To set up a useful multi-account dashboard, first decide whether you need to switch among accounts, combine Google Analytics properties, or compare data from different services. Then define account boundaries, standardize metrics and labels, build a focused KPI view, and configure refresh and access. These choices keep results comparable without obscuring which account each figure came from.

Choose what “multi-account dashboard” means for your setup

There are three different ways to bring multiple accounts into one working view. They solve different problems, so choose the consolidation layer before building charts.

A selector is a navigation aid, not a combined dataset. A roll-up property is specific to Analytics; a BI workspace is the broader option when sources span products. Select based on the question your dashboard must answer, not simply the number of accounts you have.

Set account boundaries before connecting data

In Google Analytics, the hierarchy is organization > account > property. Google recommends one account per company and a separate property for each distinct brand or business unit when stakeholders or analyst groups differ. Google’s current documentation allows up to 100 Analytics accounts and up to 2,000 properties per account. These are product limits, not a recommendation to put unrelated businesses together. Google Analytics account and property limits

Before setup, make an inventory of each source: its account and property name, owner, time zone, currency, and KPI definitions. Record who should see each source and whether any entities must remain separate. This inventory becomes the basis for connector credentials, labels, and permissions.

Normalize the data so comparisons mean what they appear to mean

Two accounts can use the same metric name while measuring different things. Before charting, define a shared model and document any differences that cannot be reconciled. The need to connect multiple sources and use a semantic model in Power BI makes this a practical implementation step, not an automatic guarantee of comparability.   • Dates and time zones: Set the reporting time zone and date boundaries consistently, or clearly disclose differences.
  • Currency: Choose a reporting currency and conversion method if sources use different currencies. Keep original-currency values available where useful.
  • Channels and campaigns: Map equivalent channel names and campaign tags to shared categories; retain the source labels when mappings differ.
  • Conversions and attribution: Confirm that conversion events and attribution rules match before comparing totals.
  • Provenance: Include a source-account or source-property field in every combined dataset so viewers can filter, compare, and trace figures back to their origin.

Keep a short definition for every displayed KPI beside the dashboard or in a linked data dictionary. If a metric cannot be made comparable, show it separately rather than implying equivalence.

Build a focused landing page

Google describes an Analytics dashboard as a “consolidated, single-page KPI view.” Standard Analytics properties allow up to 15 dashboard cards, while premium properties allow up to 30, according to Google’s current documentation. Google Analytics dashboards

Use the landing page for the few measures that guide decisions across accounts—such as traffic, conversions, and revenue only where the underlying definitions are aligned. Put account-specific diagnostics and less frequently used breakdowns on secondary pages. Label every chart with its time period, units, and source scope; provide filters for account or property when viewers need to isolate a source.

Set refresh, sharing, and permissions

In the documented Power BI service-app workflow, imported service data is scheduled to refresh automatically once per day unless the schedule is changed. Set an appropriate schedule for the decision the dashboard supports, and display a last-refresh time so readers can tell how current the view is. Configure a way to notice failed or delayed refreshes.

Access and distribution

Power BI supports sharing through named users, security groups, and published apps, with options including Teams and external guests. For Analytics and connector credentials, use narrowly scoped access where supported. Confirm the credentials and scopes required by each connector, and avoid granting dashboard viewers access to source accounts unless they need it.

Validate one source before onboarding the rest

Start with a representative account and one edge case—for example, a source with a different currency, naming convention, or access boundary. Compare dashboard totals with the source reports over the same dates, then verify filters, labels, refresh behavior, and permissions. This staged check helps expose mapping or access problems before they affect every account.

  • Inventory owners, time zones, currencies, and KPI definitions.
  • Choose a selector, Analytics roll-up property, or cross-service BI model.
  • Confirm connector credentials and scopes, and preserve source-account or property labels.
  • Reconcile dates, attribution, currencies, and naming before comparing totals.
  • Keep the landing page focused and make KPI definitions easy to find.
  • Set refresh frequency, failure monitoring, and a last-refresh indicator.
  • Grant only needed viewing, reshare, and build permissions.
  • Validate a representative source and an edge case before expanding the dashboard.
