Give important content an owner and keep it current. There is no universal best number of pages, databases, or tags; the right structure reflects how your readers look for information.
Start with the questions your knowledge base must answer
Before creating pages or properties, list the recurring tasks people come to the workspace to handle. They might need to find a policy, follow a process, check a project’s status, or identify who owns a topic. Name major areas after terms readers already recognize, rather than after the team or person that happened to create the material.

Use pages to explain and organize information
Regular pages work well for standalone explanations, reference documents, and the sections that give a knowledge base its structure. Nest a page beneath another when that relationship helps readers understand where it belongs. Avoid making the hierarchy so deep that someone has to guess through several layers to reach a frequently used document.

Make essential destinations visible from a landing page or navigation hub, and use contextual links where a reader is likely to need a related page. Notion’s handbook describes nested and movable pages, favorites, and sidebar sections including Favorites, Workspace, Private, and Shared. Use a database for records that share a type
A database is useful when you have repeatable entries that benefit from consistent properties, filtering, sorting, or more than one way to view the same information. Examples include procedures, meeting notes, or project records. A regular page is usually simpler for a one-off explanation that does not need to be compared or filtered alongside similar entries.

Give a database only the properties maintainers and readers actually need. For example, a procedure database might need a topic, owner, and review status; a project database might need a status and responsible team. These are possible designs, not required fields. Choose views for distinct reader tasks

These are task-based ways to think about views, not a ranking. The Notion Handbook describes list, table, and board presentations, but the best choice depends on what readers need to do. Prefer multiple views of the same records when people need different perspectives; separate databases are more appropriate when the records genuinely represent different kinds of information.

Make tags consistent and useful for retrieval
Tags should help someone narrow a search, not act as a second, unstructured title. Before adding one, ask what question it answers. Common dimensions include subject, content type, status, or audience. If people need to filter by two dimensions independently, keep them in separate properties rather than combining them in one label.
- Use a shared vocabulary instead of near-synonyms for the same concept.
- Merge or retire labels that have become duplicates.
- Explain uncommon terms on the landing page so readers know what a label means.
- Add a tag only when it helps readers find or manage the information.
There is no established universal tag count or canonical Notion taxonomy. Keep the vocabulary small enough to apply consistently, while covering the distinctions that matter to your readers.

Keep important pages trustworthy
Assign an owner to high-value reference pages or sections. Review them when a policy, process, or project changes, and remove or clearly update material that is no longer reliable. Make current guidelines, onboarding resources, and project information easy to locate rather than leaving readers to choose among scattered copies.
Notion’s engineering wiki guide identifies scattered or outdated information as a source of wasted time and inconsistent work. Its examples support centralizing useful team knowledge, but they do not prescribe a particular number of sections or databases.
