In new Outlook for Windows, select an email and use Move or drag it to a destination folder. Moving between folders in one mailbox is straightforward; moving between separate accounts depends on the account type and, for work accounts, an administrator setting.
Move an email to a different folder in the same mailbox
- Select the message in new Outlook for Windows.
- Choose a move method: drag the message to the destination folder, select Move in the ribbon’s Move group, or right-click the message and select Move.
- Choose the destination folder. If it is not shown in the short list, select the option to move to a different folder and choose from the available folders.
If a folder’s subfolders are hidden because the folder is collapsed in the folder pane, hover over its collapsed folder icon to reveal them. Microsoft’s move or copy instructions also note that dragging an item from a public folder or SharePoint list to another folder creates a copy rather than moving the original.
Move emails between separate accounts
Moving a message to another account is different from moving it between folders in one mailbox. Microsoft’s July 2025 new Outlook feature notes say consumer users can move emails between their personal accounts. For enterprise users, cross-account movement is off by default and controlled by an administrator policy. If you cannot select a destination in another work account, ask your administrator whether the feature is enabled.
When choosing a destination, check that you are in the intended account and that its folders are available in the destination list. Microsoft’s documented personal-account capability and the enterprise policy do not establish that every account combination is supported.

Moving messages while Outlook is offline
In new Outlook offline mode, moving a message that is older than the configured days of email to save window to another folder in a user or shared mailbox may create a copy in the destination while moving the original to Recoverable Items. Microsoft says this behavior protects data integrity. The exception is specific to the offline scenario described in its Outlook move and copy guidance; online mode and Outlook on the web do not have that copy-and-Recoverable-Items behavior for moves between folders.
Move email between a PST file and a mailbox
New Outlook supports dragging email between a PST file and a mailbox. If you want selected PST items placed in a mailbox, you can import them instead. Opening or adding a PST connects it to Outlook so you can access its contents; it does not copy the entire PST into the mailbox. Set up automatic moves for incoming email
For recurring sorting, create a rule that moves incoming messages matching specified conditions to a folder. Microsoft’s rules guidance says new Outlook currently does not support rules for managing third-party accounts such as Gmail, Yahoo, and iCloud.

If the Move option or destination is missing
- Confirm that you are using new Outlook. Microsoft publishes separate instructions for new Outlook, classic Outlook, and Outlook on the web.
- For an account-to-account move, verify the account context. If it is a work account, ask your administrator about the cross-account policy.
- For a folder that is not visible, expand its parent or hover over the collapsed folder icon to reveal subfolders.
- If you are offline and the message is older than the configured local email-save window, reconnect before moving it to avoid the documented offline handling of older items.
