When your mortgage servicer changes, keep the transfer notice, recent statements, and payment proof together. Then compare the former servicer’s final statement with the new servicer’s first statement, checking payment credits and escrow as well as the balance. A servicing transfer changes who handles payments and account servicing; it does not by itself change the loan’s other terms.
What changes—and what does not
A servicer collects principal, interest, and any escrow payments; sends statements; tracks account balances; and handles other servicing tasks. The Consumer Financial Protection Bureau’s model disclosure describes these responsibilities in its servicing disclosure.
A servicing transfer changes which company performs those tasks. It is not, by itself, a refinancing or a change to your interest rate or other non-servicing loan terms. The CFPB’s model transfer notice says, “Nothing else about your mortgage loan will change,” while making clear that terms directly related to servicing may change. Build one file for the handoff
Create a folder labeled with the property address and “servicing transfer.” Keep the documents together so you can retrieve them if a payment is misrouted or a statement does not match your records. Paper copies in a labeled organizer or accurate scans in a secure digital location are both practical options; borrowers are not required to use a particular filing method.

- Transfer notice and related messages: Save the notice and any related letter or secure-message confirmation. The notice identifies the effective date, both servicers’ contact details, and when each company starts or stops accepting payments. Follow its payment-routing instructions.
- Statements: Keep the last few available statements from the former servicer and the first statements from the new one.
- Payment proof: Save confirmations for payments made near the handoff, including confirmation numbers or bank records showing the date and amount.
- Escrow documents: File escrow statements and notices alongside regular monthly statements.
- Dispute records: If you contact a servicer about a mismatch, keep your message and its written response in the same folder.
Federal rules require servicers—not borrowers—to retain records documenting account actions until one year after the mortgage is discharged or servicing is transferred. The CFPB interpretation allows accurate, accessible records to be maintained through computer programs or other methods; this is not a borrower retention deadline. See 12 CFR § 1024.38 and its interpretation.
Compare the statements across the transfer
Use the former servicer’s final statement and the new servicer’s first statement as a handoff check. The CFPB advises reviewing monthly statements to confirm payments were credited accurately. Compare the same account details across both records, and use your payment confirmation to verify what you actually sent.

If a payment, balance, or escrow figure does not line up, contact the servicer using the details in the transfer notice. Give the payment date, amount, and confirmation information, ask for an explanation or correction, and retain the response.
Know the 60-day protection for payments sent to the former servicer
For 60 days beginning on the transfer’s effective date, a payment the former servicer receives on or before its due date—including any applicable grace period—may not be treated as late for any purpose. This protection is tied to an on-time payment received by the former servicer; it does not excuse a payment that was actually late and does not continue indefinitely.

If the former servicer receives a payment after the transfer by mistake, it must promptly forward it to the new servicer or return it and tell you the proper recipient. Keep proof of the payment and any notice or correspondence about where it went. Check the escrow account separately
Do not limit the handoff review to principal, interest, and payment crediting. Check the escrow balance and any change to the monthly payment or the way escrow is accounted for. If the transfer changes the monthly payment amount or escrow accounting method, the new servicer must provide an initial escrow account statement within 60 days after the transfer. What transfer notices should tell you
Under the general rule, the former servicer gives notice at least 15 days before the transfer and the new servicer gives notice no more than 15 days after it. They may send one combined notice at least 15 days beforehand. Certain specified exceptional events allow notice within 30 days after transfer. The notice includes the effective date, contact information for both servicers, payment-acceptance dates, insurance information when relevant, and a statement about loan terms. See 12 CFR § 1024.33.
Use the notice’s dates to mark the handoff in your file, and route payments according to its instructions. If a notice or statement is missing, contact the servicer and save the response with your records.
