To migrate email to Zoho Mail, first add and verify your domain and create the destination mailboxes. Then choose a migration route that matches your source: use Zoho’s provider-specific option for Google Workspace or Microsoft 365 when appropriate, otherwise use IMAP if available. Use POP only as a fallback, and use Zoho’s migration wizard or EML import for suitable Exchange, PST, or EML cases. Test with a small batch, coordinate the mail-routing change, and verify the results.

Before you start: prepare Zoho Mail and your source

  1. Add your domain to Zoho Mail and verify it.
  2. Create the destination user mailboxes and any required groups before setting up migration users.
  3. Inventory the source provider, user count, mailbox sizes, folders that matter, and authentication requirements. Keep source credentials valid throughout an IMAP migration.
  4. Check destination storage availability. Zoho says mailbox storage depends on the plan; ensure the mail being moved will fit.

For IMAP, collect the source server hostname, port, login credentials, SSL settings, and any required folder path prefix. Zoho’s generic IMAP instructions list port 143 for non-SSL and 993 for SSL. Zoho supports trusted SSL certificates, not self-signed certificates. Source providers may require OAuth or an app password, and their authentication policies can change.

Choose the migration method for your source

Source Recommended route Important consideration
Google Workspace or Microsoft 365 Consider Zoho’s provider-specific one-click migration. IMAP is also documented for these sources. Check current authorization and account requirements before starting.
Another provider with IMAP Use server-to-server IMAP migration. Gather the hostname, port, credentials, SSL details, and any path prefix; confirm the source account permits IMAP access.
Provider with POP but no IMAP Use POP migration as a fallback. POP does not preserve folder hierarchy or read/unread status in the same way as IMAP, and failure details may be less precise.
On-premises Exchange without POP/IMAP, PST archives, or EML files Use the appropriate Zoho migration wizard workflow. For EML files, Zoho also documents web ZIP import. Wizard prerequisites differ from web import. The EML web-import ZIP limit is 500 MB.

Zoho’s overview says provider-specific one-click migration is currently supported only for Google Workspace and Microsoft 365. For general mailbox transfers, Zoho describes IMAP as its most recommended method because it can preserve folders and read/unread state.

Run a staged migration

1. Test a small group

Create a migration batch and test with 2–10 users, the sample size Zoho recommends in its migration guidance. Include accounts with representative mailbox sizes and folder structures. Confirm the imported folders and messages before moving everyone.

2. Schedule the main transfer and communicate the change

Tell users when they should begin using Zoho Mail and provide their destination login details. Choose a low-volume time for the MX change; Zoho gives a weekend as an example. Plan the routing change so mail is not missed while delivery switches from the old service to Zoho.

3. Migrate, then synchronize what arrived during the changeover

Run the main batches, then rerun or synchronize completed users where the admin console offers that action. This catches messages delivered to the old service before the MX change. Zoho says duplicate handling is performed on its end in the workflow described in its guidance.

4. Review the results and retry failures

  • Compare expected folders and message counts for each mailbox.
  • Review mailbox sizes and migration failure reports.
  • Retry failed users and synchronize completed users where those actions are available.
  • Check Zoho’s import notification for EML files it could not process. Split an EML ZIP archive if it exceeds 500 MB.

How long does migration take?

There is no guaranteed completion time. Zoho’s illustrative estimate says a batch of 25 users, each with a mailbox of around 2 GB, takes approximately 11 hours when the maximum Connection Limit is set to 10. That is a vendor example, not a service guarantee; source-server throttling can extend an IMAP transfer. Zoho recommends a 2–10-user sample, but that should not be mistaken for a limit on the main migration.

Other Zoho migration limits to check

Zoho’s rates-and-limits documentation lists up to 1,000 users per migration batch, 50 concurrent migration processes, and 1,000 users per bulk import. These operational limits may change, so check Zoho’s current limits and your plan details before scheduling a large transfer.
