather than uploading another copy. If it is a new file, you will need to free or add storage, use a transfer service with a suitable size limit, upload through a recommended desktop workflow, or hand the file over on removable storage.
Choose the route that fits your file

Share the file if it is already in the cloud
Sharing an existing file is different from uploading a new copy, so it may avoid the quota problem. In Google Drive, choose whether to share with named people or allow anyone with the link, then assign a role: viewer, commenter, or editor. Viewers can download by default; owners can change download, print, and copy settings. Editors may be able to change permissions and share the file. See Google Drive’s sharing and permission guidance.
Use named-recipient access for sensitive files when workable, and choose view-only access if recipients do not need to edit. An “anyone with the link” setting is broader: the link can be forwarded. OneDrive likewise warns that anyone who receives an anyone link may be able to use it. Password and expiry options are limited to eligible Microsoft 365 subscribers, and work or school administrators can disable sharing options. See Microsoft’s OneDrive sharing guidance.
Before sending, verify that the intended person can open the item and download it if needed. Emailing a link does not make the link private, and folder-level permissions may also affect access.

Upload a new file by freeing or adding quota
Check what is using space
For a personal Google account, storage is shared across Drive, Gmail, and Google Photos. When the account is full, Google says you cannot upload or create Drive files; Gmail sending and receiving and Photos backup can also be affected. The personal-account help page describes up to 15 GB of shared storage; Workspace plans and administrator policies differ. See Google’s storage-limit guidance.
Empty trash, then allow the storage total to update
Deleting files may not immediately make quota usable if they remain in trash. Google recommends emptying trash as a short-term step, or clearing space or buying more storage for a longer-term solution. After many deletions, its storage figures may take 48–72 hours to update. Avoid assuming a file can be uploaded again the moment it is deleted.

Use a transfer service for one-off remote delivery
A transfer service can send a download link without adding the file to the full cloud account. The published limits below are provider specifications accessed in 2026, not independent performance findings; confirm the current limit and terms for your account before sending.

Dropbox’s current limits and plan details are on its Transfer feature page. WeTransfer describes its free limit, password protection, and email-specific access options in its maximum file size guidance. These pages do not establish a universal delivery speed or a retention period for every plan. Check available expiry, password, and access controls for the specific transfer you create.

Try OneDrive’s desktop workflow for large or multiple files
If OneDrive is your destination and you have quota available, Microsoft recommends adding large files or many files through the OneDrive desktop app rather than the website’s Upload button. See Microsoft’s OneDrive upload guidance. This changes the upload workflow; it does not create additional account quota. Make sure the local device has room and wait for sync to finish before sharing.
Use removable storage for an in-person handoff
If remote upload is impractical and you can exchange a device, a portable external SSD is one option. It is a physical handoff, not a download-link service, and suitability depends on the drive’s capacity, the recipient having a compatible device, and secure delivery. Check the connector at both ends—USB-C and USB-A ports are not interchangeable without a suitable cable or adapter. This is a practical workflow option, not a vendor-tested comparison of drives or transfer speeds.

Can compression or splitting help?
Compression may help with some documents or folders, but already-compressed formats such as many videos, photos, and archives may not shrink enough to matter. Splitting an archive into volumes can help fit a service’s per-transfer ceiling only if the recipient can receive every part and reassemble them. Neither approach solves the quota problem if the resulting files still need to be uploaded to the same full account.
