To prepare for a technology conference or festival, first decide what you want to get from it, then confirm your registration and entry requirements, plan a realistic schedule, and check the organizer’s current travel, accessibility, and bag rules. A little preparation helps you spend less time solving logistics and more time learning, meeting people, and exploring.

Choose an event and set a goal

Start by naming the outcome that would make attending worthwhile. You might want to learn about a technology, meet peers, find vendors, recruit, present your work, or explore what is new. Guidance for first-time academic conference attendees recommends choosing an event that fits your intellectual and professional goals: ASIS&T’s first-conference guide.

When comparing events, look beyond the headline program. Consider whether the sessions and people are relevant, which pass types grant access to the activities you want, how much networking is possible, and what the destination and travel will require. Some programming may require a specific pass, as Black Hat Asia’s attendee guidance illustrates: Black Hat Asia attendee information. Also account for accessibility support and your total costs before committing.

Confirm registration and entry requirements

Do not assume that a ticket alone is enough to enter. Check the organizer’s latest attendee guide for registration status, the name on your ticket, pass inclusions, badge pickup location and hours, and any required identification or digital credential. The requirements differ by event: CES requires government-issued photo ID for on-site badge pickup, while CEATEC’s 2026 visitor guide tells attendees to bring a device displaying their entry QR code.

Read the relevant instructions directly: CES attendee guidelines, CEATEC visitor guide, and Black Hat Asia attendee information. If someone else is collecting a badge for you, verify whether the organizer permits it and what documents are needed.

Plan a schedule you can actually follow

Use the event’s official website or app to review sessions, exhibitors, maps, and networking options. Mark the sessions and people that matter most, then leave open time for meals, breaks, travel between rooms, and conversations that arise during the day. PTC’26’s app, for example, included personal schedules, maps, an attendee directory, exhibitor information, and meeting planning: PTC’26 attendee information.

A useful approach is to choose a few anchor points for each day—such as one essential talk, one meeting, and one exhibitor visit—rather than filling every time slot. Black Hat Asia suggests building each day around three anchor points; treat that as a planning idea, not a universal rule. Large venues can take time to cross, so check the floor plan and allow transition time.

Download the official app when one is available and set up your profile before arrival. Save essential schedule and access details for offline reference, such as screenshots, but follow the organizer’s instructions for digital entry; a screenshot may not substitute for a live QR credential.

Arrange travel, lodging, and accommodations

Confirm your transport, accommodation, venue address, and the entrance you need. Check routes and likely arrival time rather than relying on a last-minute map search. If traveling internationally, verify entry and visa requirements through the relevant government authorities and keep required travel documents accessible. ASIS&T’s event FAQ recommends storing digital and paper document copies separately: ASIS&T AM26 FAQ.

If you need accessibility support, dietary accommodations, or another adjustment, contact the organizer early and follow its process and deadlines. Services and arrangements vary by event; the organizer’s attendee information is the authoritative place to confirm what is available. Pack for entry, walking, and a long day

Use this checklist as a starting point, then check the specific venue’s allowed-items policy before packing:

  • Entry: Bring the required photo ID, ticket or QR credential, and badge-pickup details in the format the organizer specifies.
  • Phone and power: Have your phone ready for the event app or entry credential. Bring a charger or portable power bank if useful, subject to venue rules.
  • Comfort: Wear comfortable walking shoes and consider a light layer for cool rooms or changing conditions. CEATEC’s official 2026 visitor guide says, “The venue is large and involves a lot of walking,” and recommends comfortable shoes and a portable charger: CEATEC visitor guide.
  • Water: Bring a bottle only if the venue permits it. Black Hat Asia recommends one, but item rules are event-specific: Black Hat Asia attendee information.
  • Contact sharing: Business cards are optional. CEATEC recommends them for exchanges with exhibitors; sharing a professional profile or contact details digitally may work better for you.
  • International travel: Check the destination’s plug type and voltage before choosing an adapter. ASIS&T’s Thailand-specific FAQ recommends a universal adapter and checking device voltage compatibility; those Thailand details should not be assumed to apply everywhere: ASIS&T AM26 FAQ.
  • Bags: Pack light and verify size, type, and search rules. CES, for example, publishes limits on attendee bags and disallows rolling bags; that policy applies to CES, not conferences generally: CES attendee guidelines.

Make networking intentional and low-pressure

Choose a few people, groups, or exhibitors you would like to speak with, and arrange meetings through the event app if it supports attendee search or scheduling. Keep some time unscheduled: informal conversations can be as useful as planned introductions. For a first introduction, a simple opener about a session, project, or shared interest is enough. If you exchange details, note what you discussed so you can send a relevant follow-up afterward.

On the day: arrive, adapt, and follow event instructions

  1. Leave time for arrival. Allow for transport, security, and badge pickup. CES advises attendees to plan ahead and allow extra time; any early badge-pickup options it offers are specific to that show.
  2. Keep credentials accessible. Follow the organizer’s instructions for showing or wearing your badge. PTC’26 states that its badge is required for sessions and exclusive networking areas: PTC’26 attendee information.
  3. Use the schedule as a guide, not a rigid script. Check the app or event site for room changes and updated priorities, consult the map before crossing the venue, and leave time to eat and rest.
  4. Make space for useful detours. If a conversation, demonstration, or session proves more valuable than a planned stop, adjust where you can rather than rushing through every item.

After the event

While details are fresh, organize the contacts you made, record useful ideas or sessions, and send any promised notes, introductions, or follow-up messages. A short, specific follow-up helps turn a brief conference conversation into a useful professional connection.
