Before you pack, check the specific hackathon’s schedule, overnight policy, venue access, meals and rules. “Overnight” does not necessarily mean you can sleep at the venue: some events allow participants to rest inside without providing sleeping facilities, while others close the venue at night.

Confirm what this event actually allows

Read the current event schedule and participant instructions, then contact the organizers if any practical detail is unclear. Check:

  • Start and finish times, check-in requirements, venue address and when participants must leave.
  • Whether participants may stay overnight, whether a designated rest area exists, and what items are allowed there.
  • Which meals or snacks are provided, when they are served, and how to report dietary needs or allergies.
  • Network, equipment and other venue restrictions.
  • Whether preparation, code, assets or project work may be done before the official competition period. The rules for that particular event take precedence.

Policies vary. The University of Arizona’s Hack Arizona FAQ for its 2026 event says participants may rest or sleep inside but that no formal sleeping accommodations are provided: Hack Arizona FAQ. Cornell’s FAQ says participants at the events it describes must leave the venue at night: Cornell Hackathons FAQ. GovHack’s official handbook states, “Sleeping at venues is not permitted. Please go home and sleep”: GovHack: What To Bring?. Those are event-specific examples, not a universal rule.

If your venue closes, arrange safe lodging and transport rather than assuming you can remain in the building. If overnight access is allowed, ask whether there is a quiet or sleeping area and what you may bring; do not assume a sleeping bag, cot, blanket or pillow is needed or permitted.

Pack a reliable, event-appropriate setup

Prioritize the equipment you need to work and the personal items that make a long event manageable. The University of Arizona and GovHack participant guidance both include basic computer power accessories; GovHack also lists comfort and personal-care items.

Core checklist

  • Laptop, compatible charger and any essential adapters.
  • Phone and charger.
  • Event ID or government ID, as required by the organizer.
  • Water bottle and a snack, if venue rules allow one.
  • Comfortable clothing and layers suitable for the venue.
  • Wallet, keys, medications and other personal items you need.

Optional tools for your work

Bring a mouse, headphones, USB hub, external storage, drawing tablet, notebook, pen, paper or markers only if you expect to use them. GovHack lists examples such as these; they are not universal requirements. Check equipment and network restrictions, and choose items that work with your own computer and are practical to carry.

Label your belongings and do not leave equipment unattended. If you need a charger or adapter, confirm that it matches your laptop’s connector and power requirements; the event guidance supports bringing compatible charging equipment, not buying a particular model.

Plan meals, hydration and personal needs

Find out what food is provided and at what times. Provision can differ by event: GovHack distinguishes between official and local event arrangements, while Hack Arizona publishes a meal schedule for its event. Follow the organizer’s process to report allergies or dietary requirements, and bring an appropriate snack if permitted. Get your team and project ready before arrival

Preparation should make the event easier to start, not put you at odds with its rules. Review the schedule, challenge descriptions and judging criteria. Get to know your teammates’ skills, agree how you will communicate, and identify data, services, accounts or other technical dependencies that might need organizer support.

  1. Agree on a feasible goal. Choose a problem and a scope your team can explain and demonstrate within the event’s time limits.
  2. Check access early. Confirm that required accounts, datasets, APIs or tools are available, and ask organizers about access problems rather than waiting until the final hours.
  3. Divide responsibilities and keep communication clear. Decide who is handling key tasks and how the team will coordinate changes.
  4. Reserve time for the demo and presentation. A working, coherent prototype is easier to show than an ambitious feature set that is unfinished. Microsoft’s organizer guidance recommends clear presentation criteria covering solution benefits, technical considerations and vision, supported where useful by screenshots or diagrams: Microsoft Learn: Organize hackathons.

The participant survival guide recommends arriving with ideas while cautioning against doing the actual work ahead of time in its event context. Check your event’s rules before preparing code, assets or research in advance.

Use a simple plan during the event

  • Use organizer support for logistical problems, account access or venue questions.
  • Keep the project scope realistic and let teammates know what you are working on.
  • Take food, water and rest breaks as needed rather than treating them as optional equipment.
  • Set aside enough time to test the demo and prepare the final presentation against the event’s judging criteria.

Make packing decisions by fit, not by hype

There is no universal winning laptop, charger, snack or sleep item established by event guidance. For each item, ask whether the venue permits it, whether it works with your equipment, whether the event already supplies it, whether carrying it is worthwhile, and whether it meets your dietary, medical or accessibility needs. Pack what addresses a real need for your event and your team.
