Review what the device senses, where its data goes, who can access it, how long it is kept, and how to mute or delete it. Make those choices with the older adult, including when the robot should be off and whether it may be used around visitors.
What is the robot listening to?
Start with the robot’s current manual and app settings. A voice-enabled device may capture audio after it mistakes background speech for its wake word. The Federal Trade Commission (FTC) advises checking how the device signals listening, finding a physical control that stops listening, and reviewing how audio is handled. Ask what the robot actually collects and why. Depending on the model, relevant categories may include audio, video, conversation text, facial or emotion analysis, health details, location, contacts, and usage data. Do not assume a robot collects every category—or that a feature described as “listening” means audio is stored. Look for separate explanations of sensing, processing, and retention.
- Which sensors are present, and what information does each use?
- Is voice or video processed on the device, or sent to the company or a service provider?
- Does the robot create transcripts, summaries, or other information derived from conversations?
- What indicators show that listening or recording is active, and where is the physical mute or equivalent control?
Does the robot record conversations, and who can access them?
Recording, processing, and storage are different things. A robot could process audio to respond without keeping a recording, or it could retain recordings, transcripts, or both. The product’s documentation and privacy policy should say what happens; if they do not make this clear, ask the manufacturer before enabling sensitive features.

Check whether a person may review recordings or transcripts, whether service providers can access them, and whether information is shared with caregivers, linked accounts, advertisers, or other third parties. Also look for uses such as service improvement or model training, and whether the user can opt out. The FTC says companies should honor their privacy and confidentiality commitments; its statement is about company obligations, not a certification of any robot. Concerns about conversation and facial-expression data sharing have been raised specifically in research on small AI companion robots for older adults. Berridge and Kaye’s 2023 cross-sectional online-cohort study had an analytic sample of 825, a mean age of 63.9 years, and a reported 45% response rate; participants ranged from 25 to 88. It was not a representative survey solely of older adults or a study of current robot owners, so those figures should not be read as the prevalence of any view among older adults. Can I delete what it remembers?
Look for the retention period, automatic deletion settings, and options to remove recordings, transcripts, or other saved information. Check what each deletion control covers: deleting a recording may not delete its transcript, derived data, backups, or copies already shared with another account. Do not assume all copies disappear unless the company’s policy says so.
The FTC recommends reviewing audio handling and human review, managing old recordings, checking listening alerts, and securing the account for voice assistants. Its guidance is useful as a checklist, but the exact settings vary by product. FTC voice-assistant privacy guidance.

How do I protect privacy while keeping useful features?
More personalization may require more information. Decide feature by feature which data use is worth the benefit, rather than treating broad collection as inevitable. A 2024 systematic review of privacy risks and mitigation in robotics for elderly care offers broader context, but it does not establish that every finding applies to every AI companion robot. - Review the device together. Sit with the older adult and consult the specific robot’s current manual, app, and privacy policy. Ask which information they are comfortable sharing and which uses they want disabled.
- Choose when it can listen. Find the physical microphone mute or equivalent control, learn the listening indicators, and agree on times or rooms where the robot should be muted or off.
- Limit optional collection. Disable features and permissions the older adult does not want or need, such as access to contacts or location where applicable. Confirm whether desired functions still work with those settings off.
- Set retention and deletion preferences. Review automatic deletion, manual deletion, and account-level data controls. Note what each control removes and whether the policy describes any retained copies.
- Secure the account. Use a unique password for the controlling account, review linked accounts and app permissions, and remove access that is not needed.
- Agree on household boundaries. Discuss how the robot may be used around visitors and in private spaces. Let household members and guests know about relevant recording or listening practices.
- Revisit the choices. Check settings after software or policy changes and whenever the older adult’s preferences change.
The FTC’s mobile-health-app best practices recommend minimizing data, limiting access and permissions, and deleting information when there is no legitimate business need to retain it. How can an older adult keep control of the decision?
The older adult should decide what the robot may remember, when it should be muted or turned off, and whether it may operate around visitors. A trusted relative or advocate can help read policies and find controls, but should not assume that convenience or caregiver access outweighs the person’s preferences.
A co-design study with 28 older adults reported expectations that conversational companion robots protect privacy and give people control over learned data. Those are design expectations, not evidence that current commercial robots provide those controls. Xi and Oehlberg study (2024).

What should I compare when choosing a robot?
Compare the actual policies and controls for the models under consideration. Prefer explanations that identify data categories, purposes, recipients, retention, and deletion clearly, and that let the older adult keep desired functions while limiting optional data collection.
