Save the updated link and send its password through a separate channel. A password adds a hurdle for people who have the link; it does not identify or limit access to specific recipients.
How to password-protect a shared link
- Open the file or folder’s Share or Manage access panel.
- Choose the intended audience. Use named recipients or restricted access if you do not want a link to work for anyone who receives it.
- Set permissions deliberately, such as view-only, unless recipients need to edit.
- Open the link’s advanced settings and select Require password or Set password if that option is available.
- Save or apply the change, then copy the updated link.
- Send the password separately from the link, such as through a different messaging channel.
- If supported, set an expiration date or remove the link when access should end.
Labels and availability differ by service, account, link type, and sometimes workplace administrator policy. A password-protected link may still be forwarded along with its password, and it should not be treated as a guarantee against copying or screenshots.
Set a link password in Dropbox
On Dropbox.com, open Share for the file, open the sharing settings, select the viewing or editing link, turn on Require password, set the password, and save. Dropbox also documents steps in its mobile app. The option is listed for Professional, Essentials, Standard, Advanced, Business, Business Plus, and Enterprise customers; it is not presented as a feature of every free account. Dropbox says link settings apply to people accessing the content through the link. People who already have direct access retain their permissions, so changing the link password does not replace reviewing existing access.

Set a link password in OneDrive
In OneDrive’s sharing link settings, choose the audience and permissions, then set a password if the control appears. Microsoft says link-password settings are available to Microsoft 365 subscribers. Passwords for folders are limited to Anyone links. A work or school administrator may restrict sharing options, so a missing or disabled control can reflect organization policy. Microsoft advises sending the password separately from the link. See Microsoft’s OneDrive link-password guidance.
Use specific-people access when recipient identity matters
An Anyone link can be forwarded and used by whoever receives it. A Specific people link works only for the people selected by the sender. Microsoft says recipients without a Microsoft account can verify their identity with a one-time code sent to their email address. Can you password-protect a Google Drive link?
Google’s documented sharing controls let you set General access to Restricted or Anyone with the link, and choose Viewer, Commenter, or Editor. The reviewed Google guidance does not describe a separate password prompt for a Drive link. To restrict access by identity, choose Restricted and grant access to the intended people. Google also documents controls that can prevent viewers and commenters from downloading, printing, or copying. See Google Drive’s sharing instructions.
If you specifically need a separate link password, use a service whose documentation supports that feature, or encrypt the file before sharing it if the recipient can use that workflow.

Other options: Box and WeTransfer
Box
Box documents password protection and automatic expiration as shared-link security controls. Its guidance notes that Box Notes in a password-protected shared folder may be inaccessible. Check your account’s current settings and any organization policy before relying on these controls. See Box’s shared-link guidance.
WeTransfer
WeTransfer supports adding a password to a transfer, rather than changing an existing Drive or OneDrive link. The sender is responsible for remembering and sharing the password; WeTransfer says it cannot retrieve it. See WeTransfer’s password guidance.

Review or end access later
Use your service’s sharing controls to change a link password, set or change an expiration date, or remove the link when access should end. Microsoft documents these options for OneDrive and SharePoint in its sharing and permissions guidance. For Dropbox, remember that link settings govern link access, not permissions already granted directly to people.

- Use a link password when the service supports it and you want an extra prompt for anyone opening the link.
- Use named-recipient access when you need to limit access to selected people rather than anyone with a forwarded link.
- Use view-only permissions when recipients do not need to edit.
- Set an expiration or remove the link when access should not remain open indefinitely and the service provides those controls.
- Follow workplace policy for confidential or organizational files.
A password and a recipient restriction solve different problems. Select the audience and permissions first, then add a link password where available; share the password separately and review access when the file is no longer needed.
