Choose where to share the file

Teams’ OneDrive entry is associated with your Microsoft 365 work or school account, not a personal OneDrive account. Check the file’s sharing settings before sending, especially when access should be limited.
Share an existing file from Teams OneDrive
- In Teams, open OneDrive and go to My files.
- Find the document and select Share.
- Enter the recipient’s name, group, or email address. If you plan to send the link yourself, choose Copy link.
- Open Sharing settings or Link settings. Choose Can edit for people who should make changes.
- Apply the settings, then select Send, or paste the copied link into the appropriate chat or channel post.
Microsoft’s Teams collaboration sharing flow may grant editing access by default, but verify the permission shown before sending. Depending on the available settings, you may also choose Can review for suggestions or Can view for read-only access.
Share a new file in a Teams chat
Use this method when the file is on your device and you want to share it with a one-to-one or group conversation.

- In the compose area, select Actions and apps, then Attach file. The control’s label may vary.
- Choose the file source and select the document.
- Add a message if you want, then select Send.
You can also share an existing file from OneDrive with the chat participants. Chat files are stored in the sender’s OneDrive for Business, not the team’s SharePoint channel library.
Share a file in a Teams channel
Use the channel’s Shared area for a document intended for the people who have access to that channel.
- Open the team and the relevant channel.
- Select the channel’s Shared tab.
- Upload the file, or share a link to an existing file stored in OneDrive or SharePoint.
- If you share a link, set the intended recipients’ permission to Can edit when they need to make changes.
Channel files are stored in the team’s SharePoint folder or document library. Standard-channel access follows the channel’s team membership; private channels have separate membership and are kept in a separate SharePoint site.

Share a file with someone outside your organization
External sharing depends on your organization’s settings. If the option is available, use a link intended for specific people rather than assuming a broadly accessible link is appropriate.

- Open the file’s Share controls.
- Open Link settings or Sharing settings.
- Choose People you choose, if available, and apply the setting.
- Enter the external recipient’s email address.
- Choose Can edit if the recipient should make changes, then send the invitation or link.
If the recipient cannot open the link, ask the sender or administrator to check the organization’s sharing policy and the recipient-specific access grant. SharePoint settings controlled by the organization can limit sharing with guests or external people.
Make sure co-authoring will work
Sharing a file does not by itself guarantee that everyone can edit it simultaneously. According to Microsoft’s co-authoring guidance, the file needs to be stored in OneDrive or SharePoint, opened in an app that supports co-authoring, and saved in a modern format such as .docx, .pptx, or .xlsx. Every co-author also needs access and edit permission.

Find a shared file later
- Open the relevant chat or channel.
- Select the Shared tab. Teams’ interface labels may vary.
- In a channel, use the available file, link, post, or library views to locate the item.
Why someone cannot edit the file

Change or remove editing access
Review the file’s sharing controls and access grants when someone should no longer be able to edit it. Owners and editors can manage or stop sharing, subject to the file’s permissions. Check existing links and other access grants as well as the invitation you sent; changing a new link does not necessarily remove access granted another way.
Best practices for Teams file collaboration
- Use a channel for work intended for its members and a chat for collaboration with that conversation’s participants.
- Share a link to an existing file rather than creating duplicate copies.
- Verify Can edit for each collaborator who needs to make changes.
- Before relying on simultaneous editing, confirm the storage location, app, file format, and each collaborator’s access.
- Review sharing settings and access grants when the document is sensitive or access needs to change.

How do I share a file in Teams so someone can edit it?

Can I share a Teams file with someone outside my organization?
It may be possible if your organization permits external sharing and the recipient is granted access. Organization-controlled SharePoint settings can restrict it.
What is the difference between Can edit, Can review, and Can view?
Can edit allows direct changes. Can review is for suggestions or review, while Can view is read-only access. The available choices depend on the sharing settings.
Why can’t people edit the file at the same time?
Co-authoring requires the file to be stored in OneDrive or SharePoint, a compatible app and file format, and access with edit permission for every collaborator.
