For a dependable searchable archive, print the article to PDF, inspect the preview, preserve its source metadata, and test that the resulting file contains selectable text. If the PDF is an image, run OCR before filing it. Store the PDF with a stable date-based name and index it in a tool such as Zotero when you need to search a collection.
Choose the right capture before you save
Web pages are dynamic documents. Cookie banners, expanded comments, advertisements, lazy-loaded images, paywalls, video, and interactive graphics can change what reaches the PDF. Decide what you need to preserve:
- Readable text: use a reader or Simplified print view when typography and navigation matter more than the original design.
- Visual fidelity: use the normal print preview when figures, tables, captions, sidebars, or branding are evidence.
- Provenance: keep the source URL, author, publication date, and the date you captured it, even when the page itself may later change.
Remove consent dialogs and close expanded comment sections before printing. Preview the entire result; browsers can paginate a page differently from how it appears on screen.
Save an article as a PDF on a computer
- Open the article in Firefox, Chrome, Edge, or Safari and wait for important images or sections to load.
- Clean the page. Dismiss consent banners, newsletter prompts, chat widgets, and overlays. Expand content that must be preserved, but remove comments or advertisements that are not part of your record.
- Open Print. Use your browser’s menu or the operating system print shortcut.
- Select a PDF destination. In Firefox choose Save to PDF in the printer or destination drop-down. Chrome and Edge expose a PDF destination in the print dialog. Safari offers PDF from its print sheet.
- Set the page. Choose page range, portrait or landscape orientation, paper size, scale, margins, headers and footers, color, and background graphics as needed. Firefox also offers a Simplified format for suitable text-heavy pages.
- Inspect the preview. Check that headings are not clipped, columns are in order, tables fit, images are present, and no page is blank. Compare Simplified and original layouts when figures or captions are important.
- Save with a stable name. A useful pattern is
YYYY-MM-DD_publication_short-title.pdf, for example2026-09-29_example-co_searchable-archive.pdf.
Put the author, publication date, URL, access date, and tags in the PDF metadata when your PDF application supports it, or in a companion note. Do not rely on a title embedded by the site; it may be missing or misleading.

On Firefox desktop, open Menu → Print, choose Save to PDF, and adjust page range, orientation, color, paper size, scale, margins, headers and footers, backgrounds, and Simplified format in the preview. The built-in Firefox PDF viewer also has Save and Print controls, allowing you to create a PDF from selected pages when you do not need the whole document.

Save a full article on an iPhone
- Open the page in Safari and wait for the article content to finish loading.
- Tap Share, choose Markup, and tap Done.
- Choose Save File To, select a folder in Files, rename the document using your date-based convention, and save it.
Review the saved PDF in Files. Mobile layouts may omit navigation, embedded media, or content that appears only after interaction. For an important record, retain the URL and access date in a note beside the file.
Make sure the PDF is searchable
A searchable PDF has an embedded text layer. A file made from a screenshot or scanned page may contain only pixels, so a viewer cannot find or copy words.
- Open the saved PDF and use Find for a distinctive phrase.
- Try selecting and copying one sentence into a plain-text editor.
- Check names, numbers, tables, and quotations against the page, especially after OCR.
If Find returns nothing and text cannot be selected, apply optical character recognition (OCR). Chrome documents automatic OCR for scanned PDFs; in Acrobat, use the scan or recognize-text workflow, choose the correct language, and save a new searchable copy. OCR can misread columns, punctuation, names, and numbers, so spot-check passages before using the file as research evidence.

Build a searchable article library with Zotero
- Install Zotero and its browser Connector.
- With the article open, use the Connector to save a webpage item and available PDF or snapshot. The Connector is designed to capture bibliographic metadata with the item.
- Attach the PDF if it was saved separately, then add tags and notes containing the access date and any archive caveat.
- Check the attachment’s Indexed state. If text is missing from searches, run Zotero’s reindex command for the attachment.
- Search the library across PDF, HTML, and plain-text attachments. Keep the original URL so you can distinguish a saved copy from the current page.
For high-value sources, keep both the PDF and a Zotero snapshot when available. A snapshot can preserve context that a print layout cannot, while the PDF remains easy to share and cite.
Preserve difficult pages and dynamic content
- Lazy-loaded images: scroll through the article or use a capture method that waits for images before exporting.
- Paywalls and login sessions: save only content you are authorized to access; a print preview may contain less than the visible page.
- Video and interactive graphics: record the surrounding text and URL, but do not assume a PDF contains the interactive experience.
- Comments: decide whether they are part of your evidence. Comment order and availability can change.
- Long pages: inspect page breaks and use a page range when only a relevant section belongs in the archive.

The PDF is blank or missing images
Wait for the page to finish loading, scroll to trigger lazy images, and print again. Disable blocking extensions, compare normal and Simplified preview, and check whether the content requires a session or interaction.
Text cannot be selected
The file is probably image-only. Run OCR, select the correct language, save a new copy, and verify names, figures, and tables manually.

Check the print preview’s page range and whether the site hides content behind an expand control. Open all required sections before printing or capture the relevant range separately.

Columns or tables are unreadable
Switch to landscape, increase paper size or scale, reduce margins, and compare the original layout with Simplified mode. For a table that still breaks, retain a snapshot or source URL alongside the PDF.
Search works in the PDF but not across the collection
Confirm that your library tool has indexed the attachment. In Zotero, verify the Indexed state and reindex. For a very large folder, Acrobat can search multiple PDFs and build a catalog index.

Archive checklist
- Consent banners and irrelevant overlays removed.
