Organize a NotebookLM plant-care notebook around two linked records: a stable profile for each plant and a dated case record for each recurring problem. Keep authoritative care references as sources, and use your own notes to record observations, decisions, and outcomes. The plant labels and record format below are your conventions—not built-in plant-care features or automatic diagnoses.

Choose a notebook scope that fits your collection

Keep plants together when they belong to one coherent collection and use many of the same reference materials. If the collection becomes very large, or you care for unrelated groups with different references, separate them into distinct notebooks. Google describes notebooks as independent, so do not expect a question in one notebook to search the others automatically. See Google’s NotebookLM help for current notebook and source guidance; its help pages are currently branded Gemini Notebook, and interface names may change.

Give every plant a stable key

Choose one consistent name to use wherever you mention a plant. A useful key combines its familiar common name with its scientific name when known. For similar plants, add a short ID or distinguishing location, such as “Pothos—living-room shelf” or “Pothos—P02.” Use exactly the same key in the profile and every related problem record. This is a manual naming convention, not an automatic NotebookLM plant record.

Create one profile for each plant

Keep durable identification and care context separate from individual problem histories. NC State Extension’s plant-journal guidance recommends recording plant names, source, planting date, observations, known problems, and dated activities.

Plant profile fields

  • Plant key: common name, scientific name if known, and distinguishing ID or location.
  • Identification and source: where the plant came from and any reliable identification information.
  • Growing context: location, light, soil or pot details, drainage, and other known care needs.
  • Routine actions: dated care actions and observations that are useful beyond a single incident.
  • Related cases: titles of dated problem records that use the same plant key.

Update the profile when lasting context changes, but keep a transient symptom or treatment history in its own case record so it is easier to review later.

Record each problem as a dated case

Give each problem its own record, even when you are unsure of the cause. A title such as Plant key — symptom — YYYY-MM-DD makes cases easier to find and keeps a new flare-up distinct from an older one. NC State Extension recommends tracking the plant and symptoms, environment, pest identification where applicable, action, and results.

Problem-record template

  • Plant name or ID and location.
  • Date first observed and date of each update.
  • Symptom details: color, shape, affected parts, spread, and severity.
  • Conditions at the time: light, temperature, humidity if known, soil moisture, pot and drainage, and recent changes.
  • Recent care: watering, fertilizer, repotting, movement, or treatment.
  • Photos or other evidence, if available.
  • Possible explanations, marked clearly as unconfirmed.
  • Guidance source consulted, with a citation or link for care-related claims.
  • Action taken and date.
  • Result at the next check; leave the case open if the problem is unresolved.

This format helps you compare what changed before and after an action. It cannot guarantee a diagnosis: Iowa State University Extension notes that multiple factors can contribute to houseplant problems, and treating a visible symptom without addressing its underlying cause may not solve it.

Use a small, shared label set

Labels are useful only when you apply them consistently. Start with a few labels that describe the record’s purpose or topic, such as plant-profile, problem, watering, light, pest, disease, and repotting. Add a status such as resolved or monitor when it helps you find active cases. A problem record can have both a plant-related label and a problem-type label. These are suggested user-created labels, not a Google-provided plant-care taxonomy.

Keep reference sources distinct from your own notes

Add authoritative care guidance and diagnostic references as sources in the relevant notebook. Use notes for your own observations, questions, and conclusions, and keep the source citation or link beside claims that could affect care. Google documents adding sources and creating notes in NotebookLM, although exact controls may change; check Google’s current help for the interface available to you. The workspace organizes material you provide—it does not automatically recognize plants, track watering, or verify a diagnosis.

Use observations instead of a universal watering schedule

Record when you checked the soil and what you observed, rather than assigning every plant the same fixed watering interval. Illinois Extension says watering depends on the plant and growing conditions and recommends checking soil. It also cautions that a water-meter probe may not always be reliable. A dated note about soil moisture, conditions, and what you did gives a more useful history than a calendar rule applied to every pot.

Review cases carefully and get help when needed

Compare the timeline, environmental context, and actions in a case before settling on an explanation. Keep suspected causes labeled as hypotheses; similar visible symptoms can have more than one cause. If a problem persists or you are uncertain about a suspected pest or disease, seek advice from a local Extension service or qualified plant professional. Why separate profiles and cases?

A single combined record can feel simpler at first, but separating the stable profile from dated incidents makes it easier to find a plant’s care context without losing the history of repeated problems. Cross-reference the records with the same plant key. This structure also keeps personal observations distinct from the external source material used to inform care decisions.
