Choose the recording method that matches what you need to deliver: use PowerPoint’s slide recording for narrated slides, a screen recorder for a software demonstration, or Zoom or Teams for a live meeting recording. Google Slides users may be able to record through Google Vids, subject to account and browser limits. Make a short test, check the audio and framing, then preview and verify the saved or exported file before sharing.

Choose the right recording method

First decide whether viewers need just the slides, your voice, your camera, a software demonstration, or the layout of a live meeting. Those are different recording jobs, and the simplest route depends on the deliverable.

Record narrated slides in PowerPoint

Use this when the slides are the main content and you want narration and slide timings saved with the presentation. PowerPoint’s Recording Studio can also capture video narration, ink, and pointer gestures; you can preview a slide and redo it. Microsoft notes that feature availability can vary by version and Microsoft 365 rollout, so confirm that the controls appear in your app. Microsoft: Record a presentation and Record a slide show with narration and slide timings.

  1. Open the presentation and select the slide where you want recording to begin.
  2. Select Record and wait for the countdown.
  3. Speak as you present. Use the recording controls to pause, stop, replay, or use markup tools as needed.
  4. Pause speaking during slide transitions: Microsoft says narration is not recorded while transitions run.
  5. Preview the recording. Redo any slide with a mistake, then save the PowerPoint file or export the recording as a video.

PowerPoint for the web does not support slide-show recording according to Microsoft’s cited documentation. If the recording control is missing, check the PowerPoint version and available features or use another supported route.

Record a software demonstration in PowerPoint

For a walkthrough of an app, browser, or desktop process, use screen recording rather than slide narration. In PowerPoint, select Insert > Screen Recording. Choose the smallest useful screen area; on the control dock, decide whether to capture audio and the pointer. Microsoft says the capture can be embedded in the slide or saved as a separate file. This is distinct from recording narration slide by slide. Microsoft: Record your screen in PowerPoint.

Record a Google Slides presentation through Google Vids

Google’s documented Slides recording flow uses Google Vids and offers camera plus screen, audio only, or screen only. Recording requires Chrome or Edge, edit access to the presentation, an eligible work or school account, and Drive storage below quota. The stated limit is 30 minutes per recording. You can select external microphones and cameras in recording settings. Recordings are saved to Drive. Google: Use slides recording in Google Slides and Record a presentation with Google Vids.

  1. Open the presentation in Google Slides and confirm that the recording option is available on your account.
  2. Choose the recording mode you need: camera plus screen, audio only, or screen only.
  3. Select the microphone and camera, if used, in recording settings.
  4. Record, then review the result saved in Drive and verify that the intended audience can access it.

Google describes removing a recording from a presentation separately from moving its Drive file to Trash. Recording is limited to Chrome and Edge in the cited instructions, although recordings can be viewed, shared, and deleted from other supported Drive browsers. Do not assume every Google Slides account has the feature.

Capture a live presentation in Zoom or Teams

Zoom

Use Zoom when the meeting itself is the deliverable or you need to preserve shared content and presenter layout. Zoom documents sharing a PowerPoint presentation and presenter layouts. Its presenter-layout guidance specifies computer recording using Zoom’s desktop app version 6.3.0 or higher for those layouts, so check your version and desired layout before the session. Microsoft Teams

Teams supports presenting a screen, desktop, or PowerPoint file in a meeting. On a Mac with the latest operating system, Microsoft says screen-recording permission must be granted before presenting. Check the permission and sharing choice before attendees join. Microsoft Teams: Present content in meetings.

A meeting recording reflects a live session; for a polished standalone video that does not need to include the meeting, slide software is usually the more direct workflow.

Prepare and check the recording

  1. Set the deliverable. Decide between narrated slides, a software demo, or a live meeting capture.
  2. Choose what viewers should see and hear. Decide on voice only, slides plus camera, or the full screen with audio.
  3. Check prerequisites. Confirm the app and account expose the required mode; check microphone, camera, browser or app version, permissions, and available storage. For Google Slides recording, verify Chrome or Edge, account eligibility, edit access, duration, and Drive quota.
  4. Make a short test. Listen for clear microphone input and inspect the screen area, slides, and camera framing. A built-in microphone is a valid option; Google’s instructions also allow selecting an external microphone.
  5. Record the full presentation. In PowerPoint slide recording, pause your narration during transitions.
  6. Preview and correct. Redo a problematic slide or segment before exporting or saving.
  7. Verify the handoff. Open the final video or saved recording and confirm that the intended audience has access before sharing it.

Common recording problems and fixes

  • No slide-recording control in PowerPoint: PowerPoint for the web does not support slide-show recording in the cited Microsoft guidance. Check the desktop app and its version or use a different supported method.
  • Narration missing during a slide change: Microsoft says narration is not captured during transitions. Pause before the transition and resume speaking when it finishes.
  • Google Slides recording is unavailable: Check whether the account is eligible, whether you have edit access, and whether you are recording in Chrome or Edge.
  • Google recording cannot start or finish: Check Drive storage against quota and remember the documented 30-minute limit for each recording.
  • Microphone or camera is wrong: Select the intended device in recording settings where available, then make and review a short test before the full presentation.
  • Teams cannot present on a Mac: Check that macOS screen-recording permission has been granted to Teams.
  • Zoom presenter layout is unavailable: Check that computer recording is being done in the Zoom desktop app version 6.3.0 or higher, as specified in Zoom’s presenter-layout guidance.
  • The final file cannot be viewed by colleagues: Verify the export or Drive file opens and check sharing access for the intended audience before distributing the link.
