You can share a useful AI workflow without sharing the confidential conversation that inspired it. Keep the reusable instructions, steps, decision rules, and output format; replace real examples with synthetic or approved samples; then inspect everything the recipient could access—including conversation history, attachments, connected data, permissions, and shared links.
What to share—and what to remove
A reusable AI workflow is the method for getting a result, not necessarily the real material used in one run. Preserve the goal, prompt structure, sequence of steps, decision rules, expected input shape, constraints, and desired output schema. Remove customer and personnel details, financial information, credentials, internal URLs, proprietary source text, and case-specific facts unless your organization has authorized their use and sharing.
Use synthetic or organization-approved sample inputs and outputs to show how the workflow works. Check that examples do not retain recognizable details or secrets. Replacing names alone does not guarantee that information is anonymous; the sources cited here do not establish a universal de-identification method.
This separation reflects a broader risk: NIST’s 2024 Generative Artificial Intelligence Profile warns that third-party generative AI integrations can create intellectual-property, privacy, and information-security risks when data is used as model input. The practical response is to share the reusable method while minimizing the data it needs.

Check the complete workflow before sharing
The visible prompt may not be the entire artifact. A conversation can contain earlier turns, quoted text, generated answers, citations, or uploaded files. An agent or automation may also use connected services, external data, or tools that can take actions. Review the full context and dependencies, not just the instructions shown at the top.
- Conversation: Read prior turns and quoted material for confidential details that are easy to overlook.
- Files and output: Inspect attachments, images, cited material, and generated responses. OpenAI notes that supported images or uploaded files may be included when a ChatGPT conversation is shared, depending on the sharing experience, and advises reviewing shared content first: ChatGPT shared links.
- Connected data: Identify apps, repositories, and other sources the workflow can retrieve information from. Check that recipients are allowed to access those sources.
- Agent actions: Record the APIs, permissions, external services, and actions the workflow can use. For untrusted inputs, Microsoft advises designing with the possibility of compromise in mind and not enabling sensitive operations without careful human intervention (Microsoft’s extensibility guidance).
Share it with the smallest suitable audience
Use named teammates or an approved group rather than a broadly accessible link when possible. Confirm both that intended recipients can access any referenced files and that no unintended audience can. Microsoft recommends restricting organization-wide and “Anyone” links as part of a secure governance baseline, alongside sensitivity labels and Data Loss Prevention controls where appropriate (SharePoint security guidance).

Existing permissions matter as much as the prompt. Microsoft says Copilot can reference content the user is authorized to access; applicable permissions and sensitivity labels govern that access. Encrypted content can require EXTRACT and VIEW rights. SharePoint and OneDrive membership and sharing controls affect how broadly material is available. These controls can help manage exposure, but they do not make it safe to share a workflow that contains confidential content in the first place.
Check your organization’s policy and the exact AI feature
Start with your organization’s data-handling rules and the AI service and account it has approved. Follow the organization’s own classification labels and requirements; there is no universal public/internal/confidential/restricted scheme that applies to every workplace. Confirm what is permitted for the data involved and whether the workflow’s service, plan, feature, connector, and sharing route are covered.

A vendor’s statement that data is not used for model training does not settle questions about storage, retention, review, sharing, legal obligations, connected services, or who can access a shared artifact. Protections and controls differ by product and feature, so verify the documentation and settings that apply to your exact setup.
ChatGPT Business
OpenAI says ChatGPT Business workspace data is excluded from model training by default and encrypted in transit and at rest. Members’ chat histories are not automatically visible to other workspace members, but a user can share a conversation through a workspace link. A shared conversation may include supported images or uploaded files, depending on the sharing experience and recipient permissions; inspect its contents before sharing. OpenAI also documents that deleting a share link does not delete the original task or a teammate’s already scheduled copy in its task-sharing feature. OpenAI separately says inputs and outputs from ChatGPT Business, Enterprise, Edu, Healthcare, Teachers, and its API platform are not used to train or improve models by default. Access management and security features vary by plan. These statements should not be generalized to every OpenAI product or account; consult OpenAI’s business data page for the product and plan in use.
Google Workspace Gemini
Google’s Workspace Privacy Hub says Gemini does not access Workspace content the user lacks permission to access and describes Workspace service-data protections for business, education, and public-sector customers. Feature boundaries still matter: the documentation says Gemini Notebook creates a new copy of Drive files in Notebook data, and that Workspace sharing and data-region settings do not apply to Notebook data; it also says Workspace DLP is not currently integrated with Gemini Notebook. Because feature behavior and controls can change, check the current documentation for the specific Gemini feature before sharing.

Microsoft Copilot
Microsoft’s Copilot architecture documentation describes permission-aware access, sensitivity-label inheritance where supported, and the role of SharePoint and OneDrive sharing controls. Its governance guidance also recommends measures such as restricting broad links, applying sensitivity labels, and using Purview DLP policies to limit specified files or sensitive prompts where appropriate (Microsoft secure-site guidance). The effective protection depends on your organization’s configuration and the feature involved.

- Confirm the rules: Check which service and data types your organization permits for this workflow.
- Extract the method: Keep the goal, instructions, sequence, decision rules, constraints, input shape, and output format.

- Constrain actions: Document the agent’s data sources and permissions; require careful human review before sensitive operations, especially when external inputs are untrusted.
- Make it maintainable: Label the workflow’s owner, intended use, data limits, required permissions, expected output, and date last checked. Provide a safe sample rather than a confidential transcript.
What to compare when choosing a sharing route
There is no single safest platform or sharing method established by these product documents. Compare the controls that apply to your organization and workflow, rather than relying on a general privacy or training statement.
