To redact a screenshot safely, remove or permanently cover the sensitive pixels in a new exported image, then reopen and inspect that export before sharing it. A black shape that can be moved or deleted is only a visual cover, not proof that the underlying content is gone. If the screenshot is inside a PDF or Office document, use that format’s redaction or inspection tools: those files can contain searchable text and hidden data beyond what appears on screen.
First identify the file you are sharing
A screenshot saved as an image and a PDF containing that screenshot are different redaction jobs. A PDF may include searchable text or hidden objects that are not obvious in the page view. Adobe describes possible hidden PDF content such as metadata, attachments, scripts, layers, comments, annotations, stored form data, and obscured text or images (Adobe’s guidance on removing sensitive content from PDFs).
Before editing, check the actual file extension and intended sharing format. If you place a redacted image into a document or PDF afterward, inspect that final document too; editing the image does not sanitize other content in the container.
Redact an ordinary screenshot image
- Keep the original separate. Make a working copy and retain the unredacted source only if necessary, with access controlled. This reduces the chance of accidentally sharing the source instead of the edited file.
- Remove the full identifying content. Cover or crop names, account numbers, addresses, notification previews, browser tabs, QR codes, and other details that identify a person or place. Inspect surrounding context as well: nearby text, map details, or interface elements can disclose what the hidden value alone would not.
- Make the edit part of the exported image. Do not rely on an editable or movable overlay layer as the final redaction. Export to a distinct file so the shared version is the edited image, rather than a project file that may preserve separate layers.
- Reopen and inspect the export. Open the new file in a separate viewer and examine each redacted area at full size. Look for legible remnants, edge gaps, transparency, resizing artifacts, or accidental exposure. This visual check can catch mistakes, but it does not establish forensic irrecoverability.
- Share only the checked export. If the image may contain sensitive metadata, use a trusted local metadata-removal feature or create a clean export and inspect its properties. A routine re-save should not be assumed to remove every metadata field.
Redact a screenshot inside a PDF
Use a PDF editor’s actual redaction tool, not a drawn rectangle, highlight, or annotation. Adobe’s Acrobat Pro instructions describe selecting the sensitive text or image, applying the redaction, and optionally sanitizing hidden information during that process (Acrobat Pro: remove sensitive content). Adobe’s documented workflow is specifically for PDFs; it does not establish how a particular image editor handles overlays.

Apple Preview also documents a PDF Redaction Selection feature and says the redaction becomes permanent after the document is closed (Apple Preview: redact a PDF). Available controls can vary by operating-system version, so consult the current instructions for the version in use.
- Select the sensitive PDF text or image with the editor’s redaction feature and apply the redaction.
- Run the editor’s available hidden-information inspection or sanitization step. In Acrobat, review the options for removing hidden information; Adobe lists metadata, embedded content, attachments, scripts, hidden layers, form data, comments, annotations, and obscured material among possible concerns.
- Save a new sanitized copy, close it, reopen it, and check the visible pages and redacted areas.
Flattening annotations is not a substitute for PDF redaction or a universal hidden-data cleanup. Apple separately documents flattening annotations by choosing File > Print and then Save as PDF (Apple Preview: flatten annotations); that instruction concerns annotations, not every kind of hidden content.

Inspect Office documents that contain the screenshot
If you insert the image into an Office file, inspect the document before sharing it. Microsoft’s Document Inspector guidance identifies comments, revision marks, versions, annotations, and document properties such as the author as possible hidden data or personal information (Microsoft: remove hidden data and personal information).
Run Document Inspector on the final file, remove information you do not intend to disclose, and save the inspected copy. Microsoft notes that some cases require inspection again after later changes; its guidance specifically calls for repeated inspection of OpenDocument Text files.

Match the process to the sensitivity
NIST defines media sanitization as “a process that renders access to target data on the media infeasible for a given level of effort” (NIST SP 800-88 Rev. 2, published September 26, 2025). The appropriate effort depends on how sensitive the information is and what level of access must be prevented. That definition is a general standard; it does not certify that a particular screenshot edit or visual inspection meets a specific security level.

- For a PDF, use a real redaction function and inspect or sanitize hidden content rather than relying on marks drawn over the page.
- For highly sensitive information, use a controlled process appropriate to the data and your organization’s requirements; do not treat a visible black box as a security guarantee.
