Move only the information needed for a specific task, and verify how the destination handles it before you upload anything. “Private AI” can mean software running locally, a model you host yourself, or a vendor-hosted service with privacy controls; those setups do not provide identical protections. Check the exact product, feature, account settings, and terms rather than relying on the label.
What “private AI” does—and does not—tell you
A privacy-oriented description is not, by itself, proof that your data stays on your device, is never reviewed, is excluded from model training, or is erased on request. A local system may reduce the need to send files to an outside service, but it still depends on the security of the device, its backups, account access, and software updates. A hosted service may offer privacy controls, but you need to understand what the provider manages and what you must configure.
Distinguish a one-time file transfer from ongoing access. Uploading a file, connecting an account or app, and granting a workspace permission can have different consequences. Review the specific access you grant and whether it continues after the task.
Step 1: Decide what the AI needs
Write down the task first—for example, summarizing selected notes or searching a particular set of documents. Then identify the smallest useful set of files. Do not move a whole email archive, cloud drive, or device backup just because the platform can accept it.

- Exclude credentials, identity documents, financial records, health information, and other sensitive material unless the task genuinely requires it and you have evaluated the destination for that use.
- Consider whether a redacted copy, short summary, or synthetic example can accomplish the task instead of raw personal records.
- Check who can access the files now, and remove or exclude material that is irrelevant.
The FTC’s guide to protecting personal information recommends identifying what is held, limiting access, retaining only what is needed, and securely disposing of the rest. It is business-oriented guidance; these are sensible security practices, not a legal conclusion about every individual.
Step 2: Check the destination before uploading
Read the current privacy notice and terms, then inspect the settings for the exact feature and account you plan to use. Policies and product behavior can change, so verify them immediately before migration.
- Data use: Does the provider use prompts, uploaded files, or outputs to train or improve models? Are there separate controls or terms for different features or account types?
- Storage and review: Are submissions retained? For how long, and who may access or review them?
- Deletion: What deletion controls exist, and what exceptions or limits does the provider describe? Does deleting a file from your view also trigger deletion of provider-held copies, or is another process required?
- Sharing and processing: Are files shared with subprocessors or other services? Where are they stored or processed if location matters to you?
- Portability: Can you export your data if you later change platforms?
- Scope: Does the privacy commitment apply to the specific tool, feature, and jurisdiction you will use?
The U.S. Federal Trade Commission says AI companies should honor commitments about customer data and clearly disclose material practices in its January 2024 article, “AI Companies: Uphold Your Privacy and Confidentiality Commitments.” That is guidance about provider obligations, not a certification of any particular platform.

Step 3: Secure the account and access
Use a strong, unique password and turn on multifactor authentication if available. Do not put passwords, recovery codes, API keys, or other credentials into prompts or uploaded files. Limit access to the account, device, and workspace to people and applications that need it.

For a hosted platform, review account security settings, sharing permissions, connected apps, and recovery options instead of assuming defaults are suitable for sensitive data. Technical users connecting data through APIs should not hard-code passwords or secrets in applications or source code; the FTC flags that practice in its cloud-security guidance.
Step 4: Keep a protected recovery copy if needed
If you may need to recover the original files, keep a separate backup before starting. For sensitive data you retain, consider encryption at rest. If you use removable storage, enable its encryption and keep the recovery key somewhere separate and secure. A backup drive is not protected merely because it is separate from your computer; its encryption and key handling matter.

Keep the backup only as long as it is useful and protect it like the original data. The FTC recommends considering encryption for retained sensitive backups; its guidance does not endorse a particular drive or encryption product.
Step 5: Transfer a small sample and verify it
Start with a small, low-sensitivity set rather than your full collection. Confirm that the files are complete and readable, appear under the intended account or workspace, and support the workflow you need. Test with the minimum information necessary; avoid adding sensitive details to prompts simply to see whether the system works.

Step 6: Remove unneeded copies and review access
After confirming the move, delete temporary exports and duplicate files you no longer need. Review sharing links, API tokens, connected apps, and workspace permissions, and revoke access that is no longer necessary. Check backup and trash folders as well as the main interface.
Deleting a file from one screen does not establish that every provider copy has been erased. Follow the platform’s stated deletion process and understand its stated limits. The FTC’s business guidance recommends secure disposal of unneeded information and continued review of cloud data and configurations.

The FTC’s June 2020 cloud-security article puts the shared-responsibility point plainly: “Using cloud services doesn’t mean you can outsource security.” NIST’s AI Risk Management Framework is voluntary risk-management guidance, not a privacy certification or evidence about an individual product. NIST says version 1.0 is being revised in its AI RMF FAQ, updated August 13, 2026.
Keep the decision proportional to the data
For low-sensitivity material, a clear policy and appropriately secured account may be enough for your needs. For highly sensitive records, require stronger evidence about handling, access, retention, and deletion—or do not upload them. Applicable law can depend on your jurisdiction, the type of data, and whether you are acting personally or for an organization; this is general security guidance, not legal advice.
