Organize OneNote around the way you retrieve information: use notebooks for broad contexts, sections for subjects or projects, and pages for individual notes. Group related pages as subpages, and add section groups or separate notebooks only when a notebook becomes difficult to navigate. Microsoft says OneNote is not limited to one organizational style, so you can rename, move, and restructure notes as your needs change.
Understand OneNote’s notebook hierarchy
OneNote organizes material in three main levels: notebooks contain sections, and sections contain pages. Related pages can also be arranged as subpages beneath a primary page. Think of the hierarchy as a way to answer three questions: which broad context is this for, what subject or project does it belong to, and what specific note do I need?
For example, a notebook might be called “Work,” a section “Website redesign,” and pages could hold meeting notes, decisions, and research. A personal notebook might instead contain sections for household projects, travel, and finances. Microsoft supports this flexible approach in its OneNote organization guidance.
Choose what belongs in a notebook, section, or page
Use notebooks for broad contexts
Create separate notebooks for areas that you generally want to keep apart, such as work, school, or home. If you usually search and navigate across a collection as one body of material, a single notebook with well-named sections may be easier. Both approaches are valid; choose based on how you expect to find the notes, not on a rule that every topic needs its own notebook.

Use sections for subjects and recurring work
Sections gather pages that share a subject, project, or recurring responsibility. Give each section a name that makes its contents obvious. A section called “Project planning” is easier to scan than a vague label such as “Miscellaneous.”
Use pages for individual notes
Give each page a specific title that describes the note or record it contains. Instead of letting one page become a catch-all, create separate pages when doing so makes information easier to scan or retrieve. For example, meeting notes from different dates may be clearer as separate pages than as one continually expanding page.

Use subpages for related notes that belong together
Subpages are useful when several notes sit under a primary page and should be managed as a related group. Keep the parent page meaningful; use the subpages for the individual records or details that support it.
Decide between section groups and multiple notebooks
As a notebook grows, choose the structure that reduces navigation effort. Microsoft suggests section groups when too many sections no longer fit comfortably on screen; a large notebook can also be split into smaller notebooks. Neither option is universally better.

Use section groups to cluster related sections within a notebook. Choose separate notebooks when the distinction between collections is more important than keeping everything in one place. Microsoft documents both options in its guidance on creating section groups.
Put tabs in an order that matches how you look for notes
In the cited OneNote for Windows guidance, section and page tabs are not automatically organized or alphabetized. You can drag them into a useful order. Alphabetical order can help when you look up names, while task-based, chronological, or priority-based order may suit a notebook you use to follow active work. Pick the ordering that matches your habits rather than assuming there is a single best arrangement. These tab-order instructions are specific to the Windows guidance; check support for your app and platform for exact steps.

Add links for cross-references and a navigation page
When a note connects to material elsewhere in OneNote, use a link instead of relying on memory or duplicating information. OneNote supports links to notebooks, sections, pages, and paragraphs, as described in Microsoft’s linking instructions.
A page can also serve as a simple table of contents for a notebook or project. Add links to the pages or sections you return to often, and use link text that remains clear when read on its own. For accessibility, Microsoft recommends descriptive, unique names for notebooks’ organizational items and meaningful link text; it also advises removing empty items. - Use names that tell you what belongs in a notebook, section, page, or section group.
- Move or rename material when a project changes or a section becomes a poor fit; OneNote does not require a fixed organizational style.
- Remove empty items that add clutter without helping you navigate.
- Use OneNote’s search and tags alongside the notebook hierarchy rather than expecting folders and tabs to do every retrieval job. Microsoft’s note-taking guidance covers pages, sections, search, and tags.
Microsoft’s general organization guidance lists OneNote for Microsoft 365, OneNote 2024, OneNote 2021, and OneNote 2016 as applicable versions. Feature availability and interface steps can differ by app and platform; the cited guidance does not establish full feature parity across Windows, Mac, web, iPad, and iPhone.
