A printer’s “offline” status, a stuck print queue, and poor print quality are different problems, so there is no single reset that fixes them all. Start by identifying the exact message, checking power and the connection, then work through the Windows queue and print service if needed. Use your printer maker’s instructions for model-specific errors and maintenance.
Identify the status before changing anything
Note the exact message shown on the printer, in Windows, or in the manufacturer’s app. “Offline” or “unavailable” usually points to a communication problem; a paused printer or blocked queue is a different issue. Paper, ink, cover, or jam warnings require attention at the printer. Poor print quality calls for a quality diagnostic, not an offline reset. HP Support explains that an offline message may appear when a device cannot communicate with the printer: HP’s printer-offline help.
Before following a model-specific step, identify your operating system, whether the printer connects by Wi-Fi or USB, its make and exact model, and the symptom. The Windows paths below apply to Windows 10 and Windows 11; other systems and printer models may use different controls.
Restore power and check the connection
- Make sure the printer is switched on and check its display for a paper, ink, open-cover, or jam warning. Resolve any condition the printer identifies before troubleshooting the computer connection.
- Check that the printer is connected by the intended USB cable or network. For Wi-Fi, confirm that the printer and computer are on the same network.
- Restart the printer. Microsoft’s offline troubleshooting recommends turning it off, unplugging it, waiting 30 seconds, reconnecting it, and turning it on. HP’s general offline guidance also recommends restarting the printer and the device or router. These steps may help restore communication but are not a guaranteed fix for every error. Clear Windows printer settings and the queue
When the printer is connected but Windows still shows it as unavailable, check that Windows is sending jobs to the intended printer and that printing has not been paused or set to offline.

- Open Settings > Bluetooth & devices > Printers & scanners in Windows 11, or Settings > Devices > Printers & scanners in Windows 10.
- Select the affected printer and open its queue. Depending on Windows version, the control may be labeled Open print queue or appear as See what’s printing.
- In the queue window, open the Printer menu. If shown and selected, clear Pause Printing and Use Printer Offline.
- Cancel jobs that are stuck, then try printing a simple page again. If several printers are installed, confirm you selected the intended one; set it as the default only if that is what you want Windows to use routinely.
Windows wording and menu placement can vary. Follow Microsoft’s current instructions if a label or option differs.
Restart Print Spooler if jobs remain stuck
The Print Spooler is the Windows service that manages print jobs. If a job will not clear after you cancel it, Microsoft documents restarting the service as a troubleshooting step.

- Save or close work that is printing, then open the Windows Services app.
- Find Print Spooler, right-click it, and select Restart if that option is available.
- Reopen the printer queue and check whether the stuck job has cleared. Try printing again.
Microsoft also documents a more involved spooler reset that stops the service, deletes files in the spool folder, and starts the service again. Use Microsoft’s step-by-step procedure rather than deleting files by guesswork. This is Windows queue troubleshooting, not printer hardware maintenance.
Remove and add the printer or update its driver
If power, connection, queue settings, and the spooler do not resolve the problem, Microsoft suggests removing and adding the printer again. Use Settings > Bluetooth & devices > Printers & scanners in Windows 11 or Settings > Devices > Printers & scanners in Windows 10, select the printer, remove it, then use the option to add a printer or scanner. The exact flow may differ by Windows version and connection type.

A driver that is missing, outdated, or incompatible can also interfere with printing. Check Windows Update and the official support or driver page for your printer’s manufacturer and exact model. Microsoft discusses driver compatibility in its Windows printing troubleshooting guide. A third-party driver utility is not a necessary first step for an offline status.
Use the printer’s own maintenance instructions for print-quality problems
Do not run printhead cleaning just because Windows says “offline.” Cleaning procedures and diagnostic menus vary by printer. HP’s Designjet Z6100 guidance describes cleaning for persistent image-quality problems after other methods and notes that cleaning uses ink; that advice is specific to that product family. HP’s guidance for certain DeskJet, ENVY, and OfficeJet models likewise depends on the model. Follow the exact instructions for your printer rather than transferring a procedure from another model.

Only replace ink or other supplies when the printer’s status or a model-specific diagnostic indicates a need. An offline message alone does not establish that a cartridge, printhead, or repair part needs replacement. Exterior cleaning is separate from clearing an offline status or cleaning a printhead. HP’s general maintenance guidance recommends turning the printer off using its power control, disconnecting the power cable, and cleaning the exterior and regularly touched parts with a damp sponge or soft cloth and a mild, non-abrasive household cleaner. A soft cloth or sponge is sufficient; no particular cleaning kit is established as necessary.

- Do not spray cleaner directly into openings or handle internal parts as part of routine exterior cleaning.
- Do not turn the printer upside down; HP warns that ink can escape and damage it.
- For anything beyond the exterior, use the manual for the exact make and model.
See HP’s printer-cleaning guidance and consult your own manufacturer’s instructions, since these details are not universal across brands.
