If Windows search is missing files, first confirm that their folder is included in indexed locations. Then rebuild the index from Advanced indexing options. Rebuilding creates the search catalog again, but it can take a while; check the indexed scope and file-content settings if the results are still missing.

Before rebuilding, check what Windows is searching

Windows Search maintains a catalog of files and their properties so it can return results quickly. Depending on the folder and file-type settings, it can also catalog file contents. A rebuild will not make a file searchable if its location is outside the indexed scope.

Check whether the folder is indexed

In Windows 11, open Settings > Privacy & security > Searching Windows > Advanced indexing options. In the Indexing Options window, review the listed locations. If the folder containing the missing files is not included, add it before judging the rebuild. Choose an indexing scope that covers the files

Windows provides two scope modes. Classic indexes Documents, Pictures, Music, and the desktop by default, and lets you add other locations. Enhanced indexes all user folders and files and may use more system resources. If you frequently search folders outside the Classic defaults, consider adding those folders or using Enhanced. Check whether searches should match text inside files

If a file appears when you search by name but not by words inside it, check the file type’s indexing setting. In Indexing Options, select Advanced, open the File Types tab, and confirm the relevant type is configured to index file properties and contents rather than properties alone. The available content indexing depends on the file type.

Rebuild the Windows Search index

  1. Open Settings > Privacy & security > Searching Windows > Advanced indexing options in Windows 11. You can also search for and open Indexing Options from Control Panel.
  2. In the Indexing Options window, select Advanced.
  3. On the Index Settings tab, find the Troubleshooting section and select Rebuild.
  4. Confirm the prompt. Windows restarts cataloging the indexed locations.

Leave Windows time to finish indexing before testing again. Microsoft says an initial indexing run can take up to a couple of hours; this is an operational estimate, not a guaranteed rebuild duration. The time varies with the amount and type of content being indexed. Microsoft’s indexing FAQ and rebuild instructions note that indexing may take time.

If search still misses files

Run the Search and Indexing troubleshooter

Open Advanced indexing options, select Advanced, and use the Search and Indexing troubleshooter. Follow its prompts for the symptom you are seeing. Microsoft’s missing-files guidance also recommends checking whether Windows is using a temporary profile.

Keep Outlook search issues separate

If the missing results are specifically in Outlook, Outlook has a separate Instant Search catalog and its own rebuild procedure. That is distinct from rebuilding the Windows Search index for files in general; an Outlook-specific symptom does not by itself explain missing results elsewhere.
