You can open an Excel workbook in a browser without installing the desktop Excel application. Microsoft now calls the browser version Excel for the web; “Excel Online” is the older name many people still use.
The quickest method is to store the workbook in OneDrive, SharePoint, or another supported cloud location, then select the file. If the workbook is only on your computer, upload it to OneDrive first.
Open an existing Excel file from OneDrive
Use this method when the workbook is already saved in OneDrive or OneDrive for Business.
- Go to OneDrive.com.
- Sign in with the Microsoft account that has access to the workbook.
- Open the folder containing the Excel file.
- Select the workbook filename, such as
Budget.xlsx.
The workbook opens in Excel for the web in your browser. Files opened from OneDrive normally open in editing view, and changes are saved automatically to the same OneDrive location.

Upload a local Excel file and open it online
If the workbook is saved in Downloads, Documents, a USB drive, or another local folder, upload it to OneDrive before opening it in the browser.
- Open OneDrive.com and sign in.
- Open the OneDrive folder where you want to store the workbook.
- Select Add new.
- Select Files upload.
- Choose the Excel workbook on your computer, then select Open.
- When the upload finishes, select the workbook in OneDrive.
OneDrive may display the upload control simply as Upload, depending on the page layout. Choose Files upload rather than Folder upload when you want to open one workbook. Folder upload transfers an entire folder and is not necessary for a single file.
Open Excel for the web from Microsoft 365
You can also start with the Microsoft 365 app launcher:
- Go to Microsoft365.com and sign in.
- Select the App Launcher button, usually the nine-dot icon in the upper-left corner.
- Select Excel.
- Choose the workbook from the recent-files list, or browse to it in OneDrive or SharePoint.
Opening Excel from Microsoft 365 launches the web app; it does not automatically locate a workbook that is stored only on your computer. Upload a local file to OneDrive first.

Open an Excel file from SharePoint
For a work or school workbook stored in SharePoint:
- Open the relevant SharePoint site.
- Open the document library containing the workbook.
- Select the Excel document.
It should open in Excel for the web. If selecting the file does not open it in the browser, open the menu beside the document name and choose Open Menu. Depending on your organization’s settings, choose View in Browser or Edit in Browser.
Browser access can be disabled by a SharePoint administrator, or the organization may be using a SharePoint version that does not support Microsoft 365 for the web. In that case, the browser-opening options may not appear.
What to do if the workbook is read-only
A workbook can open successfully but still refuse edits. If typing into a cell, changing a formula, or formatting has no effect, look for an Edit Workbook button or menu. Select:

Edit Workbook > Edit in Excel for the web
You may be viewing the file rather than editing it, or you may not have permission to change it. If the edit option is missing, check that you are signed in with the account that owns the file or has edit access.
Open the workbook in desktop Excel
The browser version is suitable for common spreadsheet work, but some desktop features are unavailable or behave differently online. To move the workbook to the installed Excel application, select Open in app in Excel for the web. In some Microsoft 365 or OneDrive menus, the command is labelled Open in Excel.
A SharePoint document menu may also provide Open in Excel. If you reach the workbook through a sharing page, you may see Edit in Excel, followed by Open Microsoft Excel. If that option is missing, choose Edit in Browser first, then look for the desktop Excel option after the page reloads.
Where an online workbook can be stored
An existing workbook needs to be in a location that Excel for the web can access. Common supported locations include:
Rank #4
| Location | Typical way to open it |
|---|---|
| OneDrive | Open OneDrive and select the workbook |
| OneDrive for Business | Open the work or school OneDrive and select the file |
| SharePoint Online | Open the document library and select the workbook |
| Dropbox | Use the connected Microsoft 365 or Excel workflow, where available |
A file sitting only on your local hard drive cannot be opened by Excel for the web until you upload it or otherwise place it in a supported cloud location.
Saving and undoing changes
Excel for the web saves normal edits automatically to the workbook’s OneDrive or SharePoint location. You do not normally need to download the file and upload it again after every change.
To reverse a recent edit, select Undo or press Ctrl+Z. Because the file is saved automatically, use Undo promptly if you need to discard a change.
Common problems when opening Excel files online
| Problem | Likely cause | Fix |
|---|---|---|
| The file is not listed | You are in the wrong Microsoft account or folder | Check the account shown in OneDrive and search the correct location |
| The workbook opens but cannot be changed | It is in view-only mode or you lack edit permission | Select Edit Workbook > Edit in Excel for the web, or request edit access |
| The SharePoint file does not open in a browser | Browser opening may be disabled by the administrator | Use the file menu and try Open Menu > View in Browser or Edit in Browser |
| A feature is missing | Excel for the web does not include every desktop Excel feature | Select Open in app or Open in Excel |
| The workbook is locked | Another user may have opened it in an older desktop version | Ask that user to close the workbook; Excel 2019 or older can block other users during editing |
| You cannot find an upload button | You are not in the OneDrive file view or the label differs | Open the destination folder and look for Add new or Upload |
Excel for the web supports viewing, editing, and creating workbooks in a browser, so the desktop Excel program is not required for the basic workflow. You do need an internet connection, a Microsoft account or organizational sign-in, and permission to access the cloud file.

FAQ
Is Excel Online the same as Excel for the web?
Yes. Excel for the web is Microsoft’s current name for the browser-based version. Excel Online is an older name that is still commonly used.
Can I open an Excel file online without Excel installed?
Yes. Upload the workbook to OneDrive, then select it. Excel for the web can open and edit supported workbooks in a browser without the desktop Excel application.
Do I have to upload the workbook before opening it online?
Only if the file is stored locally on your computer. Workbooks already in OneDrive, OneDrive for Business, SharePoint Online, or another supported cloud location can be opened directly.
Does Excel for the web save automatically?
Yes. Normal changes are saved automatically to the workbook’s OneDrive or SharePoint location. Use Undo or Ctrl+Z to reverse a recent change.
Why does my Excel file open as read-only?
It may have opened in viewing mode, or you may not have edit permission. Select Edit Workbook, then Edit in Excel for the web. If that option is unavailable, check the file permissions and signed-in account.
Can I open an online workbook in the desktop Excel app?
Yes. In Excel for the web, select Open in app. Other menus may call the command Open in Excel or Edit in Excel.
The Bottom Line
To open an Excel file online, go to OneDrive, upload the workbook if it is stored on your computer, and select its filename. For files already in OneDrive or SharePoint, selecting the file opens it in Excel for the web. Use Edit Workbook > Edit in Excel for the web if it opens read-only, or Open in app when you need a desktop-only Excel feature.
