FigJam is Figma’s online whiteboard for collaborative work such as brainstorming, research, planning, meetings, and interactive sessions.
1. Decide what the workshop should produce
Before building the board, define the outcome: for example, a set of ideas, a prioritized list, research findings, or agreed next steps. Arrange the workshop activities in the order participants will do them, so the board itself acts as the session’s route.
Create a FigJam file for the session. Figma describes FigJam as an online whiteboard for collaborative activities, including brainstorming, research, planning, and meetings. FigJam is available on any team or plan, according to Figma’s FigJam overview.
2. Build a board participants can follow
Use a separate, clearly labeled section for each activity. Add a brief instruction or prompt in each section, and keep the sequence easy to scan. Sections can group and move objects, hide content until it is needed, and provide links that take collaborators directly to a section. This makes it possible to reveal activities progressively rather than presenting the whole workshop at once. Figma explains these options in its meeting guide.

For instance, a board could progress from an opening prompt to individual idea generation, group discussion, prioritization, and a final area for decisions and actions. Choose sections that match the workshop’s actual purpose rather than adding steps the group does not need.
3. Orient participants before the first activity
At the start, show participants how to add sticky notes and use any reactions or cursor chat that the exercises rely on. Keep the orientation short and demonstrate the tools in the board itself. Figma’s meeting guide recommends introducing collaboration tools to participants who are new to FigJam.
Make the activity prompt explicit: explain what to add, where to add it, and how much time the group has. That gives participants a clear way to contribute without needing to guess how the board is meant to be used.

4. Guide attention and conversation
Use Spotlight when you need participants to follow the presenter’s view. Figma says viewers get a short opportunity to decline before they are moved to that view. Spotlight is supported on any team or plan, and anyone with view access can use it, according to the Spotlight guide.

5. Time-box activities with the shared timer
Use the FigJam timer to give an exercise a defined start and finish. Figma’s timer documentation says it can be set for up to 99 minutes and 59 seconds. There can be only one active timer per file.
The timer is shared rather than reserved for the facilitator: anyone with edit access can start, pause, add time, or stop it. Decide how the group will handle timer control before beginning, particularly if several participants have edit access. Timer use is available on any team or plan.

6. Use voting when the group needs to prioritize
Voting can help a group choose among ideas after brainstorming. Set the prompt and the number of votes each participant may cast before starting. Votes stay hidden from other collaborators until the session ends, when results are revealed.

There are access requirements: only users on Professional, Education, Organization, and Enterprise teams can start a voting session, and participants need edit access. Visitors can vote in an Open session but cannot start it. Any user in the file can end the session. Check the current details in Figma’s voting guide before relying on voting for a workshop decision.

7. Capture the outcome before participants leave
Reserve a final section for the workshop record. Organize the result into useful categories such as findings, decisions, and action items, then share the board or links to specific sections with the people who need them. Figma’s meeting guide recommends organizing meeting results into themes such as learnings, notes, and action items.
Make action items specific enough to use after the session: record the next task and its owner when that information has been agreed. Keep decisions distinct from open questions so readers can tell what the group settled and what remains unresolved.
8. Reuse a successful workshop board
FigJam templates provide pre-created content for new or existing boards. Anyone with edit access can use templates in a FigJam file. For a recurring workshop, a custom template can preserve the activity sequence and prompts so the next board needs less setup. See Figma’s template guide.
Publishing custom templates has plan and permission limits. Figma’s current help page says custom templates are available on paid plans; Professional plan users can publish up to five templates per team, and eligible organization members need edit access to publish. Confirm the current plan and permissions in your team before building a repeatable process around those limits.
Choose the facilitation tools for the activity
