You generally cannot force a review off a platform simply because it is negative or seems unfair. Save the review, report it only if you can identify a specific policy violation, and keep any public response brief and free of patient information. Separately, invite feedback neutrally rather than asking only patients likely to leave positive reviews.

First decide whether the review breaks a rule

A critical opinion, poor rating, or disputed account of an encounter is not automatically removable. The useful distinction is whether the review contains a supportable violation of the platform’s rules, such as fake or misleading content under Google Maps’ content policy, rather than simply an unfavorable view of the practice. The FTC advises businesses to use platform reporting channels for reviews that may be fake, defamatory, or otherwise violate the platform’s terms, and not to misuse those channels to remove honest negative reviews (FTC guidance on soliciting and paying for online reviews).

  • Potentially reportable: you have specific, supportable facts indicating the review is fake, misleading, or violates a stated platform rule.
  • Not enough by itself: the review is negative, embarrassing, vague, or inconsistent with the practice’s recollection.

How to report a review that appears misleading

  1. Preserve the evidence. Save a dated copy or screenshot, the review’s URL, the visible account details, and any relevant factual context. Keep private records private; do not post them to prove your case.
  2. Match the facts to a policy. Identify the specific platform rule you believe was breached. Avoid labels such as “fake” unless you can explain the factual basis.
  3. Use the platform’s reporting process. Submit the report through the platform’s current review or content-reporting workflow and give a concise factual explanation. Work from its live policy and appeal path, since platform procedures can change.
  4. Wait for the platform’s decision. Do not mass-report the review or pay a service that promises guaranteed deletion. A vendor can help monitor or manage feedback, but a removal guarantee is not a reliable or appropriate basis for choosing one.

Reporting is a request for platform review, not a way to make criticism disappear. If the platform declines to remove content and there is a meaningful basis to challenge that decision, use its appeal route rather than escalating publicly.

When and how to respond publicly

A public reply can show future readers that the practice takes concerns seriously, but it also creates a privacy risk. The FTC says a business may respond publicly while warning it to watch what it says (FTC Consumer Reviews and Testimonials Rule FAQ). For a HIPAA-covered provider, the Privacy Rule limits uses and disclosures of protected health information without authorization; HHS explains who is covered and how the rule applies (HHS HIPAA Privacy Rule overview).

Do not identify or confirm the reviewer as a patient, or reveal a name, diagnosis, appointment, treatment, payment, or other detail that discloses a care relationship. A reviewer’s own public post does not, by itself, give the practice permission to add protected details. Avoid declaring that the person was never a patient unless the statement is supportable and the privacy implications have been considered.

A privacy-preserving reply

“We take concerns seriously. To protect privacy, we cannot discuss individual matters here. Please contact our office through the usual private channel so we can understand your concern.”

This is a practical template, not regulator language or legal advice. Adapt it without adding details that identify the reviewer or their care.

When to leave the review unanswered or escalate

Not every review needs a public reply. Choose among reporting, responding, or not engaging based on the evidence of a policy breach, the privacy risk of replying, and whether a brief correction would help future readers. If the concern can be addressed privately, invite the reviewer to use the practice’s usual private channel.

For threats, potentially defamatory claims, or a dispute with significant legal or privacy implications, involve qualified counsel and the organization’s privacy or compliance lead. Do not improvise a legal threat: the FTC rule bars knowingly or recklessly false accusations against reviewers and prohibits threats or intimidation used to force a review’s removal or change. The FTC describes intimidation as potentially including abusive communications, stalking, character assassination, and sexual harassment when used to induce fear (FTC rule FAQ).

How to request honest feedback without soliciting testimonials selectively

Use a neutral invitation that asks for an honest account of the person’s experience, not a positive review. The FTC’s marketer guide says: “Don’t ask for reviews only from customers you think will leave positive ones.” It also advises against soliciting reviews from people without actual experience and says businesses should understand each platform’s rules (FTC marketer guide).

  • Offer the same invitation to patients under a consistent, neutral process rather than screening for satisfaction.
  • Do not ask people without actual experience to review the practice.
  • Check platform terms and applicable professional requirements before choosing a method or tool for collecting feedback.

The FTC Consumer Reviews and Testimonials Rule took effect October 21, 2024 (FTC rule FAQ). The rule does not prohibit every incentive when there is no express or implied condition about sentiment, but undisclosed incentives may violate the FTC Act, and incentives for five-star reviews are prohibited by the rule. Paying someone to change or remove a truthful negative review may also be unfair or deceptive. For a healthcare practice, the safer course is to avoid incentives unless legal and platform review confirms they are allowed.

Do not use contract terms that penalize, restrict, or claim ownership of honest reviews. The Consumer Review Fairness Act protects consumers’ ability to share honest opinions and restricts those kinds of provisions (FTC Consumer Review Fairness Act overview).
