To get clients to pay invoices on time, agree the payment schedule before work begins, learn the client’s accounts-payable requirements, submit a complete invoice to the right place, and confirm it is on track before the due date. If it becomes overdue, follow up calmly and escalate only after checking the contract and the rules that apply to your jurisdiction.

Set payment expectations before work starts

Put the billing arrangement in the contract or statement of work. Name when invoices will be issued, what event starts the payment clock, the due date or method for calculating it, accepted payment methods, and any late-payment terms. Spell out how work is approved and how disputed items will be handled, so a disagreement about one deliverable does not become an avoidable surprise at billing time.

Choose a schedule that fits the project and the client’s procurement process. There is no single best structure for every engagement:

  • Upfront payment: Brings cash in before substantial work begins, but a client may need vendor onboarding or internal approval before it can pay.
  • Milestone invoices: Break a large project into payment points tied to defined stages. Agree what counts as completion or acceptance for each stage.
  • On-delivery invoice: Bills when the agreed work is delivered. It can be straightforward, but payment still depends on a clear due date and the client’s processing steps.
  • Post-invoice credit terms: Gives the client a specified period to pay after invoicing. Make the start of that period explicit rather than assuming both sides interpret it the same way.

Ask who commissions the work and who processes payment; those may be different people. Before starting, confirm the billing contact, whether the client needs a purchase order (PO), vendor registration, a particular invoice format, or submission through a portal. The UK Office of the Small Business Commissioner recommends identifying the invoice recipient, understanding the payment schedule, and obtaining any PO number early in its invoice guidance.

Send an invoice the client can process

Issue the invoice promptly and in the way your agreement requires. The Small Business Commissioner advises: “Send your invoice immediately after completing the work, per your agreement, to maintain cash flow.” Follow the client’s submission instructions as well: a correct invoice can still be delayed if it goes to the wrong contact or system.

Before sending, check that the invoice includes the details relevant to your situation:

  • Invoice date and a unique invoice number
  • Client name and any required billing details
  • PO number, if one was provided or is required
  • A clear description of the work completed
  • Fee, applicable tax, and total due
  • Due date and the agreed payment terms
  • Payment instructions, such as bank details or the agreed online payment method

Tax invoice requirements depend on jurisdiction, tax status, and customer type. For example, GOV.UK says a UK business-to-business invoice is legally required when both seller and customer are VAT registered and explains required details in its UK invoicing guidance. That example is not a global rule; check the current requirements where your business operates.

Confirm the invoice is in the payment queue

Do not wait until the due date to find out whether the invoice was received. Before it falls due, ask the accounts-payable contact whether it arrived, is complete, and is scheduled for the expected payment date. The Small Business Commissioner suggests calling a week before payment is due to check that the customer has what it needs.

Keep a simple record of the invoice number, amount, issue date, due date, submission method, recipient, and follow-up. That gives you a clear timeline if you need to ask about a missing document, correct an error, or escalate a late payment. If the client flags a problem, ask what specific correction or supporting information is needed and when the payment schedule will resume once it is supplied.

Choose billing methods and tools around the client workflow

Payment convenience is useful only if it fits the client’s procurement rules and your costs. Ask which methods the client can use, then compare trade-offs rather than assuming one option makes invoices arrive faster.

Invoicing software can help when it supports the tasks your process actually needs: recurring or milestone invoices, scheduled reminders, payment tracking, reconciliation, and any client portal or submission requirements. For occasional billing, a manual process may be enough if it is reliable and meets the client’s rules. No particular tool or payment method guarantees prompt payment; compliance with the client’s process remains essential.

Follow up when an invoice is overdue

Start with a calm reminder

Check the invoice and payment record first: confirm the due date, that the invoice was sent correctly, and whether the client has raised a dispute. Then contact the payment handler by email or phone with the invoice number, amount, due date, and a direct question about the expected payment date. A polite reminder can resolve a missed or forgotten payment without damaging the relationship.

Escalate in proportion to the problem

If basic follow-up does not resolve the delay, use the escalation path in your agreement and consider a formal letter of demand or a debt-collection service where appropriate. Australian Government business guidance lists these as possible later steps and advises weighing the recoverable amount against the cost of pursuing it and the business relationship. Before taking action, check whether the client disputes the work or amount, what your contract allows, and which local rules govern the debt.

Late-payment rules depend on location and contract

Do not treat a payment term, statutory interest rate, or remedy as universal. The governing law, client type, contract wording, invoice acceptance, and whether the debt is disputed can all matter.

UK commercial business-to-business debts

For UK commercial transactions, GOV.UK says an agreed payment date must usually fall within 30 days for public authorities or 60 days for business transactions. Businesses may agree a longer business-to-business period if it is fair to both sides. If no payment date was agreed, the payment is late 30 days after the customer receives the invoice or the service is provided, whichever is later. The same guidance describes statutory interest as 8% plus the Bank of England base rate for business-to-business transactions, and says statutory interest cannot be claimed if a different contractual interest rate applies. Australia and the United States

Australian Government guidance treats payment terms as part of the sales contract and recommends clear terms, credit checks before offering credit, credit limits, and a defined process for following up overdue invoices. See its payment terms guidance for the Australian context.

In the United States, federal prompt-payment rules concern eligible invoices to federal agencies, not private clients generally. The Treasury’s Bureau of the Fiscal Service explains that the contract may define the due date, while 30 days after receipt of a proper invoice applies in specified circumstances. Late payment is common, but figures are not consultant-specific

In a 2024 Department for Business and Trade survey of UK businesses with business customers, 54% typically offered 30-day payment terms. The survey also found that 36% said their business customers took longer than their typical agreed terms; among small businesses, that figure was 49%.
