To move files to another drive without breaking apps, first identify whether they are ordinary files, a Windows known folder, or an application-managed library. Use the operating system’s or app’s supported relocation method when one exists. For loose files, copy them, verify the destination, test the apps that use them, and keep the original until everything works.

Identify what you are moving

The right method depends on how the data is managed. A file move can break an app when the app expects the data to remain at a particular path, or when it maintains its own library, index, or database.

  • Ordinary documents and media: Use a copy-and-verify process. Keep the original until you have checked the destination and any apps that use those files.
  • Windows known folders: Documents, Pictures, and Desktop have supported redirection controls. Use those instead of moving the folder behind Windows’ back. Microsoft recommends OneDrive Known Folder Move when redirecting these folders to OneDrive. Microsoft’s Known Folder documentation describes the Windows interfaces and notes the OneDrive guidance.
  • App-managed libraries or databases: Follow the app’s own migration instructions. A generic move may not update the app’s indexes or stored paths.
  • Installed applications: Do not assume dragging an installation folder to another drive relocates the app correctly. Use an app-provided move option or the publisher’s instructions; otherwise, reinstall or follow the app’s documented migration process.

Use a safe move workflow

  1. Inventory the data and dependencies. Note which apps open the files, whether the folder is a Windows known folder or an app-managed library, and whether sync or backup software also uses it.
  2. Choose the supported method. Use Windows’ controls for eligible known folders, the application’s procedure for its managed library, and copy-and-verify for loose files. A Windows library is only a view over folders; adding a folder to a library does not move it. Microsoft explains how libraries work.
  3. Check the destination. Confirm it has enough free space, suitable permissions and file-system compatibility, and will remain connected whenever the app needs the data.
  4. Copy before deleting. For loose files, copy them first, browse the destination, and open a sample. Microsoft’s file-transfer guidance includes verifying the copied files and safely ejecting removable storage before disconnecting it.
  5. Reconnect the app. Open a moved library using the app’s procedure or update its storage-location setting. For files referenced by path, avoid renaming or moving individual items unless the app provides a way to relink them.
  6. Test actual use. Open the relevant apps, browse the moved data, and save a new file to the intended location. Check that sync is current and backup still covers the new path.
  7. Keep a rollback copy. Remove the old copy only after the app works from the new location and the data is backed up. If something fails, restore the original location or point the app back to the original copy.

Windows-specific cases

Documents, Pictures, and Desktop

Windows provides interfaces for retrieving and redirecting eligible known-folder paths. Microsoft’s technical documentation describes IKnownFolder::SetPath and SHSetKnownFolderPath for Windows Vista and later, and specifically recommends OneDrive Known Folder Move for redirecting Documents, Pictures, or Desktop to OneDrive. Use the supported control for the folder and destination you intend to use rather than manually moving the folder and hoping apps follow it. See Microsoft’s Known Folder documentation.

Libraries are not storage locations

Adding a folder to a Windows library changes how you view and access it; it does not physically move or relocate the files. Actions on items in the library still apply to the underlying files. Microsoft’s library overview explains this distinction.

Work Folders

Microsoft permits a Work Folders location on another drive when that drive is formatted as NTFS and stays connected. To change its location, stop using Work Folders and set it up again, selecting the new location during setup. Avoid reserved Windows locations and locations that are already EFS-encrypted. Microsoft’s Work Folders deployment guidance covers these requirements.

Moving an Apple Photos library

Photos has a specific supported process; do not treat its library like a loose folder of pictures.

  1. Quit Photos.
  2. Move the Photos library to a suitable external storage device.
  3. Double-click the library at its new location to open it in Photos.
  4. If you use iCloud Photos or Photo Picker access in other apps, designate the moved library as the System Photo Library.

Apple specifies APFS or Mac OS Extended (Journaled) for an external Photos library, and advises against using a Time Machine, network, internet, SD card, or USB flash drive volume. Keep the drive available before opening Photos: “Always make sure your storage device is turned on and available before opening Photos.” If Photos cannot find the drive, it may start using an empty library at the default location. Apple’s instructions for moving a Photos library explain the supported setup.

Referenced photos are different

If Photos references files stored outside its library, it may not find them when the storage device is disconnected or the files are moved or renamed in Finder. Before deleting the old copy

  • The destination files open and look correct.
  • Each app that uses the data can find it and save changes where intended.
  • Sync has completed, and backup software includes the new location.
  • Any external drive required by an app will be available whenever that app needs it.
  • You have a recoverable copy until these checks pass.
