Outlook offers two different ways to get rid of a recurring meeting, and they do different things:
- Decline tells the organizer you will no longer attend.
- Delete removes the meeting from your calendar without notifying the organizer.
If you want to stop receiving and attending the remaining meetings, decline the recurring series. If you only want to clean up your own calendar, delete it instead.
Before you start: choose the right action

As an attendee, you cannot edit the organizer’s meeting or remove yourself from the attendee list on everybody’s copy. You can only change what happens on your calendar and send a response to the organizer. Microsoft explains that removing attendees is an organizer function.
How to decline a recurring meeting
Use this method when you want the organizer to know that you are leaving the meeting series.

New Outlook for Windows or Outlook on the web
- Open Calendar.
- Select an occurrence of the recurring meeting.
- Select Decline.
- When Outlook asks which meetings to affect, select the option for the remaining series. Depending on the client, this may be This and all following events or All events in the series.
- Send the response if Outlook asks whether you want to notify the organizer.
Do not choose This event unless you only want to skip the selected occurrence. The recurring meeting will otherwise continue appearing on your calendar.
Outlook on the web commonly shows these recurring-event choices:
- This event — affects only the selected meeting.
- This and all following events — affects the selected meeting and future meetings.
- All events in the series — affects the entire recurring series.
Available choices vary by Outlook client and account. Microsoft documents these recurring-event scopes for Outlook on the web.
Classic Outlook for Windows
- Open the meeting request in your Inbox, or open the meeting from Calendar.
- Select Decline.
- If Outlook asks whether to send a response, choose the option that sends your decision to the organizer.
- Classic Outlook may not offer the same remaining-series scope as new Outlook. If you need to decline the selected meeting and all following meetings, use new Outlook or Outlook on the web. Otherwise, make sure your response applies to the scope available in your version, rather than just the selected occurrence.
In classic Outlook, declining normally removes the meeting from your calendar. The meeting request is usually moved to Deleted Items. Microsoft documents this behavior and declined-event settings.

Open the invitation or calendar event and select Decline. If Outlook for Mac does not show the recurring-series scope you need, use Outlook on the web or Outlook for Windows to manage the series. Microsoft documents the standard meeting response options for Outlook for Mac.
Outlook for iPhone or Android
- Open the meeting invitation or event.
- Tap RSVP.
- Tap Decline.
If the series does not disappear correctly in the mobile app, repeat the operation in Outlook on the web or Outlook for Windows. Microsoft has documented a synchronization issue affecting recurring meeting deletions and cancellations for some on-premises Exchange configurations. See Microsoft’s Outlook Mobile workaround.
How to delete a recurring meeting from your calendar
Deleting is a local action. It removes the meeting from your calendar but does not cancel it for the organizer or other attendees.
Classic Outlook for Windows
- Go to Calendar.
- Right-click an occurrence of the meeting.
- Select Delete.
- When Outlook asks what to delete, choose the recurring Series.
For a meeting you did not organize, Outlook normally offers Occurrence and Series. Selecting Series removes all occurrences from your calendar, including past occurrences. Microsoft documents deleting an appointment or meeting.
New Outlook or Outlook on the web
- Open Calendar.
- Select the recurring meeting.
- Select Delete.
- Choose the appropriate scope, such as This event, This and all following events, or All events in the series.
Choose All events in the series if you want the entire meeting removed from your calendar. Choose This and all following events if you want to retain earlier occurrences and that option is available. Microsoft’s web instructions list the recurring-event scopes.
Remove future meetings but keep past occurrences
This is the awkward case for attendees. Deleting the entire series removes past meetings as well. If you need to preserve your meeting history, delete the future occurrences one at a time. Microsoft documents this workaround for future meetings in a series.
- Open Calendar.
- Find the first future occurrence you no longer want.
- Right-click it, or open it and select Delete.
- Choose Occurrence, not Series.
- Repeat for every remaining occurrence.
This removes the selected meetings only from your calendar. It does not change the recurring invitation for anyone else.
Keep a declined meeting visible
By default, declining a meeting removes it from your calendar. New Outlook for Windows can retain declined meetings for Microsoft 365 work or school accounts.

- Select View, then Calendar Settings.
- Select Calendar.
- Open Events and invitations.
- Under Save declined events, turn on Show declined events on your calendar.
- Select Save.
Declined meetings appear as free time. This setting is not available for personal Outlook.com, Hotmail, Live, MSN, IMAP, or POP accounts. See Microsoft’s declined-meeting instructions.
To hide declined meetings in new Outlook, open Calendar, select View > Filter, and choose Hide declined events.

Why the meeting is still appearing
You deleted it instead of declining it
Deleting only removes the event from your calendar. It does not send a response. If the organizer needs to know you are leaving, open the meeting and select Decline.
You selected “This event”
That choice affects one occurrence only. Select This and all following events or All events in the series when you want to leave the rest of the series, if your Outlook version offers that choice.
You removed the series but it reappeared
A synchronization problem may have prevented the deletion from reaching the Exchange server. Open Outlook on the web or Outlook for Windows and delete or decline the series there. This is particularly relevant when the original attempt was made in Outlook Mobile. Microsoft describes a related Outlook Mobile issue.
You are trying to remove yourself from the organizer’s attendee list
Only the organizer can edit the attendee list. Ask the organizer to remove you, or ask them to end the old series and create a new one without you.
Can you transfer the meeting to another organizer?
No. Outlook does not provide an attendee command for transferring ownership of an existing meeting. The usual solution is for the current organizer to end or cancel the old recurring series and have the new organizer create a separate series. Microsoft’s Outlook Calendar best practices cover meeting ownership.
Which option should you use?
For most situations, select Decline and apply it to the remaining series. That tells the organizer your plans have changed. Use Delete only when you want a private calendar cleanup and do not need to send a response. If past occurrences matter, delete future occurrences individually instead of deleting the entire series.

Will the organizer know if I delete a recurring meeting?
No. Deleting the meeting removes it from your calendar but does not send the organizer a decline response. Use Decline if you want to notify the organizer.

How do I leave a recurring Outlook meeting without deleting past meetings?
Delete each future occurrence separately and choose Occurrence, not Series. Outlook may not preserve past occurrences if you delete the entire series.
What does “This and all following events” mean in Outlook?
It applies the action to the selected occurrence and every future occurrence, while leaving earlier meetings in the series unchanged.
Can I remove myself from an Outlook meeting without notifying the organizer?
Yes. Delete the meeting from your calendar rather than declining it. This is a local action, although the meeting may reappear if the calendar synchronizes it again.

That is the normal Outlook behavior. You can retain declined meetings in new Outlook for Windows by enabling Calendar Settings > Calendar > Events and invitations > Show declined events on your calendar. The setting requires a Microsoft 365 work or school account.
Can an attendee remove their name from everyone’s copy of the invitation?
No. Only the organizer can edit the attendee list or remove an attendee from the meeting.
The Bottom Line
Use Decline when you want to leave the recurring meeting and tell the organizer. Apply it to This and all following events or All events in the series when your Outlook version offers the option, not just This event. Use Delete for a local calendar cleanup, and delete future occurrences individually if you need to keep past meetings visible.
