To secure private notes and connected tools, treat an AI agent as an identity that can access data and take actions—not as a trusted reader. Limit its access to what a task needs, treat connected content as untrusted, check every proposed action outside the model, require approval for consequential changes, protect credentials, isolate execution, and keep logs and a tested way to revoke access.

Map what the agent can reach

Before changing settings, inventory the agent’s connections and trace how information moves. An agent may use more than the notes or files named in a prompt: its context can include chat history, stored memory, connected services, APIs, tool outputs, and information passed to an AI service.

  • List each connected note store, document repository, chat-history or memory store, API, and tool.
  • For each connection, record what the agent can read, create, change, delete, or send elsewhere.
  • Mark sensitive information, such as personal details, confidential work, credentials, or regulated data, and identify where it could leave your environment.
  • Trace the path from user input through context providers and the model service to tools and external systems.

Microsoft Learn’s “Agent Safety” guidance identifies user input, history storage, context services, the AI service, and tool-accessed services as relevant trust boundaries. For each boundary, ask what data crosses it, which identity permits access, and what control can stop an unintended transfer.

Reduce permissions before relying on behavior filters

Give each agent or workload a distinct identity and a named owner. Start with access denied by default, then allow only the resources and actions needed for the task. A connector’s availability is not a reason to grant it broad access.

  • Prefer read-only access when the task only requires retrieval. Separate read and write capabilities where the platform allows it.
  • Scope access to specific resources and actions rather than an entire account, drive, or service.
  • Use task-scoped roles and short-lived tokens when supported; avoid sharing a person’s broad credentials with an agent.
  • Review permissions when the task, connected tools, or data scope changes.

OWASP’s “AI Agent Security Cheat Sheet” and “AI Agent and MCP Security” guideline emphasize least privilege and scoped permissions. The latter describes the guiding principle as “least agency”: give an agent only the autonomy, tools, and access its task requires, for only as long as it needs them. Permission limits reduce the harm possible if an agent is manipulated or makes a mistake; they do not ensure that the agent will behave correctly.

Treat notes, documents, and tool outputs as untrusted

Prompt injection can arrive directly in a user message or indirectly through a website, email, note, document, or tool description. A note can be stored in a trusted system and still contain hostile instructions. Content the agent retrieves should therefore be treated as data to examine, not as authority to change its instructions or permissions.

This matters when a document says to reveal other notes, send information to an address, or ignore prior rules. The agent may be influenced by such text, so do not depend on a prompt telling it to ignore malicious instructions as the only safeguard. OWASP, Microsoft Learn, and Anthropic’s agent-safety guidance address prompt injection and safeguards for data and tool use.

Also treat model-generated tool arguments as untrusted input. Before a tool runs, validate its arguments against an allowlist and check their type, range, and target resource. For example, a request to update a record should be rejected if the resource is outside the permitted set, even if the model produced a plausible explanation for the change.

Enforce authorization when an action runs

The model can propose an action; a separate policy or execution component should decide whether that exact action is authorized. At execution time, check the agent identity, tool, target resource, and parameters against the permissions for the current task. A model’s confidence or assurance is not an authorization decision.

Require a human approval step for actions that are sensitive, irreversible, externally visible, or high impact. Bind approval to the specific action—including its target and relevant parameters—so approval for one operation cannot be reused for a different one. Where supported, use a short-lived authorization artifact for the approved action.

Action type Practical control
Read an allowed note or file Limit the agent to the relevant resources; log access where appropriate.

The table is a baseline, not a universal risk classification: the same operation can have different consequences depending on the data, recipient, and environment.

Protect credentials and isolate execution

Do not put long-lived production credentials in prompts, agent-readable files, or configuration the agent can inspect. Use a separate identity for the agent and, where available, scoped credentials that expire after the task or a short period. Keep secrets in a system designed to manage them rather than exposing them as ordinary context.

Run code and unvetted tools in a sandbox or other isolated environment. Grant only the filesystem and network access required for the task; avoid unnecessary home-directory mounts, production credentials, and unrestricted outbound connections. OWASP’s agent and MCP guidance and the Government of Singapore’s “Securing Agentic AI” addendum cover least privilege, file and data controls, network restrictions, and isolated execution.

Check what a platform’s sandbox actually covers. A limit on shell or code execution may not also restrict every file, connector, or external service available to the agent. Confirm the boundary for each access path instead of assuming one isolation feature covers them all.

Log activity and rehearse revocation

Keep enough audit detail to investigate what happened and which control allowed it. Logs should identify the agent, its effective scope, the tool and target resource used, and the authorization decision. Protect logs appropriately, since they may themselves contain sensitive information.

  1. Disable the agent or workload identity.
  2. Invalidate its tokens and revoke or rotate credentials it can use.
  3. Remove stale permissions from connected services and any downstream systems.
  4. Confirm that those services no longer honor the agent’s previous authorization.

Microsoft Learn’s “Least privilege for AI agents with Microsoft Entra Agent ID” addresses scoped access, auditing, and revocation. The practical test is end-to-end: an agent is not fully disabled if a connected service still accepts an old token or permission.

What the vendor can—and cannot—secure for you

A model or platform may provide safeguards, permission features, or sandboxing, but the organization configuring the workflow still needs to decide which data and actions are appropriate, enforce authorization at execution time, and verify the limits of the controls in use. OWASP’s guidance, Microsoft Learn’s agent-safety material, Singapore’s addendum, and Anthropic’s agent-safety framework support these control areas; they do not establish that every product implements them in the same way.

For an individual, the same baseline applies in simpler form: connect only the notes and services needed for the task, choose read-only access if it is sufficient, avoid exposing credentials, review proposed changes before they happen, and disconnect or revoke access when it is no longer needed. For an organization, assign an owner, enforce policy outside the model, audit tool calls, and test revocation across connected services.
