To move files safely, copy them to the SSD, check that the files open from the drive, and keep the originals until you have confirmed the copy is usable. Don’t use Cut and Paste or delete the source as part of the transfer: if a move is interrupted, you could lose data. Before copying, check that the SSD has enough free space and that its format lets the computer write to it.

1. Check the SSD before copying

Make sure the computer recognizes it and has write access

Connect the SSD directly or with a suitable adapter, then confirm it appears in File Explorer on Windows or Finder on Mac. Check the drive’s available space against the files you plan to copy. A drive that lacks space—or one your computer cannot write to—cannot complete the transfer as intended.

On a Mac, select the drive in Finder and choose File > Get Info to inspect its details. Apple lists APFS and Mac OS Extended as Mac file-system formats, and exFAT as Windows-compatible. macOS may read an NTFS drive, but Apple says Disk Utility does not support writing to NTFS. If the Mac cannot write to the drive, resolve that before starting the copy. Apple’s external-drive guidance covers this issue and other reasons a Mac may not save files.

Choose a format for the computers that will use the SSD

How you’ll use the SSD Format to consider Important qualification
Mac only APFS Apple describes APFS as the macOS default for macOS 10.13 or later and optimized for SSD and flash storage. Check specialized app requirements before choosing a format.
Mac and Windows exFAT Apple lists exFAT as Windows-compatible. Check compatibility with any other devices you plan to connect.
Mac using an existing NTFS drive Do not assume the Mac can write to it Apple says macOS may read NTFS, but Disk Utility does not support writing to it.

These distinctions are based on Apple’s Disk Utility format guide and its format guidance for Final Cut Pro, Motion, and Compressor. Your existing format may already suit your needs, so formatting is not automatically necessary.

Back up anything already on the SSD before formatting

Formatting erases the data on the volume. If the SSD contains files you want to keep, copy them somewhere safe before erasing it. Only reformat after confirming that its contents are expendable or backed up, and select a format that suits the computers that need to write to it. See Apple’s format guide for the options available in Disk Utility.

2. Find the files you want to transfer

Don’t assume everything is in one folder. On Windows, check the folders relevant to your account, such as Documents, Desktop, Downloads, Favorites, Music, Pictures, and Videos. On Mac, check your user folders and any other locations where you saved the files. Microsoft’s Windows external-storage instructions also point users to common personal folders.

If the files are important, make a clear list of the folders you intend to copy. That gives you something concrete to check against the SSD after the transfer.

3. Copy the files, leaving the originals in place

  1. Select the files and folders you want to transfer.
  2. Use Copy and then Paste into a folder on the SSD. Avoid Cut, Move, or any action that removes the source files during transfer.
  3. Wait for the copy operation to finish. Don’t disconnect the SSD while files are being copied.

Western Digital recommends Copy and Paste rather than Cut and Paste or Move because an interrupted move can result in data loss. Its drive-to-drive transfer guidance also advises preserving the source until the destination copy is backed up.

4. Check the copied files before relying on them

Open the SSD in File Explorer or Finder and browse the destination folders. Compare them with the folders you intended to transfer, then open a selection of important files from the SSD. A completed progress indicator alone does not confirm that the copy contains the files you need or that those files are usable. Microsoft recommends browsing the external drive and checking the files after transfer in its Windows instructions.

Keep the originals until you have checked the destination. For important data, keep another backup as well: one external SSD holding the only copy is not a backup.

5. Eject the SSD before unplugging it

On Windows

When copying and checking are finished, use Windows’ Eject option for the SSD and wait for the system to indicate that it is safe to remove. Microsoft includes ejecting the external storage device in its Windows 10 and 11 file-transfer instructions.

On Mac

In Finder, eject the mounted SSD before unplugging it. If a copy is still running or the system will not eject the drive, wait until the operation is finished and try again rather than disconnecting it while it is in use.
