Open the email, display the content you need, and use your laptop’s built-in screenshot shortcut. On Windows, press Windows + Shift + S; on a Mac, press Shift-Command-4; on a Chromebook, press the Screenshot key or Shift + Ctrl + Show windows. Select only the message area, then crop or redact private information before sharing. If you need a searchable, printable record of a long email, save it as a PDF instead.
Choose the right capture for your email
Your best method depends on what you need to preserve:

How to screenshot an email on Windows 10 or Windows 11
- Open your email service or desktop mail app and scroll until the required message text, header, or attachment is visible.
- Press Windows logo key + Shift + S. This opens the Snipping Tool overlay.
- Choose a capture mode. Rectangular snip is normally best for an email because you can select just the message. You can also choose free-form, window, or full-screen mode.
- Drag around the email content. In window mode, select the mail window when the pointer changes to the selection cursor.
- The snip is copied to the Snipping Tool window. Use its editor to crop or annotate, then press Ctrl+C to copy it or Ctrl+S to save it.
- Open the saved image and inspect it at 100% before sending. Microsoft’s Snipping Tool can recognize text and offers quick redaction for recognized email addresses or phone numbers; verify that every sensitive item is actually covered.
Microsoft describes the workflow this way: “When you capture a snip, it’s automatically copied to the Snipping Tool window where you make changes, save, and share.”
Capture only part of an email
Use rectangular snip and begin just outside the first line you want. Include enough surrounding context to identify the message, but leave out unrelated recipients, signatures, browser tabs, and notifications. If the email is taller than the screen, take separate, overlapping captures rather than shrinking the text until it cannot be read.

How to screenshot an email on a MacBook
- Open the message and position the page at the section you need.
- Press Shift-Command-4. Drag over the email area, then release the trackpad or mouse.
- For the complete email window, press Shift-Command-4, press Space, and click the window. The pointer becomes a camera icon before you click.
- For the entire display, press Shift-Command-3. Use this only when you intentionally need everything on the screen.
- By default, macOS saves the image to the Desktop after the thumbnail disappears. Click the thumbnail to mark up the image, or use its options to save a copy to the Clipboard instead.
Apple’s documented full-display shortcut is: “To take a screenshot, press and then release these three keys together: Shift, Command and 3.”
Where Mac screenshots go
Look on the Desktop for the saved image. If you sent the capture to the Clipboard, paste it directly into Mail, Messages, a document, or an image editor. Rename the file before archiving it so the date and subject are clear without exposing the message content in the filename.
How to screenshot an email on a Chromebook
- Open the email and scroll to the required content.
- Press the Chromebook’s dedicated Screenshot key. If your model has no such key, open Settings and choose Screen Capture, or press Shift + Ctrl + Show windows.
- Choose full-screen, partial, or window capture. Select partial capture when you need only the message body.
- Review the result, then delete, edit, or share it from the capture controls.
Chromebook screenshots are saved in the Downloads folder by default. Screen Capture settings let you change the destination. Google’s Chromebook Help notes that after capture you can “review, delete, and share the image or video.”
Save a long email as a PDF instead
A screenshot records pixels, so a message longer than the display may require several images. A PDF is usually better for an archive, a legal or support record, printing, or searching text.

- Open the email in your browser.
- Open the browser print command. In Chrome on Windows or Linux, press Ctrl + P.
- In print preview, choose Save as PDF as the destination.
- Review the page preview, including headers, attachments, and page breaks.
- Choose a folder and filename, then save. Open the resulting PDF once to confirm that all required pages and images are present.
Some mail services offer a message-specific print button. That can produce a cleaner PDF than printing the entire browser tab, especially when conversation history or navigation panels are visible.
Protect private information before sharing
- Limit the scope: capture only the lines, header fields, or attachment preview needed for the recipient’s question.
- Check the header: inspect From, To, Cc, Bcc, subject, and timestamps. A screenshot can disclose more recipients than the body does.
- Inspect the surroundings: browser tabs, bookmarks, desktop notifications, account avatars, and open chat panels may contain unrelated information.
- Redact rather than merely crop: cover names, email addresses, phone numbers, account IDs, order numbers, and message text that is not relevant.
- Export a final copy: if you used an editable annotation project, export the finished PNG, JPEG, or PDF and inspect that exported file. A crop in an editable project may not remove the original pixels.
- Check attachments: filenames and thumbnails can reveal confidential details even when the body looks safe.
- Use a secure destination: avoid posting sensitive captures in public channels or uploading them to an unapproved file-sharing service.

Troubleshooting common email screenshot problems
The shortcut does nothing
On Windows, press the keys together and release them; then wait for the Snipping Tool overlay. On a Mac, use the Command key, not Control. On a Chromebook, use the Show windows key (the rectangle-with-lines key) if your keyboard has no dedicated Screenshot key. If a managed work device blocks capture, ask your administrator which approved method is allowed.
The screenshot is blank or shows a loading spinner
Wait for the message body and remote images to finish loading, then capture again. Some mail clients hide content until you expand “Show trimmed content” or an attachment preview. If the message requires a separate login or security prompt, capture after authentication rather than sharing the prompt itself.
The email is cut off
A normal screen capture covers only the visible viewport. Scroll and take multiple captures with a small overlap, or use the browser’s print-to-PDF workflow for a continuous document. Do not reduce the image so far that the text becomes unreadable.

Text looks blurry
Capture at the laptop’s native display scale, avoid zooming the image after capture, and share the original file rather than a compressed preview from a messaging app. For searchable text, use PDF instead of a heavily resized image.
Private details are still visible
Reopen the final exported file and inspect every corner at full size. Redact before uploading or sending. Do not rely on a black shape in an editable file; flatten or export the final image and verify that the underlying text cannot be selected or revealed.
The PDF has missing images or strange page breaks
Wait for remote images to load, use the mail service’s print view if available, and inspect the print preview before saving. If a background color or image is essential, check the browser’s print options for background graphics, while remembering that enabling them can include more page design than you intended.
