Organize every social post as one connected record: link its campaign brief, platform-specific caption, approved asset, owner, approval status, accessibility checks, publication date, and results. A calendar helps, but it works only when each scheduled entry points to those details.

Start with a campaign brief and lifecycle

Before creating posts, record the campaign’s objective, audience, core message, platforms, deliverables, dates, owners, approvers, and how results will be reviewed. Keep campaign-specific working files distinct from reusable brand resources and evergreen assets. GOV.UK’s Social Media Playbook recommends planning around campaign priorities, milestones, platform expectations, accessibility, and evidence from previous campaigns.

Give each post a stable ID or calendar entry so its copy, media, review history, and publication details remain connected even when files move or captions change.

Build a searchable, approved asset library

Keep approved creative in a shared location with clear access rights. Organize folders or collections by brand and campaign, then add searchable tags for items such as platform, format, topic, or intended use. Record availability and expiry dates where relevant so a time-limited or superseded asset is not reused accidentally.

Use a consistent filename pattern, such as brand_platform_campaign_assettype_YYYY-MM-DD_version. Treat this as a practical convention rather than an industry standard. Include status or expiry information when it helps, but do not rely on ambiguous names like final2_USE.png to communicate approval. Hootsuite’s documentation describes a content library with pre-approved media and templates, tags, availability and expiration dates, internal notes, and team access; its capabilities depend on plan and permissions. Keep each caption attached to its post

Store a canonical draft and explicit versions for each platform in the post record. A variant might need a different length, opening line, link treatment, or call to action to suit the platform. Keep the intended CTA, destination link, hashtags, alt-text notes, and caption or subtitle file with the post where relevant.

When copy or media is revised, update the record and preserve a clear version history. The calendar entry should link to the approved creative and current caption, not merely list a date and a file name.

Make review and publishing status visible

Use a simple workflow with named states, for example: briefed → creating → review → approved → scheduled → published → reported. For each decision, record who created the work, who approved it, when the decision was made, and any required changes. GOV.UK recommends an editorial calendar; the NCSC social media security guidance also stresses having a workflow for content creation, approval, and publication.

Protect the publishing system as carefully as access to the social accounts themselves. A management tool may be able to publish on those accounts, so restrict access to the people who need it and review permissions. Some publishing platforms offer role-based approvals, but available roles and limits vary by product and plan; Hootsuite documents examples in its approval workflow guide.

Put accessibility checks in the brief

Accessibility belongs in the creative brief and review checklist, not as a last-minute repair. Include meaningful alt text for images, accurate captions for video, useful descriptions for visual information not conveyed in narration, readable contrast and typography, and plain-language copy. For multiword hashtags, capitalize each word—for example, #AccessibleContent—to make them easier to interpret with screen readers.

Section508.gov’s social media guidance explains that alt text should convey an image’s meaning concisely rather than repeat the surrounding post copy. It also discusses caption files such as SRT where supported and audio description when important visual information is not otherwise available. Platform controls differ, so verify the available accessibility fields when publishing.

The Government Communication Service’s social media guidance recommends planning accessibility in creative briefs, using meaningful link text and calls to action, and checking contrast and legibility. Its surfaced guidance gives a minimum contrast ratio as “4:5:1”; because that wording is unusual, verify the applicable standard and measurement before applying a ratio rather than silently changing the source’s figure.

Choose a system that fits the workflow

The right tool depends on the number of contributors, brands, assets, and approval steps. Compare the actual capabilities and limits you need rather than assuming a tool’s advertised feature will be included in your plan.

Hootsuite documents calendar, library, and approval functions in its calendar guide. Canva says its Content Planner can schedule designs from the editor or planner, but supported channels and capabilities depend on the plan and integrations, which can change; check its Content Planner documentation. Microsoft describes metadata tagging, version control, permissions, and workflow automation as common digital asset management capabilities in its DAM overview. These are examples of tool categories, not endorsements.

Record publication and carry lessons forward

When a post goes live, update the campaign record with the published version, date, destination, and relevant results or observations. Use those learnings to inform later briefs and priorities; GOV.UK’s playbook explicitly includes evidence from earlier campaigns in planning. For government accounts, check local records rules and ask the records official which retention requirements apply rather than assuming a universal period.
