In a Teams meeting, start a saved transcript from More actions > Record and transcribe > Start transcription, then confirm the language people are speaking. For a shared Teams Rooms space, named speaker attribution requires more than transcription: the room needs supported intelligent-speaker hardware and configuration, and participants need voice profiles. Changing the meeting’s spoken language affects captions and transcription for everyone.

Start transcription and set the spoken language

  1. In the meeting controls, select More actions > Record and transcribe > Start transcription.
  2. Confirm the spoken language—the language participants are actually using. Teams notifies participants when transcription starts. Participants can choose to hide their identities in captions and transcripts.

Live captions and live transcription are different features. Captions display speech in real time and are not saved by the captions feature. Transcription creates a meeting transcript that can be accessed or downloaded subject to meeting permissions and settings. Change the spoken language if it is wrong

If Teams detects that the spoken language does not match the meeting setting, it may prompt an eligible person to update it. The organizer, co-organizer, person who started transcription, or initiator of the feature that started transcription can change it in the transcript’s Language settings. This changes the transcript and caption language for everyone in the meeting, so confirm with attendees before changing it.

Teams supports a broad range of transcription locales, including English, Arabic, Chinese, French, German, Spanish, and Portuguese variants. The full list can change; consult Microsoft’s current supported language information. A language supported for transcription is not necessarily supported for voice-profile enrollment or speaker attribution.

How Teams Rooms identifies in-room speakers

Teams Rooms can attribute speech from people sharing a room when Intelligent Speaker recognition is configured. Participants enroll a voice profile using the Teams desktop app for Windows or Mac. An enrolled participant may be named in the transcript; people without profiles may receive generic speaker labels. Without recognition, speech may be attributed to the room rather than to individual people.

What the room and tenant need

  • Certified intelligent-speaker hardware: Microsoft requires supported, Teams-certified intelligent-speaker hardware for this room capability.
  • Transcription and policy: Transcription must be available, and the applicable voice-recognition policy must allow attribution.
  • Voice profiles for names: People must enroll profiles for named identification. Speaker separation can work without showing names, depending on the policy mode.
  • Room licensing: Microsoft identifies Teams Rooms Pro as the license for Intelligent Speakers in Teams Rooms. Selected devices on legacy Teams Rooms Premium licenses remain supported; verify the room account and current requirements before deployment.

Microsoft documents three roomAttributeUserOverride modes: Off prevents retrieval or use of voice signatures; Attribute shows enrolled room users by name and labels unenrolled users as speakers; Distinguish separates speakers without showing their names. Limits and scope to check

Microsoft says invite-list-based speaker attribution begins when someone other than the Teams Room device joins. Its support guidance describes a limit of up to 50 invited people with voice profiles and a single-organization restriction for the documented scenario. Attribution can also fail if an administrator disables the policy. Manage identity and correct speaker labels

Room controls can turn off people recognition or voice identification during a meeting. In the transcript, a participant can identify themself, choose whether to update one occurrence or matching instances, and remove their identification. Microsoft also documents a correction path for misrecognized participants. The exact labels and controls can vary with the room app and policy, so consult the current in-room participant identification instructions.

Microsoft says voice-profile data is stored in the organization’s Microsoft cloud tenant and locally on the user’s device for Voice Isolation. Review Microsoft’s linked privacy information and your organization’s policies before enrolling profiles.

Spoken-language selection is not live translation

The meeting’s spoken-language setting tells Teams which source language to recognize. Live translated transcription is a separate feature: it translates the transcript into a viewer’s preferred language. Microsoft’s administrator guidance says the meeting organizer needs a Teams Premium license for attendees to use live translated transcription, and transcription must be enabled in the applicable meeting policy. Troubleshoot missing or incorrect attribution

  • No transcript: Confirm transcription is available and started, then check that the meeting’s spoken language matches the speech.
  • Transcript works, but names do not: Verify certified intelligent-speaker hardware, the room’s license, the attribution policy mode, and whether participants have enrolled voice profiles.
  • Some languages or people are not recognized: Check transcription locale and voice-enrollment language support separately; do not assume they are identical.
  • Policy changes have not appeared: Microsoft says an assigned voice-recognition policy can take up to 48 hours to take effect. Signing the account out and back in may apply it sooner.
  • Attribution fails in a larger or cross-organization meeting: Check the documented limit of up to 50 invitees with profiles and the single-organization scope.
  • A person is mislabeled: Use the transcript’s self-identification or correction controls where available.

Microsoft’s documented license path differs between Teams Rooms and bring-your-own-device rooms: Teams Rooms uses Teams Rooms Pro for Intelligent Speakers, while BYOD scenarios may use Teams Premium or Copilot licensing. Check the exact room setup and current policy documentation rather than applying the Teams Rooms requirement to every meeting room.
