SharePoint can still be affected when ransomware runs on a compromised computer and changes files through a synced OneDrive or mapped SharePoint library; those changes can then synchronize to Microsoft 365. If an attack is suspected, stop synchronization or disconnect the mapped library before restoring data.
How ransomware can affect SharePoint Online
Microsoft’s guidance describes ransomware running locally on a computer, changing individual files accessible through a mapped SharePoint library or OneDrive connection, and synchronizing those changes to the online environment. WebDAV can also carry changes into SharePoint. Cloud storage does not prevent a compromised user or endpoint from altering files they can access.
Possible signs include many files with the same modified timestamp, files that will not open, renamed files or appended extensions, and ransom instructions appearing in directories. These signs warrant prompt investigation; they do not, by themselves, establish the full scope of an incident. See Microsoft’s Handling ransomware in SharePoint Online.
Reduce the files an attacker can change
Review access to critical sites and libraries
A compromised account can affect content that account is allowed to edit or delete. Review permissions on critical and sensitive sites and libraries, limit broad write and delete access where business needs allow, and grant access to sensitive information only to people who need it. Revisit permissions periodically so that temporary or overly broad access does not become permanent. Microsoft’s SharePoint security best practices recommends reviewing access and limiting permissions to what users need.

- Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable

Check deletion-capable applications and automation
Review scripts, applications, and automation that remove SharePoint content. Some APIs can bypass the recycle bin and permanently delete content immediately. Restrict those uses to cases where they are necessary, and ensure their credentials and permissions are controlled. Microsoft describes this behavior in its ransomware guidance.
Set up version history and understand the recovery windows
Retain enough file versions for your recovery needs
Version history can help when ransomware encrypts or changes a file in place: an earlier version may be available to restore. Confirm that versioning is enabled for the relevant libraries and that retention is sufficient for your recovery requirements. There is no universally appropriate version count; balance recoverability with storage and administration policy. SharePoint Files Restore also depends on retained file versions, so reducing version retention can make that feature less effective. Microsoft explains the relationship in SharePoint and OneDrive data resiliency in Microsoft 365.

Match the recovery method to what happened
| Recovery route | Best fit and scope | Time horizon or limitation |
|---|---|---|
| Version history | Recover an earlier version of an existing file changed or encrypted in place. | Depends on a usable prior version being retained; the available history varies with configuration. |
| Recycle bins | Recover deleted files or other deleted content through the recycle-bin flow. | Microsoft describes 93 days from deletion in the original location across that flow. Applicable conditions and tenant behavior should be checked in current documentation. |
| SharePoint Files Restore | Restore a document library to a point in time, useful when many files in the library were affected. | Microsoft describes a restore point within the preceding 30 days; it relies on file versions. |
| Microsoft Support recovery | Ask an administrator to request recovery when content cannot be recovered through the recycle bin or applicable self-service feature. | Microsoft documents a separate additional 14-day support window in specified circumstances. The support-page backup restore applies to site collections, not individual files, lists, or libraries. |
| Microsoft 365 Backup | Evaluate for business-continuity needs such as longer protection and fast recovery, including ransomware scenarios. | Capabilities, availability, and fit depend on the service and tenant; assess recovery-point, recovery-time, retention, and operational requirements. |
The 93-day recycle-bin period, additional 14-day support window, and 30-day Files Restore lookback describe different mechanisms, not one combined guarantee. Microsoft’s data resiliency documentation and ransomware handling guidance describe their respective conditions. Confirm current service documentation and your tenant configuration before relying on any window.
Prepare backup and recovery beyond built-in tools
Built-in recovery may not satisfy every organization’s recovery time, recovery point, or retention requirements. Microsoft recommends evaluating Microsoft 365 Backup or a qualifying partner solution built on Microsoft 365 Backup Storage. Treat these as options to assess against your own needs, rather than assuming a particular feature or configuration is available in every tenant. See Microsoft’s data resiliency guidance.

Protect backup copies against deletion or encryption, using immutable or offline/off-site copies where appropriate. Practice recovery regularly so administrators know what can be restored, how long it takes, and which roles must initiate it. Microsoft’s backup and restore guidance discusses protecting backups and exercising recovery.
What to do when a ransomware attack is suspected
- Stop changes from propagating. Immediately stop OneDrive sync or disconnect the mapped drive to the SharePoint library. This is Microsoft’s stated first response in Handling ransomware in SharePoint Online.
- Identify the affected content and clean point. Record affected site collection URLs and the last known time the files were clean. Preserve this information if Microsoft Support escalation may be needed.
- Choose the recovery route by impact. For files changed in place, check version history. For deleted content, use the recycle bins. For a broadly affected library, consider Files Restore if the desired point falls within its available window and file versions remain usable. For other cases, evaluate the documented support or backup options.
- Restore using the applicable procedure. Have the administrator or affected user follow Microsoft’s SharePoint or OneDrive restore procedure for the affected content and recovery method. Confirm the restored files are usable before resuming synchronization.
Plan recovery around scope, timing, and permissions
Before an incident, document which people can initiate each recovery option and test the process against realistic scenarios: one encrypted file, deleted files, and a large set of changed files in a library. Decide how quickly service must be restored and how much recent work the organization can afford to lose. Those requirements determine whether version history and Microsoft’s built-in restore paths are sufficient or whether a separately evaluated backup capability is needed.
